Enhancements

Listed below are examples of valid and invalid email addresses, also any file with a empty or entered Null for the email address will be considered as a invalid email.

A new Fetch field “IsValidEmail” has been added to the Sources within Fetch:

Resolutions

  1. There was an issue where the "Force change password" was forcing users to enter in a new password every time they logged into DealerMine. The "Force change password" check box was updating when a change was made and Saved other then the Password section of the User Setup > user Info screen. This is resolved.

Service CRM Enhancements & Resolutions

Enhancements

  1. There is now an option where users can control whether to include or not include a Calendar Invite on manually sent emails for “Appointment Confirm" or "Appointment Booked”. When the new option “Include Calendar invite on Manually Sent Emails” is on, a calendar invite will be included on each manually sent email for Appointment Confirm or Appointment Booked. This new option is ON by default, to turn this option off the DealerMine Support team will need to be contacted.

2. When an eService customer deleted their service appointment in eService, DealerMine would delete the appointment from the Profile as well within DealerMine but not display this delete on Contact Hist tab. DealerMine will now show this “Delete” by the customer on the customer’s Profile on Contact Hist tab.

  • The default setting is the OpCode and Description.

3. We have added the ability to customize what is displayed in the "Open Appt" indicator that displays on a customer file. Users will have 3 options to select from:

  • Opcode only

  • Opcode and Description

  • Opcode, Description and Complaint

4. When running the Decline RO Summary report in Service - Decline RO Analysis - Decline RO Summary and use the GroupByOption “Decline” we have added the customer First and Last name when drilling down in the report.



To have the name display, click on a service from the Group tree on the left, then click the service again on the grid, and then the names will display for that service.



5. We have added a second scroll bar to the Recommended Service section when booking an appointment in eService. Now instead of having to scroll the page users can scroll the service section.

6. There is a new option in DealerMine, which will not permit an Advisor to be booked on a day/time that they are not available, “Check if advisor is available” is the new option and users will need to contact DealerMine Support to have this turned on.

When the option “Check if advisor is available” is (turned on) DealerMine will prevent an advisor from being booked when not available. When an advisor is not available they will display in Red in the Book for Advisor drop down on the Book Appt form, the Information icon will display the reason “Advisor: Time of day not available”. If Preventions are turned on the Book Appt button will be disable.


*When the option is unchecked there will be no validation and they will be able to book.


Resolutions

  1. There was an issue in the "Shop hours" setup screen under schedule, if you changed the First appt time to an earlier time (for example say the first appointment was originally 7am but you changed it to 6 am) then went to the waiter times tab the new times that were added (6:00, 6:15, 6:30, 6:45) were going to the bottom of the list.. This has been resolved.

  2. There was an issue with Holiday Blocking where the sorting for the columns was backwards and sorting the wrong columns. This has been resolved

  3. There was an intermittent issue where a user would send a Texting Opt-in and “Failed” would display in the Texting slide out. This only occurred if the text was sent to a "child" of merged files and there was no phone number on the child file, and also if the merged files were from different stores. This is now resolved

  4. There was an issue where a user was not able to add a vin to a customer file, DealerMine was timing out. This is now resolved

  5. There was an issue with minimizing an email and reopening it, the body of the email would be blank. This is now resolved.

  6. There was an issue that started on November 17th at 3 pm AST where the emails coming into DealerMine were not getting flagged as received causing DealerMine to continuously pull the emails until the issue was fixed on November 18th at 12 pm AST

  7. There was an intermittent issue where users were able to overbook an opcode that has a daily limit setup. This is now resolved.

  8. We had an issue with the advisor’s schedule blocked time when the schedule’s Start date was older than 3000 days. The rule component that DealerMine was using was not applying to the rule anymore when a rule’s start date is more than 3000 days old and had more than 1 interval. This has been resolved and now the start date for an Advisor’s schedule has been changed to include any rule that is older than 3000 days and will adhere to the setting for frequency and intervals.

  9. There was an issue where "Body Shop" customers were receiving Voice Drops when the option “Turn Off Body Shop Vehicles” was turned on. When turning off these vehicles off as they are body shop customer, then transferring the vehicle to another customer file, DealerMine's nightly download was not finding these boys shop customers as the customer number has changed. DealerMine has now changed this process to also search for Customer numbers during the nightly download.

  10. There was an issue where the appointment confirmation email was sent for the wrong branch. This was due to the customer belonging to branch A but booked a Service Appt for branch B. This has been resolved now DealerMine will only allow a "Confirm" email when the appointment’s Store/Branch matches the Vins Store/Branch if the vin is provided.

  11. There was an issue where Telephony users were making outbound calls on a file with no vin, their voice files were not displaying. On calls like this, DealerMine returns the voice files for the Store and Branch attached to the vin, so if there is no Vin then no Voice files will display.

DealerMine will now check the following to retrieve the voice files.

  • use the store/branch for serno if provided.

  • If not provided, use the store/branch for the custno.

  • If no voice files returned then use the store/branch for the caller id to return voice files.


12.There was an issue in Fetch > Campaign tab when clicking on the Stats icon for Text, the Batch Contacts popup was not displaying a value for "Sent" . This is now resolved.

13. When adding a new employee in DealerMine > Admin screen > User Setup, if the Employee name/number is in use a popup would display and let the user know, however the popup was not worded correctly. This is now resolved.

DMS Enhancements & Resolutions

Enhancements

Xsellerator - DealerMine is now able to pull Submission Types from Xsellerator and will display the default Submission type in the CWI drop down when in the Operation Details popup of the Book Appt form. When the appointment is booked and pushes into Xsellerator the opcodes will display the correct Submission Type.

The Submission Types cannot be modified in DealerMine as they are created in the Xsellerator, if there is no default Submission Type DealerMine will default to C.

Resolutions

  1. Serti - There was an issue with booking an appointment with an unknown vin, the appointment was not showing up in DealerMine or the DMS Serti, however displayed on the Appt Hist tab. This is resolved.

  2. Serti - There was an issue with updating an appt with an unknown vin, when updating the appt would not update and just keep spinning. This is now resolved

  3. Reynolds - There was an issue when updating an appointment in DealerMine the contact history would show the appointment was updated twice. This is resolved.

4. Reynolds - When booking an appointment in DealerMine users were getting an error and were not able to book an appointment when adding a Tech to a service line. This is now resolved


5. CDK -There was an issue where an appointment was booked in DealerMine, the Auto Confirm was emailed to the customer, and an update was done on the appointment, however the appointment was not in CDK. DealerMine was not displaying an error to let the user know there was an issue so the user was unware. DealerMine has corrected this, now when updating an appointment that does not exist in CDK DealerMine will display an Error .

6. Xsellerator - There was an intermittent issue where Xsellerator users were not able to update an appointment, they were getting an error “The remote server returned an unexpected response: (400). Bad request”, this was caused by using "unsupported characters" on an appointment complaint line.. This is now resolved.

Sales CRM Enhancements & Resolutions

Enhancements

  1. When creating a new Email template for Marketing in Templates & Batch setup, users will see a new merge field called “LastTrafficLogVehicle”. The new merge field will use the last vehicle interest from the most recent Traffic Log entry, however if there is a sold Worksheet on the Traffic Log, then the vehicle interest from the sold worksheet will be used.




Resolutions

  1. We had an issue with Honda Canada leads, the disposition codes were not pushing with the lead from Dealermine . This is now resolved.

  2. There was a 48 hour period where Rapid Response Web leads were not displaying the link for the “Activity Notes” after responding to the lead. This is resolved.

  3. There was an intermittent issue where an Unsold Batch Email was sent out twice on the same day to customers and displayed twice within the Email hist tab on the customer’s profile. A customer had qualified for an Unsold Batch Email schedule however the qualified date was a Sunday and DealerMine only sends when the Sales dept is open. DealerMine has scheduled the Unsold Batch emails to go Monday morning at 9am. When DealerMine looks for customers that qualify for the Unsold Batch Email on Monday these customers qualify because they were not sent yet.

  1. Did you know that the Fetch NULL is the term used to represent a missing value. A NULL value is a value that has never been set to anything. It is very important to understand that a NULL value is different than a zero value or a value that has been set to something that appears empty.
