Voice Drop Configuration

*A signed contract must be in place prior to Voice Drop setup.*

Caller ID & Audio Files

In the Admin Screen, Click on "Voice Drop Configuration".

Click "Create Voice Drop Account".

Answer “Do you want to create an account?” YES or NO. If Yes is chosen voice drop configuration has now been officially activated. This means an account has been created within Stratics for this store & branch.

Once you've created a voice drop account the setup screen will look like the image below.

If you uncheck "Activate Voice Drops", everything will disappear from the setup screen. When you check it again, everything that was previously saved will re-appear.

  • In "Caller ID" click the options drop down to add a caller ID.

  • The number must include an area code.

  • In the 'Note' field, describe the caller ID location. See example below.

  • Now that you've created a Caller ID, click on "Audio Files" on the far left, and dial the number displayed beside "Call to record audio file".

  • Follow the simple steps, and enter the Pin displayed beside the phone number.

  • Once you've recorded your message and hung up, click on Options > Refresh, and your recorded voice file will appear.

  • You now have the options to delete, or edit an audio file.

  • The only thing you can edit is the name of the audio file.

  • Make sure you click the play button and listen to your audio file to ensure the correct information was clearly recorded.

  • You can call the number at the top to record a new audio file at any time.

  • Proceed to 'Templates & Batch Setup' in the Admin screen, after you have recorded your audio file

*Skip this step if you are not creating a voice drop from a customized campaign design.*

Creating Voice Drops Using Fetch

  • Step 1 is to create a Fetch Campaign from the "Fetch" tab.

  • Once created and data is pulled, save your campaign.

  • After it is saved, in the "Tools" drop down, select "Send to Batch".

  • You will automatically be redirected to the "Batch Contacts" setup screen after clicking "Send to Batch". It defaults to 'Letters', click on 'Voice Drops'.

Adding Batch Contacts

*Proceed to 'Templates & Batch Setup' > 'Batch Contacts' in the Admin screen, after you have recorded your audio file*.

Then click 'Options' > 'Add Voice Drops Batch Contacts'.

The 'Batch Contacts' window will appear. If you choose 'Fetch Automation' as a batch type, it will display like the image on the left. If you choose a 'Contact Type', it will display like the image on the left.

  • Click on Scheduling for the window below to appear.

  • You can make the frequency recurring, or once.

  • Choose a start date, and the time you want your Voice Drops to run.

  • If you chose Recurring, you can pick a range. If the Voice Drops going out are seasonal, or for a limited time special, then you would choose an expire date. Click the calendar icon to see the calendar.

  • Finally, choose the days of the week you want your Voice Drops to run.

Note: You cannot schedule a voice drop job to go out the same day of setup if the contact type is Maintenance. Maintenance voice drop jobs require the nightly download.

If you set a job for a time in the past, then it will run immediately.


On the day of expiry - if you chose one - your batch contact will turn off automatically and display a red beside it.

You can click the green at any time to deactivate the job.

  • Click on a Sales Schedule to the left

  • Scroll to the very bottom in "Choose Contact Source" drop down, select "Voice Drops"

  • Once selected, two more drop downs will appear: Voice Files & Caller ID

  • Fill out all drop downs, then Click "Save"

Please note: We currently do not have a fall back option unless a Voice Drop is sent to a customer on the call select screen, in any of the following contact types: Maintenance, No Show, Confirm Appt, or CSI.
