Service CRM Enhancements & Resolutions

Enhancements

  1. Appt Sched Notes - the notes on the appt sched will no longer automatically open when going to a day with a note on it. Now the user will need to click on the note indicator in order to view it.

  2. Email - when sending an email from a Marketing Fetch indicator user will now see a “Send and Recycle” button allowing them to recycle simultaneously after sending an email. The proper recycle code will display in the Contact hist tab and the user will be directed to the next customer in their contact list.


3. Texting numbers - by default user types 1, 2, and 5 will have access to Edit and Delete a Texting number. On an edit the only information that can be changed is the Friendly name and the User Access. "All" has been added to the Filter by Role drop down in the Edit screen.

When on the texting grid if there are more then 1 user with access to the texting number the user can hover over the names in the User Name column and all the names will display in a tool tip.

4. Recommended Services - when changing the Maintenance schedule from the profile screen DealerMine will now display an Undo button with a hover over displaying the date and time it was changed along with the username who last changed it. When undo is clicked, DealerMine will revert to the previous maintenance schedule.


5. SPORDS - dealerships now have the option to select how long a SPORD will display on their Call Select screen. In the Admin Screen > Contact Selections > Special Orders section “Do not contact after__ days in stock (put 0 to never remove)”. When a number is entered the spord will fall off the Call Select screen after the selected number of days has past, if 0 is entered they will remain on the Call Select until booked.


6. When viewing the Deferred Services popup DealerMine will also display the Inspection Observation made/entered by the Advisor/Tech.



Resolutions

  1. Telephony: On April 4th there was an intermittent issue where customers were not able to press 1 to leave a voice message. This was fixed that day and is now working properly.


Sales CRM Enhancements & Resolutions

Enhancements

  1. Fetch Import - when importing in Fetch, 3 new available fields have been added to the File Type “Prospect’

      • Buyer

      • FanNo (Fleet Account number)

      • Owner

  2. Traffic Log Status - when changing the “Status” on the Traffic log and the entry is an original Web Lead, it will also update the status on that lead in the Web Leads tab. If the Status used on the Traffic log does not exist in the Web Leads tab DealerMine will create that new status. The updated Status will also display on the Lead reports, this will insure that the Sold lead count will be correct.

  3. Sales Reassignment - when doing a Sales reassignment DealerMine will determine who owns the prospect file by the Sales Person on the last Traffic log entry.

4. Quick Trade - when entering a Quick Trade on a quick quote the Lien field will now be an option in the Quick Trade popup.



Resolutions

  1. Converting pending guests - there was an issue with converting pending guests “I-leads” and ”Rapid” leads to prospects. The phone numbers were not displaying correctly on the profile screen, and the cell number was not displaying in the correct field. This has been fixed and is working properly.

  2. Vehicle interest - last release we added an option where a user could save a Worksheet with no vehicle interest but were still allowing them to go to the Desking screen where they were getting an error "Error Getting available mileages". We have since fixed this issue, now when clicking to go to Desking and there is no vehicle interest on the worksheet the user will get a message stating "Cannot access Desking without a Vehicle interest".

3. Changing status to Sold - when changing a Traffic log status to "Sold" the first option in the popup "Selected Worksheet" was not working. This is now fixed and when the worksheet has a vehicle interest and the status "Sold" is selected the option selected worksheet will display the worksheet number and the selected vehicle, if there is more then 1 worksheet they will display in the drop down for selection.


DMS Enhancements & Resolutions

Enhancements

  • PBS

    1. For PBS users we now download the "Customer Critical Notes" and display them in DealerMine in the same way we display the Customer Urgent notes. The Red orb will also display on the critical note within the tab so the user will be able to quickly identify which note is the critical note.


  • Quorum

    1. Users can now transfer a vin from one customer’s file to another customer's file with in DealerMine.

        • When doing a transfer the user will go to the file of the new owner of the vehicle

        • Click on the Add Vehicle action button

        • Enter the vin number and then click the search icon - a popup message will display “vehicle is on customer file 235689” click ok

        • Then enter in the mileage and then click save, the vin will display on the customer ‘s profile and the service history will display in the Service hist tab

    2. When booking an appointment on a recall campaign they will need to enter //campaign number// at the beginning of the OpCode comment box, then the campaign number will push into quorum correctly.

    3. When booking an appointment DealerMine will push the tech group associated to the opcode on each service line, however the tech group for the appointment will be left blank.


4. When booking an appointment DealeMine is now able to push CWI for each opcode along with the S.C. codes and priority numbers. The S.C. codes and priority can be setup by time of day in the "Transportation configuration" setup screen on the Quorum Service codes tab. DealerMine will push these into Quorum when booking an appointment.


  • Quorum / PBS / DIS - We modify the "Transportation configuration" setup screen so the user can now setup what transportation code they want us send to the DMS per DealerMine transportation code.
