Service CRM Enhancements & Resolutions

Enhancements

  1. DealerMine is now offering "Batch Texting" and "Batch Voice Drops". Dealerships can now reach even more customer, by using Batch Texting or Batch, to lean more click here Templates & Batch Setup

  2. DealerMine now has the option to remove the contact type "Recalls" from the Call Select. To take advantage of this option please call our Support team.

  3. When a user is coming from a profile with an open appointment indicator, and selects to go to the Appt Sched, it will now scroll to the correct appointment slot on the Appt Sched when in "List View".

  4. User access now is required for making a customer's file inactive. Access can be given in User setup > User Access > Customer Information > Edit Customer Information > Inactivate Customer File. When a user does not have access the Status drop down will display but will be disabled. "By default everyone user type as access to use this."



5. Eservice is DealerMine's only customer facing application, so we have added the ability to add a link to the Welcome and Confirm message in Eservice configuration > Customized Text tab.

6. The Appointment count on the progress bar of the Appt Sched displays hover over tool tip which breaks out the hours by the "App Hours and RO hours”, which includes Walk Ins and No Shows.

7. Max hrs

The progress bar will display in Green as long as the Max Appt/Hrs are not within the 10% of the daily max allowed.

The progress bar will display in Yellow when the Max Appt/Hrs are within 10% of the daily max set.

The progress bar will display in Red when the Max Appt/Hrs have been reached or surpassed.



8. The merge field "CustomerLastName" has been added to Texting templates.


9. The 'Unread on Top' option has been added to the email tab. When the option is checked all unread emails will display at the top, when unchecked emails will sort in chronological order by date and time. When a user clicks on an email to view it, once the page refreshes the email will move to the “Read” emails at the bottom keeping the unread at the top with the option is on.

10. When a user sends an Appointment Prep notification, the VIN number will now display in the email under "Customer/Vehicle Information.

11. When there is a “Transportation” linked to an opcode in Transportation configuration, DealerMine will display the linked transportation in the Add Line popup and on the Book Appt form.


When there is more then one Transportation code linked to an opcode, the transportation will default to the last one that was added to the appointment.

12. The report “Appointment Cards” will now sort the cards in order of the appointment time. When printing the cards, they will print in order from the first appointment of the day to the last.

13. DealerMine will now allow users to update customer information on a profile that does not exist in the DMS.

When the customer info is updated on a file that is not in the DMS, the user will be presented with an error "Customer file can not be found on the DMS. Do you want to recreate the customer?" When they click No they will be redirected to the profile screen and the new customer info will display.

The arrows will not display until an opcode is clicked on.

14. When booking an appointment users can now move the opcodes to change the order on and edit or new appointment. Simply click on the opcode that needs to be moved and the blue arrows will display, click the arrow until the opcode is in the desired location.

15. When Merging files we have the order of the relationship drop down, now "Other" and "Duplicate File" will display at the top of the list as these are the most used.


Resolutions

1. When customers were replying to emails, the emails were linking randomly to users in the email tab. This has been fixed

2. There was an issue with the RO Date not displaying on Key Report 1.4 - Performance Report Detail by Username. This has been fixed.

3. The "Targets" were not saving in Template & Batch set up. This has been fixed

4. When editing an appointment users were finding that the “Est Time” on a Service was changing to be 0.3. This is fixed.


5. When using Telephony, are times when leaving a voice message for a customer that the user will click the "Leave Message" prematurely, as a result would get an error and the call would end. now when this happens DealerMine will display an error message letter the user know the call is not ready to go to voice mail yet and the call will continue.

*You must wait until you hear the beep before clicking "Leave Voice message"

Sales/Service CRM Enhancement

1. When creating or editing a Service Follow up the “Add to Calendar” button will no longer display in the Create New Followup popup.

However, when doing a Sales followup and the user does not have access to "Google Calendar" they will be presented with a message letting them know they are not setup with google calendar when clicking on "Add to Calendar".

2. We have added an option in the customer Merge tab, where users can select which information between accounts displays on the parent account. Only one option can be selected in each column. The fields below the line signify which options have been checked. If this option is turned on, this window will display when merging customers in the "Sales Merge" tab as well. Please contact support to have this option turned on.

This is a Global change, so it will be changed for the entire data base!

Contact methods can also be turned on or off from this window, and the customer names and numbers will display.

3. The Licence Scanner popup has been updated and now has a better layout.

Sales CRM Enhancements & Resolutions

Enhancements

  1. When editing a delivery from the Delivery log or creating a new delivery from the Traffic log, users will no longer be able to change the Store/Branch in the drop down. When a user has access to more then one store/branch and they are scheduling a delivery, when they select to go to the Inventory screen it will default to the store the deliver is being scheduled for. If a user only has access to one store/branch then they will only have access to schedule a delivery for that store/branch.

  2. When working in the Portfolio in the Open Pool DealerMine will now take into consideration the Child files on a merge file when calculationing the last Contact date. So if a Child file has a newer contact date then the parent file, DealerMine will use the newest contact date when getting the "Latest contact date".

  3. For Text and Email Delivery Notification, they will now include the Stock number of the deleveried vehicle and the delivery date.

4. When marking a Showroom Web lead as a duplicate, users are now able to sort by "Email" when in the Duplicate Lead screen.


5. A new filter has been added to the Portfolio > Sales Reassign tab "Unassigned Deals". This new filter will only display when "All' is selected for Inactive Salespeople and on the "All" or "Customers" fiter. The selections in the "Unassigned Deals" drop down are;

Both - will display customers that have deals but no salesperson, as well as the normal customers we are going to reassign.

Yes - will display only customers that have deals but no salesperson

No - will display customer that have deals and a sales person

This new filter will default to "No".


6. When selecting to recycle from the Sales Sched indicator, the Recycle screen will now display two options "Recycle Vehicle" and "Recycle Customer”.

  • Recycle Vehicle - Does not remove the customer from the screen, however recycles the vheicle.

  • Recycle Customer - Removes the customer from the screen and recycles the file.


7. Users now have the ability to see if the inventory is In-Stock or on OnOrder by looking in the status column of Browse Inventory.

Resolutions

  1. There was an issue where the Sales CRM Report Card was not displaying Followup appointments. This has been fixed.

  2. There was a pricing differences between the Inventory screen in DealerMine and what was listed within CDK. This has been fixed .

  3. When doing a Sales reassign and selecting from the Prospect filter, Dealermine was reassigning the entire file and not just the most recent Traffic log entry. This has been fixed.

  4. When doing a Sales reassign on a prospect file it was reassigning the entire prospect file. This has been fixed and is only reassigning the newest Traffic log entry.

  5. There was an issue with Fetch, when reassigning files that could not be sent to Showroom users were getting an error. This is now fixed

Did you know?

  1. Did you know - Merlin/Serti users are able to push a new deal to Merlin but cannot re-push to apply any new changes.


2. Did you know - when there are services that were offered and booked during the initial booking process, they will display with a green check mark in the Appt hist tab on the customer’s profile. The green check will display a tool-tip when users hover over the check mark.

3. Did you know that when purchasing an Inbound number for Telephony and giving it a Friendly name, that this is the queue name as well?
