DealerMine Enhancement

When a DealerMine user is being inactivated depending on what schedules, lists, emails that the user is linked to the Warning below will display. The warning will let the user know what the inactive user is linked to.

Service CRM Enhancements & Resolutions

Enhancements

1. DealerMine has a new option to automatically turn off vehicles that are body shop customers only, this will insure that these customers are not Marketed to from the Call Select, Fetch or Batch.

  • If a vehicle has only Service history with department “B” (body shop), it will turn off the vehicle (if not already off)

  • If a vehicle has been turned off for Body shop reason and comes in for work from a different dept such as Service, this will turn the vehicle back on for contact. To take advantage of this please call our Support team to have the option turned.

*Please note this option is only for vehicles that are turned off for Body Shop, this is not for vehicles that have been turned off by the user from the Customer info screen > Contact Types (vin specific)


Appointment Scheduler

2. Users are now able to edit and delete notes on the Appt Schedule that they did not create. This will be a user access option. When a note has been changed it will display as “Last Modified” and will display the date and user name of the person that performed the edit.


To give access to another user go to the Admin Screen > User setup > User Access > Appt Sched > “Edit/Delete All Notes”. General Managers, BDC Managers and Service Managers will be on by default.

Followups & Refusals

3. In the Refusals tab, users now have the ability to view Refusals by Date or Date range, they are also able to select a default Date range.

When a default is set the heart displays as red, when no default is set the heart will be grey.




4. There is a new option in User Setup > User Access > Followups to “Hide Refusal Tab”. When this option is checked off for a user, when they log into DealerMine they will no longer be able to view the Refusal tab within the Followups action tab.

Survey

5. A new column “Opened Date” has been added to the Survey tab. This column is sortable by date, simply by clicking the column header or by selecting to use the “Opened” filter options to include “Opened, Not Opened or All”. DealerMine has also added a progress bar for “Open” to show the percent of Surveys have been opened.


Profile / Customer Information

6. When adding/editing a customer’s number in the customer info screen, DealerMine will require the full 10 digit number to Save. If trying to save without the 10 digits users will see this error message. The error message will display which number is incorrect Home, Work, Cell or all 3 as in the screenshot.


7. When a new customer profile has been created, DealerMine will automatically insert a record on to the Contact hist tab. The entry will display the Contact Type as "CustomerAdd" and the username, date and time the customer file was created.




Call Select Screen

8. DealerMine has a new option to display “recalls only for my manufacturer”. This option is per-branch and will require a nightly download to take effect. When this option is turned on it will only display the Recalls that DealerMine generates for the Branch’s manufacturer on the Call Select. Please contact our Support team to have this option turned on.




9. Users are now able to customize how they would like the Recall Targets to display on the Call Select screen. There are 4 options to choose from.

  • Recall#

  • Recall# & Make

  • Recall# & Year/Make

  • Recall# & Year/Make/Model

This option will need to be setup by our Support Dept.

10. DealerMine has a new option in Contact selections, "Do not perform CSI calls on these departments". This is a multi select drop down listing departments, which will be the same departments we use in Service history tab. When a dept/s is selected, they will not be included in CSI Calls.

SPORDs Special Order Parts

11. DealerMine now transfers SPORD information with the VIN. If a VIN has SPORD information attached to it and the VIN is transferred to another profile the SPORD information will display on the new profile only if the SPORD is still active on the file.

12. The Spord tab on a customer’s profile has been renamed to be “SPORDs Hist” tab. This tab will now display all SPORD that have been ordered for the selected customer moving forward as of April 2020. If the SPORD has not been completed a green check mark will display at the beginning of line, if the Sport has been completed the green check mark will not display. The tab will have 12 columns;

  1. SO Number - Special Order number

  2. Ordered - date the order was placed

  3. SerNo - Serial number of vehicle that part was order for

  4. Advisor- advisor name of person that placed the order

  5. ctrMan - Control number

  6. Part - part name and number

  7. QOrd - quantity ordered

  8. QRcvd - quantity received

  9. Received - date part was received

  10. PO Number - Purchase Order number

  11. Comments - entered by Service department

  12. Description - entered by Service department


Leads

13. Dealermine has added two new columns to the Lead Stats tab;

  • # Leads with Past Appt: This column displays a distinct number of leads that have an appt before the current date in dealership time (in this example there were 46 appointments prior to the time the screenshot was taken. We get the % by dividing #Leads with past appts by # Leads with Service Appt)

  • # Leads That Showed For Appt: This column displays the number of the above leads who showed up for their scheduled appointment. (We get the Show % by dividing # leads that showed for Appt by # leads with past Appt)

Templates & Batch

14. When creating a Batch schedule for Letters, Emails, Text or Voice Drops, DealerMine has added two new drop down, "Day / Late Day" and "Customer Types".

    • Day / Late Day - users are able to drill down and select Day or Late Day customers or they can select ALL. By default All is selected.

    • Customer Types - users are able to drill down and select Non Fleet , which will exclude any Fleet customer from the Batch. By default All is selected (which includes Fleet customers).

15. We have improved the Batch Contact Status pop up screen. When in the popup users are now able to select a date or a date range and then click on Search. Users can drill down further and select what Status they want to Search by simply clicking the check mark:

      • Green check mark - will be included in the search

      • Grey check mark - will be excluded in the search

When the search criteria is completed, click on the Search button and the info will display on the grid to the right. The grid displays 5 columns;

      1. Cust#

      2. Status

      3. Date

      4. Branch Name

      5. Contact ID



16. We have added two new merge fields << ApptDate_es >> and<< ApptTime_es >>. These merge fields have been added for users who wish to create bilingual templates, this would include Spanish and French or/and English scripting in one template.

We have added Spanish to the language drop down so when selected the merge fields << ApptDate >> and << ApptTime >> will translate according to the language that was chosen on the template.

<< ApptDate_es>> and << ApptTime_es >> will display as "viernes, 22 de mayo de 2020 09:45 AM".

Voice Drops

17. DealerMine has made some improvements to the Voice Drop set up. Now when setting up Voice Drops users have the ability to see the amount of time it will take for the Voice Drops to complete when choosing how many Voice Drops they want sent out per minute. Keep in mind the more Voice Drops you have going out per minute the more inbound calls you will receive per minute. This new feature is in Fetch, Batch Contacts and Sales Schedule set up.

Also note Voice Drops can only be sent out between 8 am to 8 pm and the value of Voice Drops being sent out per minute must be greater than 0.


eService

18. Eservice now has the option to send the confirmation through Text. In Eservice Configuration on the Options tab in the Email Online requests section a checkbox has been added for “Send Confirm Text after each online booking”. When checking to turn this Texting option on, a drop down will appear and the user will select what Store and Texting number they want the Appt confirmation text to come from. Users can select to have Email and Text options on or select one or the other. When they are both on, an email and text will be sent to the customer to confirm the online appointment.


In Templates & Batch setup > Texting templates > the texting template will be created automatically and users will only be able to edit, they cannot add or delete an eService texting template. When editing users cannot edit the template name or call type.

When the Text option is selected, the Cell number will be a required field when booking an appointment through Eservice and area code will be required

Fetch

19. DealerMine has added two new fields in Fetch to the Service History Source, "Booked by" and "Booked For" when creating a query.



Reports

20. On the Reports tab a new report has been added under Service > Spord Analysis “Spord History Summary” & “Spord Summary”.

  • The Spord History Summary report will display: Name, SOVO, Counter, Rcv Date, # Contactx, Appointment, Repair Order and Labour$. This report can be ran by;

    • Sort options

      • All

      • Front Counter and

      • Back Counter

  • The Spord Summary report will display: Name, #Contacts, Last contact, Appt, Counter SONO, #Ord, #Rcv, Received Date, Advisor and Age. This report can be ran by;

    • Sort options

      • SO number

      • Received Date

      • Advisor

    • Spord Type

      • All

      • Front Counter

      • Back Counter

    • Part Types

      • All

      • Received

      • Not Received

Resolutions

  1. There was an issue where if an AutoAdd opcode was inactivated, it would cause the Book Appointment screen to crash. This has been resolved.

  2. There was an issue where some Voice Drops Stats were not reporting correctly, as a result the reporting for Voice Drops were incorrect. This has been resolved



Sales CRM Enhancements & Resolutions

Delivery Log

1. The Delivery log now takes into account when there is a holiday and will no longer permit bookings. As there is a 2 day buffer on booking a delivery it will now also take into consideration holidays entered in DealerMine.

Sales Managers will now receive delivery log notifications when:

      • A delivery is scheduled

      • The Status of a delivery is changed (if set up in user setup and only for statuses that are set up for notification in delivery configuration)

      • When the delivery date or time has been updated.

2. When scheduling a delivery the buffer days will now take into account any holidays or closed days. Before when scheduling a delivery if the buffer was 2 and you were scheduling on a Friday it would put the date on a Sunday even if the dealership was not open.

3. When a Delivery is scheduled or updated for a customer, the Contact hist tab on the customer’s profile will update as well. DealerMine will display the username of the person that did the update, the date, time and the Contact Type will be “Delivery Log”


4. When a "scheduled" delivery time is changed, the Salesperson assigned to the delivery will now receive notification that the date or time has been changed.


5. A Print button has been added to the Delivery Log, this will allow users to print a grid view of the delivery log with the selected filters. There are eight columns on the Delivery Log report;

      • Branch Delivery Key

      • Delivery Date

      • Customer name

      • Vehicle Description

      • Sales Manager/ Sales person

      • Number of Accessories

      • Status Steps to completion

      • Latest Note


Leads

6. When a Web lead is linked to a customer’s profile and the user sends a Text it will remove the lead from the New Leads to the Lead History tab within the Web Leads > Showroom Leads.

7. DealerMine has made some changes to the “Duplicate Lead” screen. We are now using the first name last name and the phone number and email address lead information to find a duplicate lead

  • The Lead information will display in the top left corner of the screen.

  • A “Show all leads” checkbox has also been added to the screen. When on the Leads tab > Showroom leads, right click on a lead and then click on “Duplicate lead”. The Duplicate Lead popup screen will display:

      1. if a match is found the “Show all leads”checkbox will be unchecked, however the user can check the box to show all leads that have at least one match with the selected Lead.

      2. If no match is found an Info popup will display to let the user know no match was found so we will show all leads that have at least one match with the selected Lead

*DealerMine will use first name, last name and email address to search for a duplicate Match.

Showroom

8. We have improved our integration with Deskit and are now able to pull F&I information from Deskit into DealerMine

9. In Showroom Configuration > Worksheet Items users now have the ability to edit F&I products and Misc fees/Items.

10. When doing a Sales Reassign in the Portfolio, DealerMine has added two options in the “Change Salesperson” popup.

  • “For Prospects”, use the active salesperson from the last deal” check box. When this box is checked , DealerMine will look for the salesperson on the last deal and reassign to them, otherwise it will use the round robin.

  • “For Customers”, gives the ability to user the last Traffic Log Salesperson within the last 6 months if active.

11. DealerMine calculates the Star Rating by 7 years in vehicle purchase years. Now users will have the option to use DealerMine's calculation or set the number of years they would prefer to use.

This option will need to be turned on by Support and will take into affect the next day.

Fetch

12. In Fetch a new field "stkNo" has been added to the Source Showroom Prospects. This will allow users to create a query for a specific Stock number or Stock number variation.


Equity

13. Users are now able to see how the Equity is calculated on a certain vehicle. When on a data base that uses Equity, users are now able to view the Equity calculation by clicking on the red or green Equity, this is located in front of the vin in the Vehicle info section of the profile. They can also click on Equity value on the Purchase hist tab in the "Vehicle Details" section.

Desking



14. We have changed the way a new file is recorded on the Contact Hist when a new Profile is created when pushing a deal from the Desking screen.



Before DealerMine would display as below, so users were not really sure why the customer’s file was merged.

Now DealerMine will display that the merge is Due to a deal push on a new customer without a file..

Reports

15. Users now have the option when running the Sales Cycle report to show Unique Customer instead of using Unique Traffic log entities. So when the option is turned on it will use the Unique Customer numbers for the calculation

DMS Enhancements & Resolutions

Enhancements

1. Quorum- users are able to link a Transportation code to a S.C. code, so when booking if a linked Transportation code is selected the S.C. Code will default to what is linked in the setup screen.

To link a Transportation code to a S.C. code, go to Transportation Configuration and select the transportation code, find the S.C. in the the is a new option “Link this to an SCCode and it will automatically select the code when booking an appointment” drop down and save. This drop down will always default to “No SC-Code”.



2. Quorum - We have added a new option under Global Configuration called 'Turn Off Privacy Lvl4 Associate Customer'. When this option is checked DealerMine will inactivate any customers that are set as privacy level 4 - no consent in Xsellerator.

Resolutions

  1. Quorum - There was an issue where updating an appointment in DealerMine would push the appointment to Quorum with no appointment lines. This has been resolved.

  2. Quorum - there was an issue where an error message would populate, and duplicate appointments would be created when adding a Recall campaign number that does not exist or includes special characters. This has been resolved.

  3. Quorum - There was an issue where Purchase history was not displaying the "Deal date" or "Expiration date". This has been resolved.

Did you know?

Did you know, that when creating a query in Fetch and using the field "AddDaysToCurrent(-1)" and entering in a positive number you should not add the "+" to the query statement.
