DealerMine CRM Enhancements & Resolutions

Enhancements

  1. Text Opt In - We have made a change so that only one opt in texting template can be setup per store & branch. You can send the opt in when updating the cell phone number, or anytime by clicking the grey SMS bubble next to the phone number. Opt In templates are now tied to the Contact Type = Opt In, rather than Marketing.

  2. Send Opt In - there is a check box that is checked by default, next to the Cell Phone field in the customer information screen that a user can uncheck when updating a cell phone if they do not want an opt-in text sent at that time.

  3. Recycling a Customer with a Followup - now when recycling a customer with a followup you will be asked if you'd like to delete the followup or just Recycle and leave the followup on the customer profile.

  4. User Access Role Change - when an Admin user changes the role of any employee setup withing DealerMine, the user will be presented with a popup stating "Would you like to apply all settings based on this new role to the current users settings?" Yer or No. This is a great value added feature to save time when roles change internally.

  5. Searching in Web Leads - When double clicking on a new lead to link to a customer, DealerMine will attempt to find a matching customer, bringing up similar customers in the bottom portion of the grid. (Only customers are included in this list, not similar prospect files) If no matches are found, click "Add Customer/Prospect".... OR click the Search option on the right side to do a manual search using our traditional search screen.

Service CRM Enhancements & Resolutions

Enhancements

  1. Book Appt Form - We have made some changes to our book appt form to continue to improve the process of booking appointments. We have added the DMS customer number in the top bar on the left. We have an added a collapse bar to allow you to widen the screen to see more details of the services being booked.

  2. Adding a Vehicle on a Prospect File - Now when attempting to add a vehicle for a prospect file (any -4 customer), you will be asked to add a customer file since it's required for booking appointments in the DMS.

  3. eService - Now when attempting to validate an unconfirmed eService appt where the date & time is in the past, you can now proceed and click Continue to finalize the appointment booking and choose a new date/time. Previously you would have to delete the appointment request and re-book as you couldn't continue with an appointment date in the past.

  4. Service History (Complaint column) - we have added the ability to click on the complaint and a pop up will appear and allow you to copy and paste the complaint if needed.

Resolutions

  1. There was an issue where the orb on the Texting tab was not accurate. This issue is now resolved.

  2. Issues - when raising an issue on a customer file, the issue screen was not closing. This issue has been resolved.

  3. There was an issue where during appointment edits the team name was not being stored and displayed. This has been resolved.

  4. Fetch fields - Now when building a Fetch and using field "Customer Type" = Fleet, you will get all customers who have been updated as Fleet in the customer information screen within DealerMine.


Sales CRM Enhancements & Resolutions

Enhancements

  1. Default Status on Web Leads - you can now set a default "Status" in I-Lead Setup. Each lead source setup for Showroom leads can have a default Status if required. Go to Admin Screen > Email Setup > I-Leads and choose a default Status if needed.

  2. Search field in Showroom Lead History - we have added a new search field in Lead History, which will make it easier to filter quickly and find a lead based on source, subject, name etc.

  3. Vauto - you can now enter the usernames and passwords in User Setup for each user that will be using the vAuto integration in our Sales CRM. Go to User Setup - User Info.

  4. Up List Rotation - we have added the Up List Rotation feature in Beehive as it was in Silverlight. This feature is available to all Sales CRM stores utilzing the Up List. Go to Showroom Configuration - Up List Rotation to activate.

  5. Inventory Validation Access - we have added a user access option to turn on Inventory Validation. If a user doesn't have this option they will have VIEW ONLY access when viewing inventory options. Go to User Setup - User Access - Inventory - Validate Inventory.

  6. Unvalidate - all users who have access to validate can now right click and "Unvalidate" any stock in inventory that was validated in error. By un-validating the stock, you are putting it back to it's original state.

Resolutions

  1. Trade Appraisal Form - there was an issue where the check boxes were not showing up on the printed trade appraisal form in the Questions section. This has been resolved. Go to Showroom Configuration > Trade Appraisal Flow to configure.

  2. There was an issue when attempting to save sales schedules as it would throw an intermittent error, preventing the schedule from saving. This has been resolved.

  3. There was an issue after linking web leads to a customer or newly added prospect, that when the option was checked to "Add to Traffic Log" it wasn't adding the entry. This has been resolved.

  4. Inventory Validation - there was an issue where we were saving the exterior colours in the interior colours field in our Inventory screen after being validated. This has been resolved.

  5. There was an intermittent issue when changing the status on a new Showroom lead, it was presenting a pop up to choose a reason for marking the customer as lost, even though the customer wasn't being marked as lost. This has been resolved.


Desking Enhancements & Resolutions

Enhancements

  1. Payment Summary - we have changed the summary section to only include incentives for the chosen financial provider, rather than all of the possibilities. Please keep in mind it does still show the best possible option, which may not be available on all terms. Look inside the term boxes for specific incentive details available for each term. When you finalize a deal or print and present payments, you will see accurate incentive info per term chosen.

  2. Desking Options - we have added two new options for applying tax on lease incentives and lease discounts in our Desking Configuration screen. These options will allow you to set defaults for how tax will be applied on lease incentives and discounts. You can choose the default to be Pay Tax on DOD, Back out the Tax or Finance the Tax.

  3. Desking 'GM' only - we have a new watermark notification that will appear on any deal that exceeds 120% of the MSRP on all GM vehicles. This flag will only appear on OEM financing.

  4. Add New Followup - we have added a new option in Showroom Configuration - Followup Reasons and Durations. This option if checked will present an "Add New Followup" every time a followup is completed.

Resolutions

  1. There was an issue where users were creating a new Followup while completing a Followup and the Create Followup popup would not display. This issue has been resolved.
