DealerMine Enhancement

Enhancements

  1. DealerMine now has an Email Throttling option in Email Batch Job and Fetch email campaign. There are some email providers that have a threshold of how many emails can go out at a time when a large amount is being sent out at one time.. I. E. you are sending out an email blast off 1000 and 600 are Hotmail account customers, that could be too many to go out at once so there is a potential that the provider could block the campaign. So now when creating a Batch Email/Fetch Email campaign, users will now have the option to use the Email Throttling feature. This will split up the campaign sending a smaller amount in the specified time that is entered in the Batch Contacts popup screen.


Service CRM Enhancements & Resolutions

Enhancements

1. When sending an Appt Prep notification the mileage will now display in the Send Notification popup under the vehicle info.

Appointments

2. When deleting an appointment in DealerMine we were only showing the confirm popup when deleting from the Appt Sched or from the Appt indication on the profile screen. Now we have added an option in DealerMine to see this "Confirm" popup when deleting from the Book Appt form.

When this option is off DealerMine will automatically delete the appointment when Delete is click on in the Book Appt screen.

To take advantage of this new option please contact your Account Manager or Support.

Leads

4. We have a new option in user access > service lead "Assign Leads" which will allow the user given the access to see all of the employees in the drop down that a Service Lead can be assigned to.

OpCode Utilization

5. When users are adding an OpCode that is already in DealerMine we will now display an error message that says ‘OpCode already exists’.

Email Setup

6. In email setup when adding a provider we have now added Gmail/Office 365 as a protocol. When Gmail/Office 365 is selected from the drop down the fields will update and a ‘Grant’ button will display. When the ‘Grant’ button is clicked the user will be redirected to the gmail access process. We have added a grant button under Email Setup > Incoming Mail. We have added this button in case users need to re-grant access to Gmail / Third Party APIs. We have also added an option for outgoing mail to Send email from DealerMine server. If this is checked the emails will be sent using the DealerMine server, if unchecked emails will be sent from the gmail account. . We have added a grant button under Email Setup > Incoming Mail. Texting Setup

7. Users now have the ability to inactivate a texting line in the texting setup screen. When a texting line is inactivated it can not be used in Batch Texts, eService or to text customers. If a number is assigned to a Batch job the user will receive a popup letting the user know that the Text number is being used and they will need remove it from Batch schedule before inactivating the number.


8. In the Texting setup screen we have added tool tips to the Telephony and Inbound Phone Numbers.

  • Telephony - if a green check displays this the number was created in the Inbound Number screen in Telephony.

  • Inbound Phone Numbers - if a green check displays this means the number is being used on the Inbound Number screen in Telephony.


Telephony

9. On the Call Log tab for Telephony users, we have added "All" to the Store drop down, instead of having to view each Dealership at a time they can view them all at once.

10. In the Telephony setup screen on the Inbound Phone Numbers grid, DealerMine has added the columns “Texting Setup” and “Use for SMS” with a hover over tool-tip similar to the Texting setup screen.

    • Texting Setup - if a green check displays this means the number was initially setup in the Texting setup screen.

    • Use for SMS - if a green check displays this means the number is also being used in the Texting setup screen.


11. When buying an inbound number the user will have the option to use this number for texting by checking the "Use In Texting Setup".

eService

12. Users now have the option to display either price, description or both on their eService website. Before users only had the option to display both. To set this up go to eService Configuration > Options and you will see two new options ‘Display E-Service Pricing’ and ‘Display E-Service Selling Lines’ if either of them is checked that means that option is on.

To finish setting up please ensure you have the eService description and/or pricing set up in maintenance configuration > Description & Pricing.






Once set up customers will be able to click the information icon beside the service to view the description or pricing.

Resolutions

  1. When booking an appointment on a dealership that uses French opcodes, when the user used the Add Line on the Book Appt form and searched for an opcode with with open or closed quotations (i.e "L'Huille' or d'ent) they were getting an error. This has been resolved.

  2. DealerMine was not displaying the red orb on the Texting tab to let the user know that there was a new text. This has been resolved.

  3. There was an issue where an indicator would display over the Service History tab but there would be no service history attached to the VIN. This has been resolved.

  4. Users were able to bypass the daily limits set on opcodes by booking by team. This has been resolved.

  5. The Voice Drop Report was not showing data. This has been resolved.

  6. There was an issue where fetch queries were populating a different amount of results when run. This has been resolved.

  7. The unread survey count was not taking into consideration the deleted surveys and we were having an issue with delete survey access not working. this has been resolved.

8. There was an issue on the appointment schedule where open ROs were displaying as Open RO - No Status we have resolved this to now display Open RO - In Progress.


Sales CRM Enhancements & Resolutions

Enhancements

Delivery Log

1. A “Date range” option has been added to the Delivery Log, the option selected will display in red in the upper right hand corner of the Delivery Log. When a date range is selected the user will not be able to use the options to Mark/Unmark day as full/ and Override max deliveries.

The Progress bar will also show the progress for All stores or a single store, the count on the left side panel will also show the count for each store when All is selected from the Store drop down which will make the total Deliveries that displays in front of the progress bar.


2. The date picker will also show any holiday in red, as per the dealerships Holiday setup.

3. The Deliver Log report will also print using a date range and display the Date range that has been selected on the report.


4. DealerMine has added a new option in Delivery Configuration that allows a user to select multiple users to receive a "New Delivery Notification" for every new delivery.

Users will need to have either email or text notification turned on in User Setup > User Info.


5. DealerMine has added an option where they can now lock the Status of a delivery so the Stock# and vin cannot be edited during certain steps in the delivery process as per the setup screen.

To use this option go to Delivery Configuration > Status section, check the "Lock Delivery" check box for each Status that will be locked for editing.

6. In the Prospect Summary section of the Traffic Stats tab of the Traffic Log, we have added a new Traffic "Delivered Status". Delivered Status display how many Traffic Log entries were marked as Delivered Status on a specific date or date range.


Resolutions

  1. There was an issue where the notifications for the Delivery log were blank if there was no stock number attached. This has been resolved.

  2. There was an issue where users were unable to Mark/Unmark days as full on the delivery log. This has been resolved.

  3. There were several issues with missing information on the Worksheet.

  • the Lease/Finance option title

  • Cash down

  • Mileage allowance

  • Residual % & amount

  • Tax included or without tax

This is now resolved

4. There was an issue where certain users were not able to print the worksheet from the desking screen. This is fixed

5. There was an issue where users were getting an error when sending a trade to Vauto. This has been resolved.

DMS Enhancements & Resolutions

Enhancements

1. PBS - We have added a new option to Team Setup for PBS. Users can now link Shop codes to Teams by going to Team Setup > Specifications and selecting a Shop code from the drop down. This new option will automatically place the appointment with the Shop code associated with the Team the appointment was linked to.

2. Quorum - DealerMine has updated the Opcode pull process with Quorum and now we are able to pull and display the Opcode prices in DealerMine on the Book Appt form.

3. Quorum - We made a change in our system to better handle Toyota Merchandising Opcodes and reduce booking errors. When booking an appointment and searching for services we are now only returning opcodes that are compatible with the vehicles "Toyota Model Code".

Also when using our "Shopping card" feature from the customer profiles recommended service section it will now make sure the opcode added to the appointment is compatible with the vehicle "Toyota Model Code".

Resolutions

  1. PBS - There was an issue when deleting a line from an appointment that had a part linked to it the line was not deleting when the appointment got pushed to PBS. This has been resolved.

2. Quorum - There was an issue when updating an appointment in DealerMine that had lines without opcodes the lines without opcodes would get deleted when pushed. This has been resolved
