In order to submit an Assessment for approval, there are certain fields of information that must be completed to fulfill federal reporting requirements. To help workers comply with these regulations, submission requirements have been built into Casebook.
Missing submission requirement alerts for profile information are displayed in red alert boxes within the Family Network card.
Individuals requiring similar information are grouped on the same requirements card. Hovering over an individual's name displays the missing information required for that person. Clicking the '?' in each card displays the entire list of information required for that section.
When specific information is not available exceptions can be created by clicking the Create Exception' links within each card.

Creating an Exception
When the 'Create Exception' link is clicked a modal appears with three requirements:
1. Selecting if the exception is for an individual or a group of people.
2. Entering the Reason for exception (Drop down list)
3. Adding additional Text to provide further detail for the specific reason selected
Creating Individual Exceptions and Confirmation Modal
This option allows you to enter exceptions for individuals.
1) Use the check boxes to select one or more individuals.
2) Enter the reason and additional text.
3) Click SAVE to continue or CANCEL if you do not wish to save the exception.
4) A confirmation modal summarizes the individuals selected and the exceptions to be created.
5) Click SAVE to confirm or BACK to continue editing.
Creating Group Exception and Confirmation Modal
This option allows you to create exceptions for all persons involved in an assessment and for all items required for submitting the assessment.
1) Enter the reason and additional text
2) Click SAVE to continue or CANCEL if you do not wish to save the exception.
3) A confirmation modal summarizes the exception being created.
4) Click SAVE to confirm or BACK to continue editing.
Notes:
A group exception can be added even though individual exceptions have been created. After a group exception has been created no additional individual exceptions can be created unless a change is made to the assessment participants.
Group exceptions no longer exclude the requirements for Narratives, they are required to submit the Assessment for approval
Example:
1) Individual exceptions are created for victims on the assessment.
2) Later it is realized that no one on the assessment can be located and a group exception is created.
- No further individual exceptions can be created since the group exception includes everyone currently associated with the assessment.
3) A few days later it is determined that one of the parents is also a caregiver.
- When that relationship is added caregiver information will then be required for that parent / caregiver.
- An individual exception can now be created for that new requirement.
After Exceptions are Created
Once one or more exceptions have been created a grey alert box indicates the information is no longer required to submit the assessment.
Hovering over an individuals name shows the information that is missing, the reason for the exception and additional text entered.
Notes:
After an exception is created and confirmed it cannot be edited or deleted
If you create an exception and then find the missing information, it can still be added. When the information is added, the associated exception will no longer be displayed on the assessment
Exceptions are no longer available for allegations. They must be marked as substantiated or unsubstantiated
When substantiating a sexual abuse allegation you must now enter a relationship between the perpetrator and victim or indicate that the perpetrator is a stranger on the allegation. Exception for this requirement is included in group exceptions
Changing participants or allegations may also change information required for the assessment to be submitted. This includes when an assessment is Returned for Edits or Edited Due to Appeal
If a Person with a role of caregiver, perpetrator, or victim has an existing exception and has an additional role added, a new exception must be created
