You can launch the create note function at anytime from anywhere by clicking the grey New Note button found in the top right corner of each page in Casebook. You can create a note about cases, assessments, foster families, or residential resources from anywhere in Casebook at any time, even if you are not assigned to the unit of work.

When you are in the process of adding a note or a note add-on, and either forget to save or accidentally navigate away from the page, MaGIK will display an “Are you sure you want to navigate away from this page,” warning.
Clicking “Leave Page” the worker will navigate away from the page and information will be lost.
Clicking “Stay on Page” they will be able to click Save and Process save the information in the note.
Click New Note.
The first field on the note edit screen asks you to indicate which unit of work the note relates to. By default, the new note will autopopulate with the unit of work you were currently on. From there, you can change the unit of work by deleting the autopopulated unit of work and using the auto-complete search box to select the desired unit of work. Units of work you are assigned to will populate the autocompleter first, similar to the way related people populate autocompleters. Withdrawn assessments will not appear in the autocompleter.
Enter the narrative of the notes into the text box. This text can be typed into the box directly or pasted from elsewhere.
Click ‘Save and Process’.
When you click “Save” more than once after creating a note, only one note will be created and saved on the history page.
On the next screen, you can add a note add-on or upload files. The file upload process for notes is the same as when you upload files through the file upload card on a unit of work.
A structured data note add-on does not have to be added, but can help capture information. Good general practice would be to record anything that would be recorded in a monthly report as a contact note add-on.
Click close when all information has been entered.
Examples of when you would create a note
Several examples of when you could create a note are:
An FCM conferred with a supervisor and they gave some great suggestions and tips.
An absent parent search was conducted via DCS history search.
A limited criminal history search, phone book search, Facebook Search was conducted.
Agency Research, Medical Research were conducted.
A meeting was held with a psychologist who provided two hours training on children with a specific issue.
Any progress notes that shows work done on a case or assessment.
As seen in the screen shot below, when you enter a phone number in the initial Note text box and click save, the phone number will appear as a blue link. You can click the linked phone number and a phone bubble will appear.
The "Add This Phone Number" bubble can be clicked. When clicked, the Add a Phone number box will expand below, and the user can add who the phone number belongs to and the type of phone number.
