Unlike all other cards on a Report each Participant is edited separately. To edit a Participant’s information either click the pencil icon on the right or click the link next to any question mark.
Details you record about a Participant are locked locally to the Report.
You can edit all Participant information regardless of whether their profile was brought across from Casebook or created directly on the Report.
If any changes are made to a Casebook Person’s profile after that person has been added to the Report then that Casebook person must be re-screened into the Report for their information to update. For more information, please access Re-Screening a Participant.
Changing Participant demographic information only updates Casebook profiles when the Report is approved. Only Participant information which is missing from the Casebook profile is updated. Race only appears on the Participant’s summary card and cannot be added or edited on the Participant edit screen
A Participant’s race should either be corrected on their Casebook profile page, prior to adding the person to the Report.
If race is updated on the Casebook person’s profile after being added to the Report then the Participant will need to be re-screened for race to update on the Report
Validation Notes when saving a Participant’s edit page
Participant's Date of Birth cannot be after the Date of Death
Date of Birth and Date of Death must be in mm/dd/yyyy format.
Date of Birth & Date of Death cannot be 200 years ago
Date of Birth and Date of Death cannot be future dates
Email address must be in a valid format (name@domain.xxx)
Tagging a Participant as an Unknown Person
This option only appears when editing a Participant who is not linked to a Casebook person.
To tag a Participant as unknown
Select the ‘This is an unknown person’ checkbox below the Participant name
Participant’s Name becomes optional
Optionally you can add information in the ‘Person’s Description’ field to assist in identifying this Unknown Participant elsewhere in the Report
The person’s description appears on Allegations, mandated reasons, PEDS, and relationship forms to help differentiate multiple unknown Participants on a Report
Making a Participant a Reporter
At least one Reporter is required when the Report is submitted for approval.
To mark a Participant as a Reporter
Select the ‘This person is a reporter’ checkbox
Select ‘Type of Reporter’ from the dropdown
Select Reporter's ‘Source of Information’ (how the Reporter became aware of the Allegation)
Type of Reporter and Source of Information is displayed on this Participant’s summary card above their Name.
Note:
Reporter Types are displayed in two groups - 30 Day Report Required and 30 Day Report Not Required
Each group lists the Reporter types which should or should not receive a copy of the 311 Report
You can select Additional Information about the Participant. Some selections will present an option to provide additional details related to that selection.
To Add Additional Information
Select the appropriate checkboxes
Add additional details as necessary
Click Save
Additional Information appears on the Participant’s summary card.
Notes:
Additional information has no impact on the Report regarding validations or conflicts
Additional information is not automatically copied to the Person’s Casebook profile, it needs to be verified and added by an Investigator
