The first screen that you see when you log into Casebook is the Top Navigation Bar and the Dashboard. The Dashboard is populated with information about your caseload, submitted and approved cases and assessments, and notifications. Supervisors can view their teams' caseloads and unassigned work in their county as well.
The screen shot below displays a picture of the dashboard for workers, aside from Resource workers and CEU workers. Up to 200 units of work will display so that you will be able to view everything that is active and assigned to you in your case load on the dashboard. The dashboard may take a few seconds to load if you have a larger case load.
When a user signs in there is a top navigation bar that will appear on every page. This navigation allows the worker to quickly return to his/her dashboard, have a quick drop down menu of their work, be alerted and go to notifications and quickly get a list of Resources, Assessment, Cases and people who are in the system.
If the user clicks on his/her name there is a drop down going to Settings or Signing Out. When the user clicks on the Help menu they can select to go to the Help Site or submit a ticket about a problem or make a suggestion on how to improve the application.
On the dashboard, your work will be separated by type. Each type of work is separated into its own tab and tabs are listed across the top of the page. Possible tabs include: Assessments, Cases, Foster Families, Resources, Team and Unassigned. The current tab is dark yellow, other tabs are light yellow.
You will only see tabs if you are assigned to that type of work. For instance, if you are not assigned to any Foster Families, you will not see the Foster Family tab at the top of your dashboard.
Within each tab, units of work are listed in collapsible and expandable cards.
Black expando arrows located in the top left corner give workers the ability to expand and collapse the information in each card.
Blue View links next to the name of the unit of work will take you to the main page of that unit of work.
The sort headers on the assessment and cases tab of the dashboard will sort the cards on the dashboard according to the name of the column header.
Assessments can be sorted by: Name, Initiated by/Due date
Cases can be sorted by: Name, Child Visits with Parent, Next Scheduled Court Hearing, and Last FCM contact
When sorting by Child Visit with Parent, the following order will apply for descending sort:
# Days since last visit (Highest to lowest)
0 Days since last visit
N/A, TPR
N/A, May Not Visit
N/A, Deceased
N/A, unknown
-- (Only occurs when no child qualifies for visits on case.)
Quick Summary Box
The quick summary box in the top right corner of the dashboard gives you rich details about your workload. Supervisors will see information about their workload and their team's total workload.
For assessments, you will see:
# of fatality/near fatality
# of sexual and physical abuse
# of one hour and 24 hour deadlines
For cases, you will see:
Total # of focus children
Summary of the involvement types for focus children
# of CHINS involvement
# of becoming CHINS
# of IA involvements
# of becoming IAs
NOTE: Other involvement types will not be included in this count
Workers, supervisors, executive, and admin workers have a widget on the Dashboard that displays any unit of work that has been submitted or needs approval, titled “Submitted for Review.” On a field worker's dashboard, this widget will call out notifications about work that has been approved or has been returned for edits. On a supervisor's dashboard, this box will call out notifications related to the need to review an assessment, case, IA plan, or case plan. Workers whose dashboard looks like an index page (for example: resource workers, LCPA, eligibility workers) will not see this box.
Workers whose dashboard looks like the image above will have a widget on their Dashboard that displays any notifications that have been sent to the worker in Casebook. These are the same notifications that are found in the drop down menu on the universal tool bar at the top of all pages in Casebook. Workers whose dashboard looks like an index page (for example: resource workers, LCPA, eligibility workers) will not see this box.
The Assessments tab is a quick reference for the status of your assigned work.
The various statuses of your Assessments are color coded to provide information at a glance.
A red badge displays for any overdue assessments
A yellow badge displays for any Assessment that is between 20-30 days old
A red badge displays for any Assessment older than 30 days.
The cards on the cases tab of the dashboard have been restyled so that they have a cleaner and more readable style.
Notes about the Case tab of the dashboard
If the case name is very long, it will be shortened and an ellipsis will display. When you mouse over the truncated name, the entire name will display.
To navigate to a case, you can click anywhere in the box that contains the case name, not just directly on the link. When you mouse over the box that contains the case name, the whole box will change to a light blue color
An active focus children section of the card now displays in a gray band beneath the name of the case.
The number of active focus children is a count of the number of focus children on the case with an involvement type other than Closed. The active focus children section of the card will change to a light blue color when you hover your mouse over it
You can click anywhere in the gray/light blue band to expand or close an extra section of the case card.
