For nearly every piece of significant work on a case and/or assessment you will need to record the activities that happened in court. In Casebook, you can record create court hearings on cases and assessments; the information will be stored on the history page.
From the main page of an assessment or case, click on the Actions menu in the smart bar and select Create Court Hearing.
The Create Court Hearing workflow will open.
From a case or assessment, click Create New Court Hearing in the Actions Menu.
The edit screen will open.
From the edit screen, you can navigate back to the case or assessment you were working on, by clicking on the name of the unit of work in the Smart Bar. Alternatively, you can cancel the creation of the court hearing using the cancel button at the bottom of the edit screen.
Enter who the hearing is about. On the edit screen, you can select multiple people. This field is an autocompleter that will first populate with people associated with the case or assessment. The autocompleter will continue to display even after one person is selected so that you can add multiple people to the court hearing
To remove a person from a court hearing, click 'x' on the right hand side of the flow. After you click the 'x', a warning message will appear asking you if you're sure you want to delete the person.
Enter the cause number for each person added to the hearing.
Enter the type of hearing using the drop down menu. The hearing menu is organized by the frequency of the hearing and the time it occurs during the life of a case.
Enter the date and time the hearing took place. If you enter a date that is the current date or a past date, you will be required to enter at least one court outcome for each person on the court hearing.
An error message will display if you do not enter a court outcome for each person if the date is today's date or in the past and you will be unable to save the court hearing.
Enter the related court outcomes.
This field will not open until a hearing type has been selected and the date is today's date or a past date.
Multiple court outcomes can be added to any hearing and court outcomes can be added to specific people on the court hearing. Entering at least one court outcome is required to be entered for every child on the court hearing.
If you have selected a hearing type that does not require an outcome to be selected (Petition for TPR, Petition for CHINS (Administrative), or Petition for Collaborative Care Program) the message "There are no outcomes for this type of hearing" will display.
Select the court outcome from the dropdown that opens. Beneath the dropdown, you will see a question that asks "Which people does this outcome apply to?" Select the people the outcome relates to by selecting the check boxes that display for every person added to the court hearing. Each outcome can relate to one or multiple people on the court hearing.
In some cases, the outcome you select will prompt additional questions to open; enter any dates or select answers from the radio buttons that appear then click save. If more than one person needs to be added to answer the subquestions, click the Add Person slug.
To delete a court outcome or a set of sub questions, click the small blue x on the right hand side of the screen.
If the outcome does not apply to all people listed, an additional court outcomes can be added by clicking the Add Court outcome slug again. Different court outcomes can be selected for each person.
If you change the outcome, all sub data enter will be deleted. Similarly, if you change the hearing type after an outcome has been entered, all information about the outcome will be deleted.

Click Save. You will be taken to the top of the assessment or case page from which you just entered the court hearing.
When you enter a court hearing with a future date, you will not be able to enter any court outcomes onto the hearing. For court hearings with future dates, the history page card will display a message that read, "There are no outcomes for this hearing. Once the hearing date has passed, please enter an outcome." The same message will also display on the court hearing view page.
Once the future date passes, the court hearing card on the History Page will display a warning message alerting you to enter a court outcome. This message will have a link that takes you directly to the court hearing edit screen where you can enter any related court outcomes.
There are three types of court hearings that don't have outcomes associated with them. These are:
Petition for TPR
Petition for CHINS
Petition for Collaborative Care Program
The history cards that display when this type of court hearing is selected, show the message, "There are no outcomes for this type of hearing." No other warning messages will appear. This is the same messaging that will display on the view page for these hearings.
Outcomes will not be required on court hearings, if the unit of work the hearing was created on is closed and any linked units of work are also closed, even if the court hearing date is today’s date or in the past. For example:
If a court hearing was opened on an Assessment and the assessment is now closed but has a linked open case, the validation of a missing outcome will still apply and the warning slug will show.
If a court hearing was opened on an Assessment and the assessment is open and has a linked open case, the, validation of a missing outcome will still apply and the warning slug will show.
If a court hearing was opened on an Assessment and the assessment is closed and the linked case is also closed, the validation will not apply and no warning slug will be shown.
Where to Find Court Hearings/Court Outcomes
Once a Court Hearing is saved, you can view court hearings by clicking "History" on the main page of the Case or Assessment and selecting Court Hearings, this will automatically filter the history page for court hearings.
Click the Edit link on the Court Hearing card you want to edit. Court Hearings and Outcomes can be edited only when the attached Case or Assessment is open and active. Files can also be uploaded during this time. Once the Case/Assessment is submitted the court hearings/outcomes cannot be edited.
Clicking See More will take you to the Court Hearing Show Page. The show page will display all information about the hearing, outcomes, and uploaded files.
If a court hearing has files attached to it, you will see a small paperclip icon next to the edit link.
Hovering your mouse over the icon will display a link that you can click to download the file.
There will be a link to the person page for each person on the court hearing in the heading bar of the card.
After you have successfully created a court hearing, or click the see more link on the court hearing history page card, you will be taken to the Court Hearing Show Page.
This page displays all of the details from the court hearing, court outcomes, and uploaded files. Any files uploaded here will appear on the show page, the history page, and the files upload card on the related case/assessment; new or additional files can also be uploaded to the court hearing on this page.
To edit the information entered on the court hearing, click the edit link in the top right corner of the card. If no summary has been entered or files have been uploaded, a call to action will display. Clicking the link will take you to the edit screen so you can enter this information.
If a court hearing/court outcome ends a removal episode, there will be a link to the related removal episode on the court hearing show page.
If a court hearing/court is marked as containing supporting documentation on an eligibility application, a link to the eligibility application will be listed on the court hearing show page.
Court hearings with a date before July 5, 2012 (pre MaGIK Go Live) will no longer have a validation for missing court outcomes. If you add a court hearing with a date prior to July 5, 2012, the message “Outcomes are not required for hearings that occurred before July 5, 2013 when this system was launched.” will appear on the edit page, view page, and history page.
