Sometime after a resource has been licensed, the resource's supervising agency can change. It is most common for this to happen with LCPA resources.
When a resource's supervising agency changes, the resource's license must be revised to show the most up to date information. All revisions related to the transfer of supervising agencies must go to Central Office for approval.
If a transfer is happening from one LCPA to another, the sending agency should change the supervising agency and then alert the receiving agency that it's their responsibility to complete the checklists and transfer process.
To Change the Agency on a License
Working from a licensed resource, click edit on the Resources card.
Scroll to the bottom of the edit screen until you see the Supervising Agency drop down menu in the Details section.
From the drop down, select the supervising agency the license is being transferred to. The dropdown menu populates with all of the LCPAs in Casebook.
Click Save.
This will bring you back to the overview page of the resource. A revision slug will display in the Resources card. The revision slug:
Highlights the change that you just made.
Signals that a checklist needs to be completed and submitted before the information on the printed license changes.
Allows you to quickly revert the change by clicking the Revert button.
Next, scroll to the Checklist card and complete the Transfer of licensing agency revision checklist.
The last question on the checklist asks you the 'Enter the agreed upon date of transfer'. This date is very important as it will be used to determine which agency should receive money for a resource.
After the checklist is complete, scroll to the bottom of the page and click Submit for Approval.
Select the Supervisor and enter any comments in the popup box that appears and click Submit.
The Supervisor will review the information and either:
Endorse the license revision to Central Office for Approval (all agency transfers must go to Central Office for Approval)
Return the license revisions to you for edits.
In either case, the message will be created as an entry on the resource's History page.
Once Endorsed to Central Office, Central Office will review the revision and either:
Accept the change
Return the license revisions for edits.
In either case, the message will be created as an entry on the resource's History page.
Afte the revision has been Accepted by Central Office:
The revision slug on the Resources card disappears
The License Summary card is updated with the new Supervising Agency and the date that the transfer was made (as was entered on the ransfer of licensing agency revision checklist).
An entry will be added to the History Page that displays the License Status Change.
