In Casebook, you can see the number of days since you last contacted each focus child on a case. This metric will display on the dashboard and the case page to help you focus your efforts every day.
The metric will display for focus children when one of the following current involvement types is set. If the involvement type is becoming the metric will not be displayed.
CHINS
IA
ICPC
3CM/Collaborative Care/CHINS
Collaborative Care
If your units of work already have a current involvement type, there is no need to reset it. The metric will load immediately when you load the page; any changes should be displayed right away.
The metric can be calculated in three different ways. The most recent date from these calculations will display on the dashboard and case as the number of days since the last caseworker contact. Clicking the See Note/Assessment/Case link will take you to the note or involvement that the metric is calculated from.
The number of days since the last CFTM or contact note where:
The contact was successful
The contact type was face-to-face
The focus child was marked as present
An FCM (a user with a ‘worker’ role type) is marked as present or is a facilitator
If this count displays, the message will say “Last contact N days ago (See Note)” where N is the number of days since the date of the most recent CFTM or contact note as explained above. This is not the date the note was entered into Casebook. The ‘See Note’ link will take you to the note that the metric is being calculated from.
This can be a contact or CFTM entered on any of the child's historic or current involvements in Casebook. For example, a contact note, on which the child was marked as present, was entered onto the child's assessment. A case is created from that assessment and once the child has one of the involvement types listed above set as current, the "Last contact N days ago (See Note)" will reference the contact note on the assessment, the most recent contact note that the child was marked present on in Casebook.
The number of days since the date the assessment was created. If the assessment was converted the referenced date will be the legacy initiation date of the assessment (the date the assessment was initiated in ICWIS).
If this calculation displays, the message will say “No contact for N days (See Assessment).”
The number of days since the child was added as a focus child on a case. Note: this will only appear if there is no assessment associated with the case.
If this calculation displays, the message will say “No contact for N days (See Case).”
It’s January 10. Last week, FCM Jane visited Joe on January 1. She recorded a contact on his assessment January 2. Later in the week, on January 5, she created a case with Joe as the focus child. When Jane logs in, she see that the message “No contact for 5 days” for Joe. This is because the most recent event for the calculation is when Joe was added as a focus child on a case, not when the contact was made.
Jane does not see “Last contact 9 days ago” because the metric does not use the day the note was entered to calculate. Jane also does not see “Last contact 10 days ago” because the contact note is not the most recent event for the calculation.
In some instances you may see the message “No contact for N days” followed by a link that says “See Assessment” or “See Case”. This means that no CFTM or contact note that matches the criteria above has been entered about the child in Casebook and you may want to add one to note the most recent contact you’ve had with the child.
Clicking the link will take you either to:
the assessment with a legacy initiation date
the case the child is a focus child on
NOTE: This may not be the child’s most recent involvement in Casebook.
From here, all of the child’s involvements will be linked in the Quick Info menu. Find the child’s most recent involvement and enter a CFTM or contact note about the contact you made with the child. Once the note has been entered, the message will read “Last contact N days ago” and N will be calculated by the number of days since the note was entered.
After you log into Casebook, click to the Cases tab on your dashboard. You will see the number of days since the last Caseworker contact in two places
On right side of the summary bar for each case, the number of days since the last contact is listed with the location of the contact. If there are multiple focus children on a case, the largest number of days since last contact will display.
For example, if there are 3 focus children who are all CHINS and have not been contacted for 10, 17, and 34 days respectively, the case would display “34 Days Since Last Contact”.
If no number is listed that means there is no child on the case with one of the involvement types listed above.
You can sort your cases in ascending or descending order of this number by clicking the blue “Days Since Last Contact” link.
When you click on a gray Active Focus Child bar to expand a case card on the dashboard, you will see a count of the days since last contact with the location of the contact listed below each focus child with one of the involvement types listed above.
Go to a case where at least one focus child has an involvement type of IA, CHINS, or ICPC.
On the Focus Child card, the number of days since last contact will be displayed for each child with an involvement type listed above.
When contacts/CFTMs are added, edited, or deleted the count will update accordingly.
