If a child is currently in an open removal episode and is temporarily leaving the resource with which they have been placed, you need to record the type and duration of the temporary absence. Temporary absences must be recorded because it affects the child's eligibility status (eligible, ineligible, claim admin, no admin) and hence funding.
All Temporary Absences must be entered from the Placements and Locations card on an Assessment or Case page. To learn more about Other locations, which are entered on the person profile page, go to the Other Locations page.
Types of Temporary Absences include:
Hospital
Overnight Camp
Respite placement
Visits with siblings
Visit with other caregivers
To create a Temporary Absence
Temporary absences are created from the placement flow.
From an Assessment or Case, click update location on the Placements and Locations card.
After clicking update location, a form will pop up.
1) Click "Yes, 'child' is being removed" (only necessary if the child is not in a current removal episode).
2) Select Temporary Absence as the type of location.
3) Select the type of Temporary Absence.
4) Use the Autocompleter to search for the resource or person
responsible for the child. To learn more about Autocompleters, see Auto-completers.
Note: If a person or provider is selected you will need to enter the
person's relationship to the child.
5) Enter the start date and time and the reason the child's location is
changing.
6) Click Save.
If the Temporary Absence is created from a location with two or more children, a checkbox appears at the bottom of the page with the name of the child(ren) in the same location. Clicking the checkbox applies the same changes to the child(ren) when the form is saved.
Creating a Temporary Absence when a child is out of home, gives the choice of closing the previous removal location, or leaving it open. By default, the location will remain open.
Click No, keep this location open, to keep the temporary absence and previous location open.
Click Yes, close this location, to end date the previous removal location with the start date of the temporary absence.
Workers can also create a Temporary Absence from the Person Profile page, on the Locations/Placement and Locations card if the child is a Focus Child or Victim on a Case or Assessment.
Temporary absence are ended from the Placements and Locations card using the Update Location dropdown menu.
Click End Temporary Absence.
Enter the Temporary Absence end date in the pop-up windo
Click the checkbox to apply the change to any other child(ren) at the current location.
Click Save.
A confirmation window pops up asking if you want to save the changes.
Click Save to confirm and end the Temporary Absence or Back to continue editing.
Note: You can also end a Temporary Absence from the Person Profile Page through the Actions menu on the Placements and Locations card.
