Reports submitted to the County Queue can be Retracted by Hotline Supervisors and Super Users (see Retracting a Report).
County Supervisors only receive Reports that are approved by Hotline Supervisors and have a decision of Screen In or Screen Out.
County Supervisors have:
the final decision on whether to Screen In or Screen Out a Report
the option to accept or change the recommended Hotline Decision
the option to link a Report to an existing Assessment or create a new Assessment
Note:
A workflow event is created in Report history when a County Supervisor picks up a Report for review.
Automatic Release of Reports
Reports are automatically released and returned to the County Queue if no edits are recorded within 15 minutes.
When a Report is auto-released:
A notification appears in the Notifications dropdown at the top of your page
A popup alerts you that the Report has been Autoreleased from Review. Your options are to:
Click Save & Reclaim to keep assignment of the Report
This saves any unsaved changes
Click Dismiss to close the modal without saving or refreshing the Report
County Supervisors have the option to:
approve Reports with the Hotline recommendation of Screen In or Screen Out
change the Hotline recommendation and then approve the Report
To Approve a Screen In Report
Click Approve
When you Click Approve the Report is validated for errors
Error messages indicate which Report cards do not pass validation (see Report Validations)
The County Decision is set as Screen In
Screening In a Report which has no Allegations or Mandated Reasons ends the Reports workflow as Approved Screen In
If the Report is Screened In with an Allegation or Mandated Reason a modal appears with the option to link the Report to an existing Assessment or create a new Assessment
A red warning pill appears if you attempt to Approve a Report that has
already been Approved by another Supervisor
been Auto-Released to County Queue
been retracted back to Hotline Queue
Assessments where a Victim or Perpetrator is also a Participant on this Report are displayed
To link a Report to an Assessment
Select the radio button next to the appropriate Assessment
Click Screen-In
A workflow event is created in the Assessment’s history for each allegation copied from the Report
Results of linking a Report to an Assessment
Report status is changed to County Approved
Allegations and/or Mandated Reasons are copied from the Report to the linked Assessment
The Assessment’s Initiate By and Due Date are not changed
The Linked Report appears in the Assessment’s Quick Information. If that Assessment is linked to a Case the Report also appears in that Case’s Quick Information.
The Linked Reports appears in the Report Narrative as well as the Allegations, Mandated Reasons card on the Assessment page
The Assessment’s original Report Source is not overwritten and the Reporter from the linked Hotline Report is added as a Report Source
A workflow event is created in Report History
The Linked Assessment is displayed at the bottom of the Decision Card
To Create a New Assessment
Select the radio button “Create New Report”
Optionally enter an Assessment Assignee
Click Screen-In
Results of creating an Assessment from a Report
Report status is changed to County Approved
Information from this Report is copied to the new Assessment
When a Report is approved Screen In an email notification is sent to the County distribution list
No email is sent when the Report is restricted
A workflow event is added to Report History
The New Assessment is displayed at the bottom of the Decision Card
To Approve a Screen Out Report
Click Approve
When you Click Approve the Report is validated for errors

The County Decision is set as Screen Out
The Report status changes to County Approved
A workflow event is added to Report History
Changing the Report Decision (Disagreeing with Hotline Decisions)
The Decision card shows the latest Hotline Recommendation as well as the Report's Response Time, County and restrictions.
Changing a Hotline recommendation from Screen Out to Screen In
Click the pencil icon to edit the Decision card and select Screen In
An additional section “Reason for Screen In” appears
Select one or more reasons for Screening In this Report
Enter additional comments if “Other” is selected
Click Save
Click Approve

Changing a Hotline recommendation from Screen In to Screen Out
