Once an Assessment has been substantiated, an ongoing case is created to record all activities workers perform that are related to the case.
The case will be linked to the assessment and some information from the assessment will pre-populate the case page. This information includes:
Placements and Locations information
The Family Network
Safety Assessment
To create a case from an assessment:
From the assessment you want to create a case from, click on the Actions Menu.
On the blue screen that opens, fill in the case name, all focus children (by default the victims of the assessment will become the case's focus children), any linked assessments (you can search by Assessment ID in this autocompleter), and the county.
Click Save. This will take you to the main page of the new case
NOTE: This can be done as a worker or supervisor user role.
Cases can also be created before an assessment has been substantiated; please refer to DCS policy on when this is the correct action to take. One time a Case will be created without an Assessment is in the case of a Safe Haven Baby.
Case name
At least one focus child
County
Involvement type. By default a child's initial involvement type is "Awaiting Approval"
When a case is created from an assessment, the two units of work are automatically linked together. If you want to link an assessment to a case after the case is created, you can do that by:
From the main page of the case, click the Action button and select Edit Case.
In the Linked Assessments card, use the autocompleter to search for the name of the assessment you want to link to the case.
You can link multiple assessments to the same case using this functionality
A case can be linked to an assessment in any state.
Click Save.
Once the assessment(s) are linked to the case, information about each assessment will appear in the Assessments Narrative card found on the main case page.
