Basics
There are 11 cards that make up the Hotline Report. The jump menu, on the left side of the report page, allows you to move between cards as you gather information regarding an incident. These cards can be filled at anytime and in any order.
A red star (*) symbol appears throughout the report page to indicate that information is required to submit the report for review.
When editing a particular card, the section appears with a blue background. Once saved the card background changes to yellow.
To create a Hotline Report:
Click + NEW REPORT (Hotline Worker, Hotline Supervisor or Hotline Super User)
County Supervisors cannot create Reports
The following information is set by default;
Report Type is set to CPS (Report Decision Card)
Report Method is set to Phone (Report Details Card)
Phone Call Start Date & Time is pre-populated with the current date and time
Worker Safety Risks is set to Yes (Worker Safety Card)
The Assignee is set to the person who created the Report (Quick Info Card)
Note: The above must be changed if it is not correct for this Report.
Progress Bar and Quick Information
The “Progress Bar” shows the status of the Report.Current status is highlighted in blue, completed steps are indicated with a check mark.
The grey Quick Information box below the progress bar shows the name of the assigned worker and the Casebook Report ID number.
To Delete a Report:
Click the Actions menu and select “Delete” (only Hotline Workers, Supervisors or Super Users can delete Reports)
Notes:
Reports can only be deleted before they are submitted to a Hotline Supervisor
Once a Report has been submitted or moved beyond the In Progress state, it can no longer be deleted, even if the Report is Retracted or Returned for Edits
Reassigning a Report
The Report Assignee appears on the top of the Report page in the Quick Information card. Unlike other Casebook Units of Work there is no direct way to reassign a Report.
Reports are reassigned when:
A worker retracts a report which is in the Hotline Queue or in Hotline Review (see Retracting a Report)
A supervisor returns a Report for edits and optionally reassigns the Report (see Return for Edits)
Notes:
An In Progress Report cannot be reassigned. If an In Progress Report needs to be reassigned it must first be submitted to the Hotline queue. See Submitting a Report to Hotline Queue for instructions.
