In Casebook, a household is defined as a group of people who live together at the same address. You can group people together at addresses as well as add relationships between people. You can select people to add to the same address, all at the same time from a specifically designated Households workflow.
If no household start date is entered for a person, the household start date will default to the person's date of birth.
Sometimes, households will be created through the integration with MaGIK Intake. This occurs if all the people in the Intake household do not already have a household in Casebook and the Intake worker has entered the same address for every person. However, this household will not have a start date; all dates will have to be entered manually. If a household does not come over from Intake, you should create one to ensure data entered into Casebook is accurate and complete.
The household workflow can be accessed from the Family Network card.
Creating households and relationships from a person's profile page is extremely important in Casebook. Information about households and relationships affects many other pieces of work, including eligibility and licensing. For example, the people you put in a household with the focus child, who are viewed as members in the month the eligibility application was created, affects the list of possible assistance group members available to the CEU worker.
Households will be created from the perspective of one person. The Family Network card will list the household information for the person whose perspective you are viewing, so the household information displayed will change as you change the focus of the the Family Network.
For eligibility, the household should be based on who the child has legally been removed from as designated in the court outcome, not necessarily the physical location of where the child was living at the time of the removal.
To add a household
From the Family Network card on an Assessment, Case, or Person Page, there are several ways to add a household.
Click the edit link on the Family Network card.
Click the "Edit Housholds" link at the top of the Family Network card. This link will allow you to edit a household from the perspective of the person's family network you're viewing. The name of the person in the link should change as the perspective of the family network changes.
Click Add a Household in the gray header. This link will only appear if there is no current household. If there is a current household, the related address will display here.
All of these options will take you to the same blue edit screen. Click to the Households tab or the Households link in the jump menu and then click Add New Household
A blank form will open. Enter the name of the household, address, dates, and all the people who live at that address in the inline form. It is good practice to not only record all members in a household, but also associate the memberships with dates.
Information about a removal placement with a foster family, residential resource, temporary absence or trial home visit should be entered in the Placements and Locations card on an assessment or case. A card will appear to update the focus child's location (see below).
Click Save
You can also see related households for a person in the create a new household workflow. This will help you easily add a person to an existing household and reduce the chance of creating duplicate households in Casebook.
Following the same workflow in steps 1 and 2 above will bring workers to the Households tab.
From there, you may see a drop down menu that asks if you would like to add the person to a related household or a new household (this will only be shown if there are related households in Casebook).
When the menu is expanded, details about each related household, including address and members, is listed beneath the name of the household.
Click Add to this Household button to add the person you're editing to the related household. Fill in the appropriate information in the popup box that appears. You have the ability to make the new related household the person's primary household in this popup box.
In Casebook, an individual can be part of multiple households. When a person is part of multiple households, you can designate which is the Primary and which is the Secondary household for the person. There can only be one primary current household.
Primary household: a focus child’s main household. This is often where the child spends a majority of their time.
Secondary household: another household the child is a part of.
