July 25, 2009 - Meeting Summary

Roland Martinez hosted SDSG’s July meeting. Attendees were: Alex Sibbald, Bob Graves, Peter Gagnon, Mike Forys, Raulf Polichar, and Roland Martinez. The following subjects were covered.


Annual Meeting

The club held its first annual meeting under the newly adopted bylaws. A process for electing officers was agreed upon and an election took place. The club has seven members in good standing as of the annual meeting making a quorum four or more. Six were present. The election process consists of accepting nominations from a specific office from the floor. If seconded, and accepted by the nominee, then that individual is nominated. All nominated individuals are given an opportunity to make a statement, then the members present vote. Election results are as follows: President, Peter Gagnon, Treasurer, Bob Graves, Standards Officer, Mike Forys. These terms will run for six months until the January 2010 annual meeting, in accordance with our By-Laws.


Officers' Reports

The President reported an invitation from SCSG to participate in S Fest West, May 1, 2010. SCSG will be hosting this event in Monrovia. The Treasurer reported that the club now has a bank account at Chase. He also presented written a financial statement for the club. The treasurer also reported that member Al Keil made a $64 donation to the club. The membership voted to thank Al for his generosity. The Standards Officer presented his binder of standards data, and announced his intention to get the key elements published on the SDSG web site.


Open House – August 22

Planning for the club’s layout open house was finalized. Roland will host the event in Encinitas from 1 pm to 5 pm. Mike and Peter will transport the six modules stored in Peter’s garage to Roland’s house at the start of the August 15th work session. We’ll use that work session to stage the layout and ensure that we have the bugs worked out. The plan is to focus on the original eight modules, with consideration given to adding pairs from the six new modules being constructed if they are sufficiently complete to properly represent SDSG. Club members are asked to arrive early on the 22nd to help with any last minute setup and check out tasks. Lunch will be provided for those helping with this effort. The following members will bring power supplies: Bob, AC transformers and AC bell & whistle controls; Alex, AC transformer; Raulf DC power supply; Peter, DCC system and throttle, and a DC power supply. No member currently has a TMCC system, so visitor will have to run TMCC equipment on AC.

Peter and Mike will collaborate on production of a flyer announcing the open house. Distribution of the flyer is targeted at the following outlets: SDSG mailing list, Poway All Gauge club members, SDMRM, and paper copies to Reeds, Frank the Train Man, and The Whistle Stop. Bob has already provided event information to be published in the AGTTA newsletter.


Labor Day Weekend Visit to SDMRM

The upcoming visit by SDSG’s modular layout to the San Diego Model Railroad Museum was discussed. We decided to use the Open House as a shake down for the Museum visit. We’ll store the layout at Roland’s and transport it from there to SDMRM. Peter will check with John Rotsart and Ana Parra at the museum on the set up and break down logistics. The visit will run from Friday September 5th through Monday, September 8th.


S-Fest West

As reported by the President, the Southern California S Gaugers (SCSG) are planning to host S-Fest West in 2010 and have invited SDSG to display our modular layout at the event. Preliminary information is that the event will be held in Monrovia. SDSG members voted to conditionally accept SCSG’s invitation, but would like more information before making a firm commitment. Peter took an action item to report this result to SCSG and to ask for any additional details. Items of most interest to club members are: location of the event, schedule for event and for set up and breakdown/pack up of the layout, event costs, availability and costs of overnight accommodations. Our plan would be to bring the full 14 modules currently built or under construction to the S Fest west, which would give us a layout footprint of 9 ft by 29 ft.
