Production Planning assists organisations in managing all their production tasks. The Jobs View displays all the jobs that are in the pipeline. From this view, jobs can be moved into Planning and Production Stages. This view also has multiple Actions that can be used to manage the jobs.
Navigation: Main Menu > Production > Production Planning > Menu (button) > Jobs.
Table of Contents
View: Generates a list of jobs based on the selected filters.
Output: Will display a list of templates if any are created.
Actions: Performs the action on all the selected records. The options are:
Job Actions
Batch Update: Allows users to perform an action on all the selected records once the information is supplied and the Update (button) is clicked.
Due Date: Changes the due date to the date selected.
Req Date: Changes the required date to the date selected.
Status (Active): Changes the Status to Active.
Add/Update Planning:
Adds the planning abbreviations (one for every stage) to the job.
Jobs will not yet be shown on the Board.
The abbreviations will not yet be colour-coded.
Set Tasks to Planned:
Places the task in Production.
Places the tasks on the Board.
Colour codes the abbreviations.
It is recommended to limit the number of tasks set to planned to either a fixed number (e.g. 30) or those that will be executed in the next few days so as not to flood the Board with tasks.
Set Tasks to New:
Removes the Task from the Planned Status and resets it to New.
The Task is removed from the Board.
The Task will need to be reset to Planned at a later stage.
Remove from Planning:
Completely resets the job.
All transactions relating to the job execution are deleted.
The abbreviations are removed.
The sequence of events will need to be restarted (1. Add/Update Planning, 2. Set Tasks to Planned).
Set the Job Status Complete:
Sets the Status of the job to Complete.
Set Due Date to Req Date:
Sets the internal Due Date to equal the Customer's Required Date.
Set Req Date to Due Date:
Sets the customer's Required Date to equal the internal Due Date.
Any change to the customer's Required Date should be manually communicated to the Customer.
Set Start/Finish from Now:
This action adjusts the times to start the next job to now and similarly queues the remainder of the jobs based on this change.
This feature keeps production processes active and should be used when the preceding jobs were completed ahead of schedule.
Set Start/Finish from Due Date:
When there is a stall in production, this action will recalculate all the dates based on the Due Dates, working backwards, to set the last dates on which the jobs can be started to still meet the Due Date deadline.
This feature allows users to replan their Board so that jobs with the nearest Due Dates are completed first.
General Actions
Reset Planning Board: Resets the Board to include changes to jobs or transactions that were created since the Board was displayed.
Set Start/Finish from Now (Stages): This feature adjusts the stages to start from now.
Set Start/Finish by Dependency (Stages): This feature sets the start and finish dates based on the preceding jobs. (If Task A must first be completed before Task B can start, Task B's start date will be set to equal Task A's end date.)
Order all Stages by Start Date: This action re-orders the jobs on the job board to list them in Start Date sequence. No change will be seen under Jobs View.
Order all Stages by Status and Start Date: This action re-orders the jobs on the Board to first list them by Status, and then by their Start Dates. No change will be seen under Jobs View.
Menu:
Reset Data Filters: Resets the connected filters.
Views: Switches to the different views:
Dashboard: A visual representation of all the Stages.
Jobs: A list of all the Jobs in the queue.
Tasks: This view displays all the Tasks in Planning in a grid view.
Materials: A list of all the Materials needed and their Availability.
Outwork: A list of all the outsourced jobs and their Statuses.
Board: This view is an ordered list of the production Stages, each Stage containing an ordered list of Tasks or Groups (Task Packages).
Gantt: A detailed list of every Stage or Job, listing all the tasks and times accompanied by a visual representation.
Timekeeping: A list of all the Timekeeping Records.

Set: Allows users to select a date option (e.g. Today, This week, or select No Date to view all the records).
Arrows: Adjusts the dates based on the selection under Set.
Date ... to: Allows users to further refine the date selection.
Job Due (radio button): Works with the date fields. Records will be filtered to display jobs due internally on the selected date.
Job Req (radio button): Works with the date fields. Records will be filtered to display those required by the customers on the selected date.
Status Options: Allows users to hide or display records based on the selected Status Groups.
Show: A dropdown list to show jobs that are:
Planned
Unplanned
Tasks Complete
Field Chooser (*): Allows users to add or remove columns.
VATITEMID: The system-generated number for the VAT on the item.
Status: The job's Status.
Trans: An abbreviation indicating the Source Transaction Type of the job (e.g. WO for Work Order).
WO No.: The Work Order Number.
Date: The Work Order Date.
Assign to: The user the job is assigned to.
Rep: The Rep that deals with the customer.
Customer: The customer requiring the job.
From: The Transaction from which the Work Order, for example, was copied from.
Acc No.: The Customer's Account Number.
Required Date: The Date on which the customer requires the job. If the date has passed, it will be shown in red.
@ (Required Time): The Time by which the job must be delivered to the customer.
Due Date: The date on which production should complete the job. If this date is later than the required date, it will be shown in red.
@ (Due Time): The Time by which production should complete the job.
Reference: The Reference filled in on the source document.
Due Date (PO): The Due Date of the Purchase Order
Description: The Item's Description.
Code: The Item's Code.
Routing: Only applies to jobs that have entered the Planning Stage. Displays either a white (planning active) or colour-coded abbreviation (planned) for each Production Stage. When not using Groups or Tasks, the actual routing will be shown.
NCR Qty: The quantity that exceeds the specifications (e.g. The Quantity on a Work Order linked to a Non-Conformance Report).
Req Qty: The quantity that is Required.
Comp Qty: The quantity that was Completed.
Spoil Qty: The quantity that was Spoilt.
Out Qty: The quantity that is still Outstanding.
Operators: The name of the Operators where timekeeping records exist.
Est Hrs: The Hours that the job was Estimated to take.
Act Hrs: The Actual Hours that the job took.
Var Hrs: The Difference between the Actual and Estimated Hours.
Tasks %: The percentage that tasks are complete.
Material (%): The percentage of materials that have been received or issued. Users can use the Soft Filter Icon that appears when you hover over the title and select 100% to show jobs where all the materials are available.
Outwork %: The percentage of Outwork that has been completed.
Menu (...):
View/Edit Job: Switches to a Job View where all the individual components of the job are shown.
View Task Progress: Switches to Task View to show the percentage completion of each task included in this job.
View Materials Progress: Switches to Material View to show the availability of materials needed for this job.
View Outwork Progress: Switches to Outwork View to show which quantities have been received and which are still outstanding from outsourced tasks.
View Gantt: Switches to Gantt View and displays a detailed list of all the tasks, including their Start and Finish Times, accompanied by a visual representation.
View Timekeeping: Switches to the Timekeeping View to display any timekeeping records associated with this job.
Add/Update Planning: Creates the planning icons (abbreviations) for the job.
Set Tasks to Planned: Places the task in production.
Set Tasks to New: Removes the task from the Planned Status and resets it to New.
Open Transaction: Opens the underlying transaction (e.g. Work Order).
Open Linked Transactions: Opens a list of transactions in the right panel that are linked to the job.
Open Cost of Sales: Switches to the Cost of Sales report and provides a detailed list of Actual vs Estimated Quantities and Variances.
TransID: The system-generated number allocated to the transaction.
Right-click on a job > Click View/Edit Job.
ℹ️ For Production Planning to be successful, the Costings and Hours must be set correctly on the item. It also recommended that items be grouped. For example, multiple cutting actions can be grouped into a cutting job. The job will then display Cutting, and when it is right-clicked and View/Edit Job is selected on the context menu, all the small cutting actions will be shown.

Actions:

Close: Closes the View/Edit Job popup.
Status Bar:
Status: A dropdown list for users to select a Status.
Status Bar: An empty space on the Status Bar for users to type in a note.
Required Date: A calendar for users to set or edit the Required Date. (The date on which the Customer wants the goods).
Required Time: A time choosers for users to set or edit the Required Time.
Due Date: A calendar for users to set or edit the Due Date. (The date on which production must complete the processes.) The due date needs to account for the time the job will take to complete.
Due Time: A time field for users to set or edit the Due Time.
Company: The name of the Customer or Internal.
Contact: The Customer's Contact Person.
Reference: A description of the item which will be obtained from the reference field of the source document.
From: The source transaction.
Assign to: The User the job was assigned to.
Rep: The sales Rep allocated to that Customer.
Date: The date of the original transaction (e.g. Work Order).
Show Notes: Toggles showing or hiding Task notes.
Automatic Row Height Checkbox: If checked will adjust the row heights to fit the full description.
Update: A dropdown list of actions that will be applied to all the selected records once Update (button) is clicked. The options are:
Start Date: Sets the start date and time to those selected in the adjacent blocks.
Finish Date: Sets the finish date and time to those selected in the adjacent blocks.
Status: Sets the Status to the status clicked.
Stage: Sets the Stage to the one selected from the dropdown list.
Adjust Qty: Sets the Completed and Spoiled Quantities to the quantities typed into the respective blocks.
Req Qty: Sets the Required Quantity to the quantity typed in the adjacent block.
Assign to Workstations (large button): If there are multiple workstation, this button allows users to select a job and assign it to the available workstation.
Status: The job's Status.
ID: The system-generated number allocated to the job.
OrderID: The system-generated number allocated to the Order ID.
Stage: The Stage selected for the job.
Caption: The Caption field from the Estimate Input grid view.
Description: The job / item's Description.
Cost Centre: The job's Cost Centre.
Start: The date and time that the job was started.
Finish: The date and time that the job was completed.
Est Hrs: The hours that the job was Estimated to take.
Act Hrs: The Actual hours that the job took.
Req Qty: The quantity that is required.
Comp Qty: The quantity that is completed.
Spoil Qty: The quantity that was spoilt.
Out Qty: The quantity that is still outstanding.
Hr/s: The Actual hours if the job is complete. The Estimate hours otherwise.
Progress%: The job's percentage completion.
Menu (...): A submenu that can also be accessed by right-clicking the line. The options are:
Copy Task: Copies the task to create a new task.
Delete Task: Deletes the task.
Next Status: Assigns the Next Status.
Previous Status: Assigns the Previous Status.
Complete Status: Assigns the Complete Status.
