A read-only transaction is a type of transaction that can only be read and cannot be changed. The main purpose of a read-only transaction is to provide a consistent view of the data at a particular point in time, making it ideal for querying and reporting purposes.
In this tutorial, you will learn how to identify, change the status and modify a read-only transaction.
Navigation: Main Menu > Accounting > Ledger.
Table of Contents
Any Transaction, not only a ledger transaction, can be in a read-only state.
When a Transaction is in a read-only state, all the fields will be greyed out and you cannot change it.
Normally there will be a banner at the top showing a Status of Complete or Reconcile.
Locate and open the transaction in the Ledger.
Locate the Status bar at the top left, underneath the module name.
Select the dropdown menu next to the Status and change the Status to Pending.
Click Save (button).
If the transaction is still greyed out, click on Info (circle with an i in the middle) near the top right to see why the transaction is read-only.
Undo the step that caused the transaction to become read-only:
For example, if the reason is: "One or more Allocations have been linked to the Transaction".
Select Clear (button) on the Allocation section (bottom left) to make the transaction editable.
Edit the transaction.
Change the Status of the transaction back to Complete.
Click Save (button).
ℹ️ If you follow the steps but cannot change a transaction, you might not have the authority to change it. In that case, check with your administrator.
Navigate to Setup > Settings > General (tab).
Select Add/Update (button).
Locate and select Password to edit read-only Transactions in Ledger under the Accounting group.
Click Edit (button).
Enter a password in the Value column.
Make a note of the password, because the password field will only show asterisks.
Click Save (button).
Select Actions (button) > Edit Transaction (Password Required).
Type in the password.
Edit the fields as necessary.
Note: You do not have to set the Status of the transaction to Pending if you are using this feature.
