This module is used to record Timekeeping in BOS Enterprise for Travel and Work. Timekeeping can be linked to Projects (Tasks) or Transactions or linked to a Customer (unlinked). When you log time against Travel, you can also record your opening and closing odometer readings which will calculate the kilometres travelled.
This Timekeeping feature is ideal for:
Businesses that pay their contractors or consultants an hourly rate and want to keep track of the time and costs.
Businesses that charge for their services by the hour or by using service-level agreements. They can have a record of travel time, distance and time spent at the customer's premises.
Timekeeping records captured in the Mobile App, are recorded in BOS Enterprise simultaneously.
The Mobile App works on touchscreen devices and desktops. For purposes of this tutorial, we use Click to mean Click or Tap.
This tutorial explains how to capture and edit Timekeeping records for work and travel. It also explains the additional features that the Mobile App provides.

ℹ️ Depending on the General Setting: Mobile App > Capture Signature on Timekeeping Start and Stop, you may need to ask the Customer to sign the Timekeeping record when you Start and Stop it. From a touchscreen device, tap the block provided and ask them to draw their signature with their fingers or a stylus. Tap Clear (button) to start over. A screenshot is taken of the entire screen, including the times and signature and saved with the Timekeeping record.
Click the Timekeeping (button).
On the list of Tasks or Transactions, click the applicable entry and click Start Work on the context menu.
On the interface that opens fill in the fields as follows:
Reference = Select a Reference from the dropdown list (if not prefilled).
Note = Type a Note (optional).
Click Start (button).
Note: The Timekeeping record starts when you click Start Work. Clicking Start (button) saves your edits and closes the form.
Close the Mobile App (optional).
Click the Timekeeping (button).
On the list of Tasks or Transactions, click the applicable entry and click Start Travel on the context menu.
On the interface that opens fill in the fields as follows:
Reference lookup = Select a Reference from the dropdown list.
Odometer Start = Click the block and type your start odometer reading.
Note = Type a note (optional).
Click Start (button).
Note: The Timekeeping record starts when you click Start Travel. Clicking Start (button) saves your edits and closes the form.
Close the Mobile App (optional) or click Back (button) and use the Navigate feature (see the final entry How to Navigate from the App below).
Click the Timekeeping (button).
Click Work (button).
On the interface that opens fill in the fields as follows:
Customer lookup = Select a Customer from the dropdown list.
Reference lookup = Select a Reference from the dropdown list.
Note = Type a Note to explain what task you are performing.
Click Start (button).
Note: The Timekeeping record starts when you click Work (button). Clicking Start (button) saves your edits and closes the form.
Close the Mobile App (optional).
Click the Timekeeping (button).
Click Travel (button).
On the interface that opens fill in the fields as follows:
Customer lookup = Select a Customer from the dropdown list.
Reference lookup = Select a Reference from the dropdown list.
Odometer Start = Click the block and type your Start Odometer Reading.
Note = Type a Note to explain where you are travelling to and the reason for the trip.
Click Start (button).
Note: The Timekeeping record starts when you click Travel (button). Clicking Start (button) saves your edits and closes the form.
Close the Mobile App (optional).
Click the Timekeeping (button).
At the top, click Stop (button).
Note: Stop (button) only appears if there is an open Timekeeping record.
On the interface that opens:
Type a Note in the block provided if applicable.
Click Stop (button).
Close the Mobile App (optional).
Click the Timekeeping (button).
At the top click Stop (button).
On the interface that opens:
Odometer Stop = Type your closing odometer reading in the Odometer Stop field and press Tab on your keyboard or tap another field on your mobile device.
Note: The distance in kilometres will be calculated automatically. You can also type the distance in the Km block, to automatically calculate the Odometer Stop reading.
Note = Type a Note in the block provided or add to the existing note.
Click Stop (button).
Close the Mobile App (optional).
ℹ️ This feature is to edit the note. For example, if you want to record your progress as you go.
You may edit a Timekeeping record multiple times.
ℹ️ If you are accessing the app from a mobile device tapping Back will automatically save your changes.
Click the Timekeeping (button).
At the top click Edit (button).
Type a Note in the block provided or add it to the existing note.
Click Save (button).
Close the Mobile App (optional).
ℹ️ If you started a Timekeeping Record, and have not yet left the screen, you can cancel it by clicking Cancel (button) instead of Start (button).
Click the Timekeeping (button).
At the top click Edit (button).
On the form that opens, click Delete (button).
Close the Mobile App (optional).
Click the Timekeeping (button).
On the list of Tasks or Transactions, click the applicable entry and click View Detail on the context menu.
If there are additional notes or attachments, they will be displayed.
ℹ️ For this feature to work, you must have allocated a default Complete status to the list of possible Statuses.
Click the Timekeeping (button).
On the list of Tasks or Transactions, click the applicable entry and click Complete on the context menu.
Note: Once the entry is marked Complete it is removed from the list.
Close the Mobile App (optional).
Click the Timekeeping (button).
On the list of Tasks or Transactions, click the applicable entry and click Add Image on the context menu.
Capture the image with your camera.
Type a name for the image in the popup.
Click Save (button).
Note: Click Cancel (button) to discard the image.
ℹ️ These notes appear on the Transaction or Project and not on the Timekeeping record.
Click the Timekeeping (button).
On the list of Tasks or Transactions, click the applicable entry and click Add Notes on the context menu.
Type a name for the note.
Type the note in the block provided.
Click Save (button).
Note: Click Cancel (button) to discard the image.
ℹ️ This feature relies on your device having a map (e.g. Google Maps) installed.
Click the Timekeeping (button).
On the list of Tasks or Transactions, click the applicable entry and click Navigate on the context menu.
Your default navigation app (e.g. Google Maps) will open with your Location (if permission was granted) as the start, and the Customer's Address as the destination prefilled.
