Please read all of the information below before navigating to the information about specific elementary/secondary Admin Reports.
Overview
Admin Reports are provide custom report data to SPS staff. Staff can search, filter, and download data to meet their specific needs.
The Admin Reports are categorized so that you will only see the reports that pertain to your students. Please contact Tech Services if you cannot find a report that you have previously used so that it can be made available to you.
Directions for Accessing Admin Reports
Select Admin Reports from the Report Card Menu.
Select a Group type to narrow the available reports.
Click Options to show the descriptions.
To Filter for Data
Each admin report has a "group by" box at the top of the screen.
To apply a filter, simply drag one or more column headers (these are the headers in the horizontal blue area) into the "group by" box.
To sort by class, drag the Class header to the filter box.
This will provide an easy to read report for printing in the PDF format.
To view the data online, click the "+" icon to expand the data that is relevant to a filter you selected. In this example, it's a specific class (see image below).
Printing
Data can be downloaded for printing by using the XLS or PDF buttons. For best results, use the XLS format.
Group Reports
Using Group Reports
Group reports are designed to report data on students in a specific group. They may also be used to look up data on a single student.
These reports require that you search by group name.
To Search for Data
Enter the information in the box below the column header. If you do not know the exact wording, you can use the % wildcard character.
Example: entering %algebra% pulls up data related to all algebra classes.
To find all of the data for a particular category (and exclude students who do have any data in that category, enter %. This will pull all data in the given category.
In some reports, you may want to view data for the current term. If so, enter your search criteria, for example %quarter 3%.
Caveats
Admin Reports are live requests for information, so any time you type in a filter (e.g., student IDs, names, groups), it is requesting the information to be resent, which is the reason that it needs refresh time.
If you click too fast in a filtered area of the page, it is going to slow the process and / or provide a query you didn’t intend.
Here are some tips for successful use of Admin Reports.
Please let the page fully load when you click on a report.
If you have used an Admin Report during the same session, be sure to click on the Clear Filters button to remove any stored search criteria;
Let the page fully refresh;
Type in the student ID number or any other filter you are using; and
Wait for the page to refresh and the data to load.
