Check when the attendees are available. To do this go to your Outlook Calendar and to the left look at People's Calendars. Scroll down the list of team members to the ones you want and click on the circle next to their names. This will allow you to view their calendars.
Once a suitable time is found, open an invitation in the calendar:
Outlook Calendar
Fill in the details: Title of the Meeting
Invite Attendees: Start typing their names and the email address should automatically come up
Set Date and Time
Add physical location if face to face meeting, or a Zoom link if via Zoom (see below)
Add description, but not necessary
Hit Save, and this will send the meeting invitation to the attendees.
You can either call/email the attendee(s) and discuss a suitable time/date, then send an invite as above.
Or you can just send an invite, with a note saying if the time/date does not suit please suggest an alternative. If an alternative is suggested, make sure all attendees are available. This could take a lot of going back and forth.
The way you do this may depend on each clients' preferences, but the principles are basically the same as above:
Obtain the attendee(s) availability;
Create the calendar invite in the calendar of your client (as you are most likely creating/sending on their behalf) - your clients' calendars could be Outlook or Google (see below);
If a face to face meeting, add the location to the invite. If a Zoom meeting add the Zoom link to the invite;
Save/send the invitations;
If asked by your client to do so, monitor the responses and advise client if any declines/alternative dates are received.
Google Calendar
Slightly different to the Outlook Calendar, but again the principles of creating an invite are the same.

If you are hosting a Zoom meeting, go to your Zoom account. You can either just use your Personal ID for instant meetings, or you can Schedule a Meeting. Scheduling a Meeting will create a Zoom link specifically for that meeting.
