Contact all of your clients and let them know that you will be away and who the backup person is
Introduce your backup(s) to your client by cc-ing them into an email, ensuring that the client has their work cell phone number
Advise the client that the inbox(es) that you look after on behalf of them will be monitored. If the client uses communication apps like WhatsApp or Voxer, ensure they are set up with the backup VA
Remind your clients again, the day before, that you will be away via their preferred communication app (WhatsApp, Voxer, etc)
Please ensure the following are done:
The process handbooks are up to date a few days before you leave
A handover is done with your backup VA and that they have all the information they need
Your backup VA is aware of the delegated tasks and who does them
Assign your tasks to your backup VA in Teamwork
Your backup VA can log in to all of the client's systems
Any phones that you cover are monitored by your backup VA and that they know how to answer each line and what to do regarding messages, etc
