We use Dext to take photos of our receipts to put into Xero. Dext extracts the key information from your bills, receipts and invoices, removing the need for manual data entry. Dext can then publish the data to your accounting software or it can be downloaded as a spreadsheet or used to create expense reports.
Login to Dext
Click on the client you want
At the top middle, click Add Items
Select one or a few methods your clients will be able to use to submit information into Dext
Uploading from computer:
Click on the Upload tab on the left of the screen
Select whom the information relates to in the business from the Owner drop-down box
Click choose file, select the file and click open
Submitting by post:
Click the By Post tab
Select On
Fill in the below details onto an envelope
Post the envelope via free post
Ensure you use the correct Customer Reference Number (CRN)
Submitting by email:
Click the E-mail tab
The email that is listed is able to be edited by selecting the Account settings
Once in Account Setting, click on Maintain Users to the left of the screen
Click Manage on the right of the screen, you will come to Edit User Details
Type the correct email address into the Email in Username tab
Hit save
Using the Mobile App:
Click on the Apps tab
Once the App is downloaded, open and click camera
Take a photo of the receipt or invoice
Select submit to Dext, or Publish. This will send a picture of the item to Dext. The system will automatically read from the receipt and input details into the system
Using PayPal:
Your client will need to login and click on the PayPal tab
Get them to click Enable PayPal
This will auto-create every 24hrs so your client will not need to create any invoices into Dext
Using Dropbox:
Your client will need to login and click on the Dropbox tab
Get them to click Enable Dropbox
After they follow the steps and link the accounts two folders will be created, one for receipts and one for invoices
After 6hrs, they will be sent to Dext
Ensure the folders are not renamed or moved, this will break the link between the Dropbox and Dext
Log into Dext
Click on Account View, which is on the left top side of the screen
Click Add new client, just under Account View
Fill in the information required information
You can build a staff members login and grant them certain access:
Under you login, under Accounts View, click on Account settings, found at the top right of the screen
Click Maintain Users on the left of the screen
You will see a list of the current users, click Create a new user at the top
Add their details, their email address and a password for them to login, which can be changed at a later date
Click Send email notification to send them an email of their access
The Role drop-down allows you to give certain access. Basic, does not allow them to add clients or other staff members. Admin user allows them to have access such as yourself
Enable publishing rights to On
Link to Xero drop-down will allow them to link their ReceiptBank and Xero accounts together
Click next
If the staff member needs to access client files, decide in the next screen
Click save. The staff member can now access Dext
AKA Integration
Login to Dext
Go to Account View and under the clients names you will see the broken link symbol below - this means the company is unintegrated
Click Manage on the right of the screen for that client
Click Edit Client Settings to the left of the screen, under the company's name
Click Integration on the top left of the screen
Click the green Choose Integration tab
Select the Xero symbol from the next screen
Click Go to Authorisation Link, this will ask you to login to your Xero
Login to your Xero in the next screen
Choose the appropriate company it needs to link with by clicking on the drop-down
Hit authorise once you have selected the correct company. You will be diverted back to the ReceiptBank page
Click Finish
Click on the receipt in blue, this will open it up
Check all the details on screen are correct from what is on the receipt, and amend anything that requires amending. Ensure the ‘category’ is also correct, this is the code that writes to Xero
Once you are sure everything is correct, click the publish button at the bottom. This will publish the receipt to Xero
If you want to go back to all the clients, click the Dext logo at the top left corner, and Client Management
Archive Section:
All the receipts and invoices that are sent from ReceiptBank are saved in the Archive for 7 years. This is essentially an online filing cabinet. You can use the search tab to search what you are looking for.
All receipts and invoices published to Dext go straight to the inbox.
Login to Dext
Click on the client you want
Click on the Inbox tab at the top of the screen. This will show all the invoices and receipts that have been submitted
In the In processing tab, this shows what is being extracted into Dext
In the Ready for Export tab, is what is ready to be published to the clients accounting system
Login to Dext
Click on the client you want
Click on the Suppliers tab at the top middle of the screen
A list of suppliers will be listed that you have either created in Dext, or come across from Xero
The Items column will show what the supplier has sent over
Click on a supplier to assign rules specific for that supplier
Input the details you want for the specific supplier, such as due date for invoices, codes in the Category and so on
Click Autosync to On, to allow Dext to automatically publish the rules for that supplier into xero. This way, you will not need to manually view and amend the items in Dext before publishing to Xero
Login to Dext
Under Account View, click on Manage to the right of the screen against you Free Client
Select Edit Client Settings on the left of the screen, under your Free Client
Click Account Details on the left of the next screen
Change the Company Name slot to the Companies name
Click away from the box when you are done, and this will autosave
Click on Maintain Users on the left hand side of the screen
Click Manage on the right side of the screen
Click Edit User Details on the left/middle
Type in the clients details
In the Email Details drop-down, click Use custom email and enter their email address they’ll use to login
Click Save
Click Manager on the right of the screen
Click Send Invitation Email
Input a password for them to enter
Click save, this will generate an email with their details to login and input their receipts and invoices
