Once you have had a 15-minute Discovery Call with the client, we then create a proposal outlining the support, pricing, team and process to present to them in a separate 30-minute proposal overview Zoom.
Following the discovery call, discuss with the Team Leader (Courtney) to decide which team members are to be added to the team section of the proposal. Put in the best person as the lead VA and if the client requires a few different services, then add in multiple team members who will support the client.
Next, Teamwork Chat message Global Team Member (Shiela) to draft a proposal as per this template:
Can I please have a draft Proposal for this client?
"Business name | Lead Name"
(Which plan(s) and rate) e.g. 10SP Admin $890+GST + Creative Flexi at $119+GST/hour
Lead VA is XXX (Bookkeeping/Creative VA is...)
Use ChatGPT to take the Fathom sales call recording/transcript and put it into the format below for the proposal's first page:
Thank you for considering Strictly Savvy for outsourced virtual assistant services.
To recap our recent meeting, the problems you're facing are:
[General admin duties are bogging you down most days, taking up your time, thus holding you back and stopping you driving your business forward.
You’re feeling a certain level of stress and frustration from this which seems to be increasing week on week - hence you making the decision to seek assistance.]
We agreed you’d like support in the following areas: [blog post editing, posting to social media, inbox management, diary management and data cleansing.]
We recommend that [Company] consider the [##] hour monthly service plan at $[XXX] per annum (paid monthly on a month-by-month contract basis).
Under this service plan, you'll be assigned a dedicated assistant to provide virtual assistant services. They'll be available to you on a full-time basis, with you only ever paying for approved hours.
In addition to having your own dedicated assistant, you'll also have access to an entire team of high-performing, savvy assistants with skills covering bookkeeping, project coordination, process documentation, minute taking, tools and apps consultancy, photography, videography, and graphic design.
Once Shiela has created the draft proposal, she will let you know in chat (if you would prefer her to email you, just ask). You need to review it completely in Better Proposals and then go over this together with the lead during a proposal overview Zoom where you share your screen and discuss the various aspects of working with us and how we meet their needs.
Once this call has ended, we send them the proposal link to sign digitally via email, using ChatGPT's sales helper bot to form an email with the info and links to relatable blogs based on the transcript of your call and proposal task outline.
Log into Better Proposals via the assist@strictlysavvy.co.nz login.
Go to Documents on the left hand menu>Drafts and find the proposal for the client you're sending to.
Edit/review the proposal. Make sure to check the first page in detail to make sure there is no placeholder text left. Check the last page makes sense with the order of instructions and formatting.
Remove unnecessary plans and info from the 'Your Investments' tab.
When you're happy with each page, click next and enter the client's full name, but add the hello@ (your) email in the 'to' field. (This is because the auto email from Better Proposals is not on brand, and we prefer to send our own template, so this way, you get sent the proposal link that you can copy and paste into our email template in JuicyCRM).
Once you have the link, open Juicy, create a new email to that lead, and choose the "New proposal" template (called 'Snippets' in JuicyCRM)
Edit the email template to be perosnalised using the "sales helper" bot in your ChatGPT login, enter the link from Better Proposals and send the email to the lead in JuicyCRM.
