As a Strictly Savvy Global Team Member, there are several key expectations, responsibilities, and golden rules:
It is vital to track your time in real-time throughout the day. It’s a good idea to have your Harvest timers up on one screen while you work on the other screen. As you switch between clients you need to switch your timer. Make sure that all your notes in your timesheet are appropriate for the client to see, have correct spelling and formatting, don’t mention other team members' names, and state clearly the specific tasks you have been completing. This avoids clients from querying their charges at the end of the month.
You will need to communicate with whoever has assigned you a task if you think that the timeframe isn’t realistic or if you have encountered a problem with undertaking the task that will delay it. If the task assigner hasn't given you a budget for how much time you can spend on a task or the deadline then you must request it from them via chat asap. If you are unable to complete a task by the deadline speak up as soon as possible so the task can be reassigned or communicate with another Global Team Member to see if they can complete it for you.
It’s important that you communicate regularly with your team leader letting them know when you are sick and unable to work, when you are unsure of how to do something, or when you need guidance on conflicting priorities. Your team leader is there to help and will be more than happy to guide you. Remember if we don’t know about something then we can’t help. If anything comes up that you think may be an issue or become an issue, we encourage you to speak up as early as possible.
If you have been provided instructions on how to complete a task you will need to make sure that you add the instructions (if not already there) to the corresponding client handbook (on Google Sites).
By using a separate Chrome profile for each client you can avoid sending any accidental emails from the wrong client email accounts and it also greatly improves your efficiency. The client’s VA will bookmark all the sites you use and need for each client on the corresponding Chrome profile bookmarks bar. If any are missing, ask them if you can add the site to the bookmarks bar.
This ensures you keep track of everything, stay organised, and the NZ team knows when you have completed a task. Open and use Teamwork every day and be sure to comment and mark off tasks as you have queries or complete them.
If you find yourself with capacity, you need to mention this in the Overflow channel in Teamwork. If no one answers your message, then direct chat message your team leader. If you get tasks as a result of your message, it is good practice to mention this in the Overflow channel so everyone knows that you now have tasks to do.
