You can scan a document from the printer to your email or to another team member or client.
If the screen is already on the main menu (this will be showing two options: 'Copy and Scan' and 'Send') then you can get started. If it isn't showing the main menu click on the 'Main Menu' button in the top left-hand corner and this will take you there.
Press the Scan and Send option
Three options will pop up: Address Book, One Touch, and New Destination. If you know the person is saved in the address book then click Address Book (staff members and people who are scanned to frequently). Otherwise, you will need to enter the email manually by selecting New Destination
In the Address Book use the up/down arrows to find the persons email and click on it. If you have to enter it manually, a pop-up will appear when you choose New Destination, choose the email option and enter in their email. Press OK, double check it's right and OK again
The screen you will be on now is where you can edit the settings. You will only need to edit the settings if you are scanning from the top tray and the document is double-sided. You do this by pressing the 2 sided tab which will bring up two options, we use book type which will already be highlighted so just press OK. (You can also change the size eg A3 to A4 or A4 to A3 and scan two pages to look like a book as well as some others. This is all under the Options button at the bottom right of the screen)
You can scan documents in two ways, from the top tray, and from the glass. If using the top tray insert documents face up and once a document has finished scanning the pages it will send automatically. If you are using the glass scan documents face down and one page at a time. Once you have finished scanning the document you need to press start sending, which is at the bottom right of the pop-up displayed on the screen, otherwise it won't get sent.
Once scanned it's always good to check the person has received the document correctly. One way you can ensure this is by adding your email address to the email so you will know that it was received once it reaches your inbox or you can ask them whether they've received it.
