Who: These processes are completed by the General Manager, or by one of the creative team on behalf of the General Manager or Office Administrator.
When: Undertake this process when we have a new team member, or need to update email signatures for one or more of the team.
NOTE: This process is not for clients - client's will need their own account / to pay.
Sign into Email Signature Rescue using the rochelle@strictlysavvy.co.nz login. (This login can be found in LastPass. If you don't have access, ask the Office Administrator or General Manager)
Find an email signature of one of the Strictly Savvy team members and click duplicate
Add the new person's name, role/job title, and email address and hit the green Duplicate button
Scroll down to the mobile phone number and update this
Check if any other details in the email signature need to be updated or removed
If you need to remove an item from the signature - click the item you want to remove in the list and click the on/off button on the left hand side under the title of the item - e.g. under Fax, not under the fax number
Under the email signature, click over from the Profile tab, to the Images tab
Select the blue/green Edit custom image button in the top right (under the email signature)
Hit the orange Replace button
Drag and drop, or click and select the new team members GIF image (this should be provided to you by the photographer or GM and if not, request it)
Once uploaded, hit the tick box Bypass uploader
Hit the green Next/Done/Save button on the window until it closes
Check that all details of the email signature are up to date and correct
Scroll to the top of the page, and to the right of the signature select the Copy Key option
Advise the General Manager / Office Administrator that the email signature is ready, and send them the Key code
These are instructions to install your new email signature using Office 365 Outlook online once you've set up your Strictly Savvy Chrome bar:
Download the Email Signature Rescue Chrome extension on your Strictly Savvy Chrome Bar - https://chromewebstore.google.com/detail/email-signature-rescue/ooipgppdckofnneadcejgnkdnphelpki?pli=1 . This will update all email accounts on the Chrome bar so make sure you don't have any other personal or work email accounts logged in on the same Chrome window otherwise they'll get updated too
Once the extension has been downloaded, open it by clicking the new blue icon at the top right of your Google Chrome bar
Under Choose your email client select Office 365
Paste your key in the next box and click on Save Key
Click on the blue Force Update button
Go back into your Office 365/Outlook online and refresh the tab
Create a draft email and send a test to the General Manager or Office Administrator to make sure it's working
If it doesn't load, or there are images missing form the signature, let the General Manager or Office Administrator know, and they will help you troubleshoot
Log into Email Signature Rescue and go to the Default Images tab on the dashboard
Go down to Base Images and add/delete images as needed, and add any links
Click on Update All Signatures - this can take a few minutes
Post a message into the IMPORTANT channel in Teamwork Chat letting the team know their email signatures have been updated, and requesting that update them on their Chrome bars:
"Hi @all , we have made some updates to our internal email signatures [details of what and why]. Please force update on your signature, and then refresh your Outlook tab and create a test email to make sure it is working. Please thumbs up this message when done, or direct chat if you have any issues. Thanks!"
