Open Harvest > Reports
Select the left-hand arrow next to This Week to display the week you are running the pay for (ie Last Week)
3. Select the Team tab
4. Scroll down to see the hours logged into Harvest by the employees. Use this view to review and compare any missing weekly hours for each employee with what they have put through as leave in Smartly.
If an employee's hours do not roughly add up to their regular weekly hours total (within <20mins), advise the GM and she will follow it up with them. If someone hasn't entered their leave in Harvest and/or hasn't sent through a leave request in Smartly, or their request doesn't match their Harvest entry, advise the GM and she will follow it up with them.
Note - the team does not need to enter anything in Harvest if there is a public holiday.
Allette, Ana, Briar, Gabby, Kathryn, Lorien, Michelle & Rochelle - 40 hours/week
Anesha - 34 hours/week
Brenna - 20 hours/week
Courtney & Teesha - 40 hours/week but time is not recorded in Harvest unless it is billable client time, or it they have taken annual/sick/bereavement leave or leave without pay
5. To review the team's leave entries in Harvest, select Detailed Report:
6. Select Change Filters:
7. In the Tasks field, select both Annual, sick or bereavement leave AND Leave without pay from the drop-down list that appears:
8. Select Update Detailed Time Report:
9. In the Group By: field, select Team from the dropdown list that appears to order the entries by employee:
Now you will compare the SmartPayroll entries with the leave entries in Harvest.
10. In a separate window, open Smartly and login
11. On the left-hand panel under Organise select Leave:
And then select the Leave Calendar tab:
12. Select the Week view and go to the week you need using the arrows:
13. Split your screen with the Harvest page on one side and the Smartly page on the other:
14. Make sure each Harvest entry has a matching entry in Smartly. If there is no Harvest entry, advise the General Manager, and she will ask the employee to put one in via the Smartly mobile app and remind them of the leave process
15. If there are any leave entries in Smartly that fall within the pay run that you are preparing but have a blue Pending status, advise the General Manager or appropriate Team Leader of this, and ensure that the leave request is approved (or declined, if applicable) before you continue with the next steps
