When you are required to meet with a client there are a number of things you need to think about and take with you.
If your client requests that you attend on-site make sure that they are aware of the on-site rate they will be charged. Check the Harvest Project to see what the rate is. If there is no on-site rate shown then post a Teamwork message to the Office Administrator.
When arranging a date and time check that the company car is available for you to use by viewing the Car calendar in Google Calendar. If not, try to arrange a time when it is.
Let others in the office know that you are travelling on-site as there may be other VAs wanting to see their clients on-site also.
Make sure that you check in with your client before you leave to ensure that they are reminded you are coming on-site and that nothing has come up for them
Make sure you are presentable. Wear tidy clothing, have your hair done and nails clean
Make sure your phone is charged
Let your manager know that you are leaving the office
Consider travel time and parking
Take with you your fully charged laptop and charger, notepad, pen, mobile phone and any documents or forms that the client requires.
