Whenever someone books a call with me, I prepare by reading through what they have written they are looking for (if they have done this), and visiting their website and social media accounts to get an idea of where it is all at.
Important note: Never give estimates or project pricing over these calls. You can give them our flexi plan rates and our service plan rates, but if they ask for an estimate, let them know you’ll put together a proposal for them with all of the information and pricing and will email it through to them.
Can you give me a short summary of your business?
Do you currently have a website? If yes, what is your URL?
How many pages do you estimate your new website to be?
Do you need custom photography?
Do you need help with logo design?
Do you need help with content writing?
Are you planning to sell products online?
Do you own a domain?
Do you have existing branding guidelines?
What is your favourite website?
You then need to pass this information on to Taryn to quote. See Website Process below.
What platform is your current website hosted on?
If they're using WordPress, ask them if they are using Elementor on their WordPress site. If they're not, you'll need to let them know that WordPress is not our speciality, but you can refer them to someone else.
Website platforms we do work with: Rocketspark, Squarespace and Wix (Wix only if it is not e-commerce). If their website is on anything else, let them know it's not our speciality, but we can refer them to someone else.
Website updates we would do ourselves within the team, so this does not need to be outsourced to Taryn.
What are your goals with social media?
What social media platforms do you currently use?
Are you wanting to run ads? If yes, let them know that we are not an ads agency and we don't claim to be. We can run ads but we can't make any promises on the performance of them.
You can discuss our Digital Marketing Packages with them. If they are looking for social media help plus other creative work, I always chat about our service plans as that's better value for money for them.
There aren't too many questions you need to ask as we just offer the 2 logo and branding packages. I will generally ask about the business to get a feel for it. And check with them whether they are wanting anything additional to the logo. You can view our pricing packages here to see what is included in them. Anything they need above and beyond the package, will need to be quoted additionally (but still make it part of the package in the proposal).
For anything that is a one-off, you'll quote this as a fixed fee so you'll need to get as much information as possible from the client.
Some questions you could ask:
Do you have an existing logo you can send through to us as well as branding guidelines?
If they have asked for a document to be designed, I sometimes will ask if they want it done in Word if it sounds like they'd like to be able to make changes to it.
For anything done online, e.g. podcasts, email newsletters etc, ask what apps they currently use.
Chat about our service plans that we offer. You can find the pricing here.
Key points I always like to make when talking about the service plans:
They can access the entire team (Creative, EA/admin, bookkeeping)
They will be assigned a dedicated VA as well as a backup VA which means there will be uninterrupted service from us
Talk about how our time is tracked on a tool called Harvest. Let them know they'll get regular updates on time spent so they are kept in the loop with how many hours are remaining. Let them know that at the end of the month, they receive a detailed timesheet outlining what the time was spent on
Let them know it is a month by month contract with us. It is paid in advance, so we invoice on the 1st of each month. If they ever want to leave, they just need to give us one month's notice
