Who: This process is for the Marketing Coordinator or assigned VA to undertake
What: This process shows you how to write our own monthly newsletter
When: This process is done on a regular (weekly/monthly) basis, depending on when we have updates to send.
Why: This process is completed to send updates to our clients for new blog articles posted or other features for the month
The Marketing Coordinator or assigned VA is to pull together the ideas and content for the newsletter. Feel free to check with the Leadership team to see if they have a preference for what content is included. Check previous month's newsletters for a template of the articles we include. Common themes are: Client spotlights, new blog posts, tech tips, VA of the month, delegation tips and tricks, team updates.
Client spotlights must be approved by the client that we are writing about. Send a draft version of the article in word as well as a screenshot of how the article will look in the newsletter to the client's VA to pass on for approval.
Once the content has been written, the Marketing Coordinator or assigned VA is to put the content into Juicy. Note: Remember to check and update alt text and links on each image/button.
Once the content is in Juicy, the Marketing Manager or assigned VA is to send a test copy to the General Manager or Jo to approve.
Any changes to copy, images etc. made at this point must be re-sent to the General Manager or Jo to approve, unless advised otherwise.
Once approved, the Marketing Coordinator or assigned VA will schedule the newsletter to be sent out.
1. Log-in to JuicyCRM
Sign in via your browser.
2. Navigate to the Email Builder
Click Marketing in the left-hand sidebar.
Click Emails in the top navigation.
3. Create a New Campaign
Click Create Campaign on the right-hand side.
In the pop-up, click Your Templates.
4. Open the Strictly Savvy Newsletter Template
Select the Strictly Savvy Newsletter template to begin editing.
5. Rename the Newsletter
Update the campaign name at the top of the screen to reflect the month and theme.
Example: “August 2025 – AI Highlights + Podcast Drop”
6. Add This Month’s Content
Each block includes:
Heading
Subheading
Image
Body Text
CTA Button
For each article or feature, update all elements, or delete any that are unnecessary.
Make sure:
Every image and button includes a clickable link (click on the element and update these in the left hand menu that pops up).
Every image has alt text describing what’s in it.
7. Add Extra Sections (If Needed)
Hover over any existing section.
Click the two-square icon (appears on the left-hand toolbar) to duplicate.
Drag the duplicated section to where it belongs.
8. Update the Team List
Scroll to the team member section at the bottom.
Make sure it reflects the current team.
9. Send a Test Email for Review
Click the three-dot menu next to the email name (top menu).
Select Test Email.
In the pop-up:
Sender email: hello@strictlysavvy.co.nz
Recipients: Your email + General Manager’s email
Subject line: Add your final subject
Preview text: Add the inbox preview line
Click Send Test
Wait for feedback. Make changes and re-send tests as needed.
10. Send or Schedule the Newsletter
Once the test is approved:
Click the blue Send or Schedule button at the top of the screen.
Choose whether to Send Now or Schedule for Later.
Fill in the required fields:
Sender email: hello@strictlysavvy.co.nz
Sender name: Strictly Savvy
Subject line: Final subject line
Preview text: Text that shows in the inbox under the subject
IMPORTANT
Under Recipients, select:
Send to Smart List
Click the + (plus icon)
Choose the Savvy Mailing List
Then click Review and Send (or Review and Schedule) to complete the process
Feature Blog Posts (or podcast episodes)
If there have been blogs or podcast episodes posted since the last newsletter, include them.
Savvy Spotlight
In the Savvy Spotlight we feature one of our clients and do a blurb on them and how amazing they are. Make sure the client approves this before sending.
Design
This is a showcase of a design project the Wildhouse team have done in the last month. In this section we like to include a quote from the client who the work was completed for.
Tech Tip
Give our readers a savvy tip. This could be anything from a simple keyboard shortcut to a new app or software we have found and are using and think is amazing. It doesn't always have to be computer related, it can be a life hack too.
VA of the Month
VA of the Month is to acknowledge who received the star for the previous month.
Any special offers?
This could be a special we are having or a special service we are offering or it could be something a client or someone we know would like to advertise.
New Staff
Put in any new staff members along with a photo and a blurb about that person.
Job Ads
If we have any
Service spotlight - anything in particular that we want to promote from our VA or creative team?
Have any team members done something amazing or charitable or gotten married or had a baby or achieved something personal?
Have any of our clients achieved something amazing?
Anything else?
