Getting a podcast from draft outline through to published and shared episode takes a number of steps. We have set up a Teamwork task list template to make this process easier.
Set the task list up on the day of recording, and the following tasks will be auto-assigned to the relevant team member, dependent on each other when one step cannot be started before the previous one is completed.
Record Episode on Riverside.FM
Add details of podcast to podcast channel – after recording, Teesha will post the title of the Podcast into the Podcast chat channel, along with key points covered in the episode.
Tick off episode as recorded in Airtable – On the podcast tab of the marketing airtable, tick off the episode as ‘recorded’
Download Podcast from Riverside.FM – The creative team will download the podcast from the recording service, remove any filler words, and upload the episode to Happy.Scribe.
Check captions and provide timestamps for reels – Check that the captions in Happyscribe are accurate, and provide timestamps for the short video snippets that will be used for reels. Post these in the Podcast chat channel, we usually aim for 4-5 reels per episode.
Write full description – This is the text that will be published along with the episode, and should provide a overview of what the episode is about. Use previous descriptions as an example to make this easier.
Edit audio, create short clip and reels – The creative team will now take the video from Happyscribe and begin to edit it.
Review final videos and audio – Once the creative team has uploaded the finished videos to Dropbox > Projects > Internal > Get Savvy Podcast, check that the videos and audio are suitable to be uploaded.
Create episode artwork – The creative team will create the cover graphics for the podcast episode and Youtube and upload these to Dropbox.
Schedule podcast episode in Podcast.co – The final episode audio will be uploaded to Podcast.co, along with the episode description and cover art. This will be set as draft.
Final review of podcast in Podcast.co – Check that the cover, description and audio are correct in Podcast.co and change the status from draft to scheduled, at 8am on the day the podcast goes live (fortnightly on a Thursday).
Upload full captioned video to Youtube – The final video will be uploaded to Youtube along with the cover art and description, and set as draft.
Share podcast once published. * note that we usually start sharing podcast caption before the episode goes live *
a. Publish full length Youtube video – Ensure that the description, cover and video are ready to go. Add cards and an end screen to the video, and change the status to Published. Add this to the Get Savvy Podcast playlist.
b. Publish on blog – Create a short blog post to go along with the podcast episode, summing up the topic. Publish this on our blog, with the Youtube video embedded at the top of the post.
c. Share to social media – This includes Instagram (feed and stories), Facebook and LinkedIn.
