Who: This process is for the Office Administrator to undertake
What: It shows you how to update the Time Analysis spreadsheet
When: Undertake this process weekly on the first business day of the week, and when preparing for the EOM Invoicing
Why: This process is completed so that we can track client service plan hours, leave taken over the month, revenue made, and calculations for delegated hours and bonuses
The Time Analysis Spreadsheet will calculate the amount of service plan time a client had at the start the month with, how much they have used so far, and much they have left for the rest of the month. This is often different to what is seen in Harvest, as Harvest just shows the total number of hours used under all of that client's timers, and doesn't differentiate between virtual, offsite, or downscaled time, or different types of timers like Service Plan and Project.
Doing this process enables you to get a more accurate representation of the actual time a client has left in the month, as it wont include any downscaled time in the total, as well correctly deducting any offsite time used from the client's plan amount (usually at a different hourly rate, so comes off the plan hours differently), and thus leaving you with an accurate calculation of how many virtual hours the client has left, to give to them in your weekly update.
