Administrative Assistant - Human Resources
JOB DESCRIPTION – ADMINISTRATIVE ASSISTANT – HUMAN RESOURCES
To perform varied and complex secretarial duties for the director of human resources and other school division administrators, when needed.
Qualifications:
• At least 21 years of age
• Hold a GED, high school diploma, or higher
• A minimum of five years combined experience in the secretarial and/or administrative office fields
• Related field or equivalent education and/or experience in secretarial and administrative office skills.
• Licensed as a Notary Public.
• Strong verbal, written and impersonal skills.
• Ability to organize and prioritize work and to meet deadlines.
• Ability to maintain confidential information.
• Ability to perform basic research and prepare reports.
• Strong computer skills.
• Knowledge of MUNIS, Board Docs, Talent Ed.
• Knowledge of Department of Teacher Education and Licensure rules and regulations regarding obtaining a teacher license, renewing a teaching license, etc.
• Such alternatives to the above qualifications as may be found appropriate and acceptable.
Reports to: Director of Human Resources
Job Responsibilities:
• To assist in the planning and direction of activities concerned with developing sources of qualified applicants,
o posting of position announcements,
o checking references and backgrounds,
o evaluating applicants’ qualifications.
• To develop statistical reports based on records kept on recruitment, interviews, hires, transfers, promotions, and termination using knowledge of job requirements and legal selection processes.
• To coordinate employment activities related to interviewing, selection and hiring of candidates.
• To main the personnel records of all certified personnel. Notify individuals when licenses are expiring and complete needed paperwork for renewal.
• To maintain job analyses and job descriptions for all personnel.
• To receive and screen visitors, telephone calls, and incoming mail, personally answering those inquiries which in the employees’ judgment does not require the responsible administrator’s personal attention.
• Interact effectively with various publics, including government officials, school board members and school staff.
• Keep up-to-date on any policies and regulation changes made that relate to the Human Resources Department.
• Keep up to date on any licensure changes made by the Department of Teacher Education and Licensure through superintendent’s memos, workshops, etc.
• Perform other related work as required.
Terms of Employment:
Twelve-month year. Salary to be determined by the administrative assistants’ salary scale.
Evaluation:
Performance as Administrative Assistant – Human Resources will be evaluated annually in accordance with administrative regulations of classified personnel.
