TITLE: Administrative Assistant – Early Learning Programs
Qualifications:
At least 21 years of age
Possess a GED, high school diploma, or higher
Demonstrate excellent communication and organizational skills
Able to multi-task
Able to maintain a positive demeanor on the telephone and in the office
Detail oriented and maintain confidentiality
PREK Responsibilities:
Prek Registration Process
Child Plus
Process all prek paperwork
Work with school nurses, secretaries, and principals on registration process
Setting up Prek screening appointments
Send letters (reminder for appointments, acceptances, waitlist, etc)
Creates flyers
Creates and keeps up with Prek webpage
Head Start Attendance
Prek Inventories
Manage Prek Storage
All purchasing for prek
Create and Process purchase orders and invoices
Payroll/Payable Reports
Munis-Run Reports
Balances and maintains Prek grant ledger
Print Shop orders
Technical support with TSG, PALS, Ready Rosie, Link B-5, Heggerty
Print all TSG and PALS reports for each teacher
Print things for teachers when needed
Answer phone and transfer calls to appropriate person or take messages
Sign for and distribute UPS/Fed Ex packages
Setup and coordinate meetings and conferences
Perform general clerical duties: photocopying, faxing, mailing, scanning, filing
Front desk coverage (lunch and Friday evening)
Special Education Department Duties:
Assists in the gathering of data and preparation of required reports; maintains all necessary records such as documentation of Early Childhood and PRIPP referrals, responses to those referrals, and schedules meetings in conjunction with required timelines
Point of contact for Early Childhood and PRIPP referrals
Scheduling of Eligibility meetings and collection of required student documentation for Eligibility meetings
Process ECSE purchase orders and invoices
Distribution of Docu-sign
Reports To: Family Learning Specialist
Terms of Employment: Twelve month year. Salary to be established by the School Board.
Evaluation: Performance of this job will be evaluated annually in accordance with School Board policy and administrative regulations on evaluation of administrative personnel.
