Administrative Assistant - Federal Programs
TITLE: Administrative Assistant - For Federal Programs
Primary Function: To support the office of Federal Programs by maintaining accurate financial records across multiple state and federal grants.
Qualifications:
· At least 21 years of age
· Possess a GED, high school diploma, or higher
· Demonstrate excellent communication and organizational skills
· Able to multi-task
· Able to maintain a positive demeanor on the telephone and in the office
· Detail oriented and maintain confidentiality
Performance Responsibilities:
· Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, filing (including electronic), and telephone system communication
· Maintain, reconcile, and balance ledger summaries for multiple grants
· Process AP report information and create monthly reimbursements
· Setup and coordinate meetings and conferences through Google Calendar, Hangout, Zoom
· Use Google tools (Docs, Sheets, Sites)
· Use Microsoft tools (Word, Excel, PPT)
· Coordinate with school district departments on multiple grants
· Coordinate with Title I schools on parent notifications and grant funds
· Administer Parapro test each month as coordinated with technology department
· Organize and maintain inventories for items purchased with federal funds
· Maintain Federal Programs website
· Front desk coverage per rotated schedule to cover lunch and some Friday afternoons
· Assist with district level clerical duties as requested
Preferred Qualifications: MUNIS experience
Salary: Secretary Scale C
Reports To: Coordinator of Federal Programs
Terms of Employment: Twelve month year. Salary to be established by the School Board.
Evaluation: Performance of this job will be evaluated annually in accordance with School Board policy and administrative regulations on evaluation of administrative personnel.
