Administrative Assistant (Testing / Homeschool / 504)

Title:                    Administrative Assistant (Testing / Homeschool/ 504)

Primary Function:    To support the Coordinator of Assessment and The 504 Coordinator in

                                     performing varied and complex administrative duties.                

Qualifications:

●     At least 21 years of age

●     Hold a GED, high school diploma, or higher

●     Strong verbal, written, and interpersonal skills

●     Ability to organize and prioritize work and meet deadlines

●     Ability to maintain confidential information

●     Detail oriented

●     Strong technology skills

●     Knowledge of Google platform and Miscrosoft Excel                              

Reports to:  Coordinator of Testing and 504 Coordinator/Dyslexia Advisor

Performance Responsibilities for Testing / Homeschool:         

●      Organize and maintain homeschool database and student files

●       Send necessary yearly letters to families

    Answer phone calls and general questions regarding homeschool

    Prepare materials for testing trainings

    Compile the necessary information for testing uploads

    Send data from third party companies to our analytics program

    Maintain secure recordings and materials after each test administration

    Organize, audit, and order test materials

    Package and Send test materials to private day and residential facilities

    Maintain testing windows in our online division testing platform

    Download and prepare test data for verification

    Proficient in Google and Excel for communication and data manipulation

Performance Responsibilities for 504/Dyslexia:

    Coordinating referrals & keeping track of the calendar for 504 meetings

    Assist with updating compliance manuals and notifications to 504 Case Managers

    Maintain documents with Master list & accommodations

    Filing all 504 documents and ensuring that they are up-to-date yearly

    Assisting with monitoring compliance dates on VA IEP dashboard

    Scheduling venues for LETRS, VLPs (PALs), and Student Intervention Specialist (SIS) 

    meetings

    Sending reminder emails to participants for these meetings

    Keep an accurate count of LETRS materials and order when necessary

    Print and assemble materials for classes (this may include cutting and laminating activities)

    Monitor and record attendance for LETRS courses

    Assist with monitoring VLP checklist and dashboard

    Ordering all VLP materials

    Assist with monitoring the dashboard for RGR Countdown and Blast for SIS

    Type forms for RtI - A when needed

    Send LETRS Pacing guides and registration to VDOE/LEXIA

 

Terms of Employment: Twelve month year.  Salary to be established by the School Board.

 

Evaluation:  Performance of this job will be evaluated annually in accordance with School  

                    Board policy and administrative regulations on evaluation of administrative

                    personnel.
