ACCOUNTING CODE: Accounting codes can be added to inventory lots and seed treatments to group one or more lots under a single accounting code. Once an accounting code has been added to a lot or seed treatment, that code will be saved and will appear in a dropdown list for use on other lots too. The inventory valuation report displays accounting codes on each lot as well as a total inventory value for each accounting code.
ACCOUNTING INVENTORY VALUE: The value per UoM of inventory in an inventory lot or on seed treatments. This is used to report on inventory values by accounting code.
Example: On a lot of wheat in bushels you'd assign the inventory value per bushel. When you run the inventory valuation report, it would show the total value of all the inventory in the lot using that value. If you assign the value as $13 per bushel and there's 1800 bushels in the lot, the total value for the lot would be $23,400.ACTIONS: Actions refers to the various actions that can be performed on records in Seedtrakr. Often actions can be found under the "Actions" column beside a record or in "More Actions" menus on details pages.
Example: Receiving, Transferring, Adjusting and purchasing are all "Actions" that can be performed on an inventory lot in Seedtrakr.ACTIVE: Records in Seedtrakr that are currently in use or are available for use. Nothing is ever "deleted" in Seedtrakr, when a record is no longer needed it will be set to inactive but can be brought back to active status if needed.
ACTIVE PICKUPS: A page in Seedtrakr where you can go and see all pickups that are currently have the "In Progress" or "Posted" status.
ADD: Refers to adding records in Seedtrakr. "Add" buttons can be found on most pages in Seedtrakr near the top right corner of the page.
ADD TO BE COMPLETED SECTION TO WORK ORDERS: A company setting that when enabled, adds an additional section to work orders that allows the assignee to validate the totes/bags that they packaged by adding the tote count, size, UoM and packaging reference number.
ADJUSTMENT: A type of inventory movement that is done outside of common inventory movements like receiving, transferring, pickups, shipments. Adjustments primarily are used for correcting inventory errors/discrepancies and should not be used as a primary method of moving inventory.
ALLOW EMAIL FROM CUSTOM DOMAIN: A company setting that if enabled, will allow your emails sent out of Seedtrakr (booking confirmations, to be sent to your customers from your own email address. This setting must be enabled by the Seedtrakr support team and requires a bit of setup on your end before it can be enabled. You must own your own domain and your Seedtrakr user profile must use this email address to log in.
ALLOW EXTERNAL SALES USERS TO ACCESS INVENTORY LOT DRILL DOWN: A company setting that when enabled, will allow any users in your company with the external sales role to access the inventory lot drill down page. This setting is disabled by default.
ALLOW EXTERNAL SALES USERS TO ADD LINE ITEM DISCOUNTS: A company setting that when enabled, will allow any users in your company with the external sales role to add discounts to any line items that they add to bookings. This setting is disabled by default.
ALLOW EXTERNAL SALES USERS TO OVERRIDE SRP: A company setting that when enabled, allows users in your company with the external sales role to override the SRP on any line items that they add to bookings. This setting is disabled by default.
APPLY PREPAYMENT DISCOUNT AFTER SRP DISCOUNT: A company setting that when enabled, will apply the prepayment discount to products on a booking after the line item discounts have already been applied. This setting is disabled by default.
Example: With this setting disabled if a product has a $20 SRP, a line item discount of $1 (5%) and the booking has a prepayment discount of 20% ($4) the total of these discounts is what gets discounted from the SRP for a total discount of $5 (25%) for a sell price of $15. With this setting enabled, the line item discount is applied first ($20 - $1 = $19), then the prepayment discount is applied to the discounted price (20% of 19 = $3.80) so the sell price would be $15.20 ($19- $3.80).APPLY TREATMENT: An action in Seedtrakr that allows you to apply treatment to seed inventory. Note that this is different than treating seed when a customer picks up the seed.
AVAILABLE: The available quantity on your lots, products, retail products and seed treatments indicate the total quantity that you have available to sell. This quantity is the "On Hand" amount minus the "Booked" amount to ensure that you don't oversell.
BAG PALLETS: Bag Pallets are a way of storing inventory in Seedtrakr, a bag pallet consists of a pallet and a number of bags on that pallet.
BAG SEED: A storage location usage type in Seedtrakr. Bag Seed indicates that the storage location will store seed in bags.
Example: Bag Seed should be used for seed where the product's unit of measure in Seedtrakr is "Bags".BIN CHECK: Bin check records can be added to storage locations to keep track of moisture %, fan status (on/off), length of the aeration period (hrs), and temperature. Bin check records are added to the bin check history log on the bins so you maintain a full history of all the details of the bin each time it was checked.
BLENDING: There are two different types of blending in Seedtrakr, Lot Blending and Batch Blending. Lot blending enables you to take multiple lots of the same variety and blend/stack them together in a new blended lot with the lowest pedigree of all the lots that were blended. Batch blending enables you to blend different products to create a new product using blend specs (ingredients list) and blend batches (where the actual blending happens).
BLEND BATCH: A record in Seedtrakr that enables you to use blend specs to blend inventory between products, varieties and crop types to create a new product. A blend batch utilizes a blend spec to know what ingredients and quantities are required and then records how much was actually used and went into the new lot as the blended product.
BLEND SPEC: A set of ingredients and quantities that outline everything that goes into creating a blend batch. The total of all the ingredients in a blend spec must equal the total batch size for a blend spec to be flagged as "ready for blending", which means it can be used on a blend batch.
BOOKED (Product): How much inventory of the selected product is booked at the product level (just a product is selected on the booking).
BOOKED (Lot): How much inventory of the selected product or lot is booked at the lot level (a lot is specified on the booking).
BOOKING: A booking is how seed, services and retail products are reserved for customers. When items are added to bookings, the available quantity of the product is reduced by the booked amount to maintain accurate inventory availability. A booking is required for sales to be recorded and invoiced in Seedtrakr.
BULK APPLICATION FOR SEED CROP CERTIFICATION: An excel file, available on the Seed Crop Fields page that allows you to download all relevant information from your seed crop fields and seed crop records for a specified year, pre-populated into the CSGA Bulk Application excel format.
BULK CLEAN UP: A tool available on the inventory lots and storage locations screen to deactivate multiple lots or storage locations at once. To appear in the bulk clean up list, storage locations/inventory lots must be empty.
BULK LINK VARIETY REGISTRATION NUMBERS: An action available on the Seed Varieties page that matches varieties in your seed varieties list with varieties in the CFIA Variety Database (by name) for the purpose of ensuring that all of your seed varieties have a variety registration number configured on them. It is important for varieties to have registration numbers so that integrations with 20/20 Seed Labs and the CSGA work even if the variety names don't match exactly.
BULK SEED: A storage location usage type in Seedtrakr. Bulk Seed indicates that seed will be stored in bulk in the storage location.
Example: If you are creating a location in Seedtrakr for one of your seed bins, you'd assign the usage type as Bulk Seed.CALENDAR VIEW: A overview of day-to-day tasks occurring at your company. Events are automatically added to the calendar for upcoming pickups, lot processing, shipment orders, expiring quotes, CRM follow-ups and work orders. The calendar view can be shown in a daily, weekly or monthly view and clicking on events in the calendar give you more detail on that event as well as the option to jump to it at it's location within Seedtrakr.
CAPACITY: Refers to the capacity of a storage location. The capacity on a storage location doesn't have a set unit of measure, it uses the unit of measure of the product that is in the bin.
Example: You assign a bin a capacity of 5000, then receive 2500 bushels into that bin. The bin will show in the VBI as 50% full. If you receive a product in Lbs into the bin (receive 2500lbs) the bin will also show 50% full.CFIA VARIETIES: This page contains a list of all registered seed varieties in Canada and their registration numbers. On this page you can locate varieties that you grow/sell and copy them to your varieties list, ensuring the name and registration numbers are correct and saving you time manually entering them.
CHANGE LOG: A tool in Seedtrakr that shows the entire history of a record beginning at the time it was created. Change logs allow you to view what changed with a record, who changed it and when for full traceability of all your data in Seedtrakr.
CLEANING PLANT: A storage location usage type in Seedtrakr. Cleaning plants indicate that the storage location is a cleaning plant used for processing seed, not storing seed. These locations will be available for selection to use on lot processing records.
COGS (Cost of goods sold): The total cost of a product (not necessarily the sell price). The cost of goods sold factors in the purchase price, grower premiums, royalties and cleaning fees for the product. These values can only be recorded on products in the enterprise and distributor subscription tiers.
COMPANIES: The Companies page in Seedtrakr (located under the "Network" menu) is viewable once you've enabled the Seedtrakr Network on your account. This page is used to view a list of other companies who use Seedtrakr (and who have also enabled the network) on their account. On this page you can add any of the companies as a customer in your account, which ensures that all of their contact info is correct and that you can then send them a partner request to collaborate on the network.
COMPANY SETTINGS: The page where users with the "Company Admin" user role can go to set up and modify settings specific to your company and how you use Seedtrakr.
CONDITIONS OF SALE COMMENTS: The conditions of sale for your business that will appear on your booking confirmations and invoices. These are set up in your company settings and can be overridden on a per booking basis if needed.
CONTRACT CUSTOMER: A genetics company / seed supplier that you hold a contract with to grow seed for. They are set up in Seedtrakr as customers, with the "Genetics Company" role enabled on them.
CONTRACT GROWER: A seed grower that you have contracted to grow seed for you. They are set up in your Seedtrakr as a customer, with the "Is Grower" role enabled on them. Contract growers can be set on inventory lots to show that they were the grower of that inventory lot.
CONTRACT PRODUCTION: The Contract Production module allows you to keep track of inventory lots that were produced by growers you have contracts with. Contract production allows you to keep track of all shipment orders from these lots.
CONVERSION CALCULATOR: A built in calculator available in Seedtrakr that enables you to convert products between different units of measure (Lbs, Kgs, Tonnes, Tons (US Tons), Bushels & Units). The calculator can also factor in product pricing and calculate pricing for the converted units of measure.
CONVERT TO COMMERCIAL: An inventory function in Seedtrakr that allows you to convert a storage location containing pedigreed seed to commercial seed. The entire storage location is moved from the pedigreed lot to an existing commercial inventory lot of the same crop type. The inventory amount will be removed from the pedigreed lot's on hand and available quanity and added to the commercial lot.
CRM (Customer Relationship Management): Seedtrakr's CRM system provides a full suite of contact and customer engagement (interaction) tracking features to maintain an accurate history of all interactions with your customers, across your team. CRM features include contacts, engagements, engagement follow ups and customer tags.
CROP TYPE: Crop kind in Seedtrakr (ex. Wheat, Soybeans). Crop types are vital for inventory management in Seedtrakr as they contain a lbs/bushel value that lets the system accurately convert inventory between multiple units of measure. The ability to inventory product in "Units" is also specific to certain crop types (beans, soybeans and hybrid rye), Seedtrakr knows how to calculate units based on the selected crop type.
CUSTOMER: A person/company that you sell seed, retail products or services to. Customers must be entered into Seedtrakr before bookings can be entered. Customers are also used to represent companies/people that you partner with.
CUSTOMER TAGS: Tags that can be created and assigned to one or more customers. (Ex. Large Volume Customer, Contract grower, etc..). When customers have tags assigned, you can filter your list of customers by their assigned tags. Customer tags can also be used to assign external sales users to customer accounts.
CUSTOM PLANTING: A service type in Seedtrakr that you can set up to book and invoice for custom planting services that you offer.
DASHBOARD: The landing page in Seedtrakr that you are first shown when you log in. This page contains various widgets that can be added/removed/rearranged on the page. Some of the widgets included provide information on current weather at your location, release notes from the latest Seedtrakr update, an overview of your product availability, a mini calendar view & more.
DEDUCT FROM PARENT INVENTORY: An option when creating a seed crop field that enables seed to automatically be deducted from a storage location in the parent seed lot based on the quantity of seed sown.
DEFAULT BOOKINGS TO PRODUCT LEVEL: A company setting that when enabled, sets all bookings to the product level by default. This setting is enabled by default.
DEFAULT BAG INVENTORY TO PALLETS: A company setting that when enabled, will automatically mark the "Has Pallet" checkbox as unselected when receiving bags. If your bagged inventory is primarily palletized, this setting may be suitable for you. Regardless how this setting is set, you can always select/deselect this when receiving bags too. This setting is enabled by default.
DEFAULT cc EMAIL: The default email address that can be cc'd on emails that go to customers from Seedtrakr. When sending documents to customers (invoices, quotes, booking confirmations, etc..) you have the option to cc to your default cc email address.
DEMOTED LOT: A demoted lot in Seedtrakr is a lot that is attached to a higher pedigree lot (Parent Lot) of the same variety. The parent lot will always have a higher pedigree than the demoted lot and only the parent lot will have any physical inventory. When demoting a lot in Seedtrakr, all inventory in that lot will be available to be sold at both the lower (demoted) pedigree and the original (parent) pedigree, this provides the flexibility to sell at either pedigree without having to demote specific quantities multiple times to fulfill bookings.
DISABLE SEEDTRAKR BRANDING: A company setting that when enabled, will remove the Seedtrakr logo from customer facing documents (booking confirmations, quotes, invoices, etc..). This setting is available in the plus tier and higher and is disabled by default.
DISPLAY "NOT AN INVOICE" ON BOOKING CONFIRMATIONS: A company setting that when enabled, will hide the "Not an invoice" text that is displayed on booking confirmations by default. This setting is disabled by default.
DISPLAY TOTAL WITH DISCOUNT ON BOTTOM OF BOOKING CONFIRMATION: A company setting that when enabled, will reorder the pricing displayed on the booking confirmation to show the discount option (if a prepayment discount has already added to a booking) at the bottom of the pricing options.
DISPLAY TKW AND GERMINATION ON PICKUP RECEIPT: A company setting that when enabled will display the TKW (thousand kernel weight) and germination % of seed that was picked up on that pickup receipt. They will only appear if these quality attributes have been added on the inventory lot that was picked up. This setting is disabled by default.
DLS LAND LOCATION: DLS (Dominion Land Survey) locations are entered on Seed Crop Fields in Seedtrakr to be able to track the physical location of your fields for CSGA crop certificate applications. DLS Land Locations are entered by specifying the quarter, section, township, range and meridian on a seed crop field.
DON'T SHOW CANCELLED INVOICES ON ACCOUNT STATEMENTS: A company setting that when enabled, will hide any cancelled invoices from the customer account statement.
DYNAMIC PRICING: An enterprise tier feature that enables your product SRPs to be automatically calculated and updated based on your cost of goods sold values that are entered on the product. Cost of goods sold values include costs like purchase price, grower premiums, royalties, cleaning fees, margins and commission. These values can also be bulk updated on products using the Detailed Product Pricing Export and the Import Detailed Pricing tool.
DYNAMIC WAREHOUSE: A warehouse in Seedtrakr that allows multiple products/lots to be stored in it at once. Dynamic warehouses are set up as Inventory Sites with the "Is Dynamic Warehouse" setting enabled.
NOTE: Warehouses that are set up as storage locations with the type set to "Warehouse" only support one product/lot in it at once. If you require the ability to store multiple totes/bags/bag pallets in the same warehouse at once, a dynamic warehouse would be advised.EMAIL SUBJECT PREFIX: The prefix to add to the subject line of your emails that are sent out of Seedtrakr. By default, emails sent out of Seedtrakr get a subject line that is determined by the type of email that you are sending to your customer. The prefix goes in front of the document type to make it more identifiable for your customer/recipient.
Example: If your company name is "RTP Farms" and you are sending an invoice to a customer, without the prefix the email subject line would be "Invoice". If you add a prefix with your company name, the email subject line would be "RTP Farms Invoice".ENABLE NETWORK: A company setting that when enabled, will turn on the Seedtrakr Network functionality for your company. Opting in to the Seedtrakr Network allows you to collaborate with other companies who you do business with through Seedtrakr.
ENABLE REPORTS FOR EXTERNAL SALES TEAMS: A company setting that when enabled, will give users with the external sales role access to limited sales reports. These reports contain only sales information for customers that they have access to.
ENGAGEMENT: Engagements (or Customer Engagements) are interactions that you've had with your customers. This can include site visits, phone calls, emails and other methods of communication. Engagements can be tracked in Seedtrakr to maintain a full history of interactions with the customer and required follow ups can be added to them to manage when you need to follow up with the customer.
ENGAGEMENT FOLLOW UP: An optional, specific date set on an engagement that is when you will need to follow up with the customer regarding that engagement.
ESTIMATED DOCKAGE %: The estimated dockage of a seed crop field once harvested. This can be entered on seed crop fields to help calculate net estimated harvest quantities.
ESTIMATED YIELD BUSHELS/ACRE: The estimated yield of a seed crop field in bushels per acre. This can be entered on seed crop fields and is used to help calculate estimated gross harvest quantities.
EXPORT FILTERED TABLE: A feature on most screens in Seedtrakr that allows you to export all of the data in the grid on the current page into a spreadsheet (.csv format) with the filters applied. This feature is helpful if you have applied multiple filters applied to a screen in Seedtrakr and would like just that data to appear in a spreadsheet.
EXTERNAL SALES: The external sales feature in Seedrakr allows sales people from outside of your company to log into your Seedtrakr account (with restricted access) and create bookings for you. This is commonly utilized by companies who have people doing sales for them who are not part of their internal team.
FARM LOCATION: The physical location of your farm/business configured in your company settings. Your farm location can be set by entering in your latitude and longitude coordinates or by choosing a location on a map. The farm location is used on the Search for Seed page and in MySeed to show prospective seed buyers where you are located and show them seed listings within their maximum distance.
FIELD ID: A unique identifier assigned to each of your Seed Crop Fields to help identify them. You have the flexibility to choose any naming convention that you'd like for your Field IDs.
FIELD LOCATIONS: Refers to the map available on the Seed Crop Fields page in Seedtrakr that opens a map view of all of your Seed crop fields with longitude and latitude entered on them as well as a map uploaded for them. "Pins" will appear on the map to show the set location (based on longitude and latitude) and if you've uploaded a field map (KML file) the field will be highlighted on the map.
FIELD OWNER: A field owner is specified on a Seed Crop Field in Seedtrakr to specify the ownership of the field. Field owners can be your company or any of your customers who are specified as growers.
FILE ATTACHMENTS: Any records in Seedtrakr that have a paperclip icon beside them support file attachments. If you have any files that you'd like to keep with a record in Seedtrakr you can attach them to the corresponding record and they'll stay with that record and be easily accessible in Seedtrakr.
FILTER: Most pages in Seedtrakr have filters to help you narrow down what data you're seeing on the page. Filters are hidden by default and can be opened by clicking the Filter button in the top right corner of the page. Several fields will appear that you can use to filter the displayed date to help find the data that you're looking for.
FINAL PRODUCT: A setting on a product that signafies that it will be sold in this form and will not be used on a processing record (cleaned), added to a blend spec, converted to commercial or planted (on a seed crop record). This is typically only used for cover crops that are created from blends.
GEOLOCATION: The physical address of a customer. Geolocations are set on customer accounts by choosing their location on a map, or by entering their longitude and latitude. Geolocations help build the customer locations map, available on the Customers page.
GRADER: Someone who is authorized to grade pedigreed seed. In Seedtrakr a list of graders can be managed in the company settings. These graders can be chosen when entering grading reports on inventory lots and their information will be displayed on the grading report as well as the pedigreed seed declaration.
GROSS ESTIMATED HARVEST: The total gross amount (in bushels, before dockage) that you expect to harvest from a seed crop record. This quantity is automatically calculated on your seed crop records after you enter the "Estimated Yield Bushels/Acre" and "Estimated Dockage %".
Example: If you estimate to get 50 bushels per acre when the seed crop record (100 acres) is harvested your gross estimated harvest amount would be 5000 bushels.GST ELIGIBLE: A setting on services and retail products that specify whether or not that product/service should have GST applied to it when it is included on an invoice Products with this enabled will have GST automatically appleid to them.
HELD LOT: Putting an inventory lot on hold prevents any seed from that lot from being added to pickups and shipments. Inventory in a lot that is on hold can be moved internally, it just cannot leave the site/facility it's currently at until the hold is released.
HIDE EXTERNAL SALES CUSTOMERS FROM INTERNAL SALES: A company setting that when enabled, will hide customers assigned to external sales people from internal sales users. This setting is disabled by default.
INCLUDE ACCOUNT BALANCE ON INVOICE: A company setting that when enabled, will include the customer's account balance on any invoices that are generated for them.
INCLUDE SALES PERSON ON INVOICE: A company setting that when enabled, will show the name of the sales person who made the sale on the customer's invoice. This setting is disabled by default.
INCLUDE SCALE TICKETS ON BOL: A company setting that when enabled, will print all of the scale tickets associated with a bill of lading on the BOL PDF.
INCLUDE SCALE TICKETS ON INVOICE: A company setting that when enabled, will print all of the pickup scale tickets from associated pickups on the invoice PDF.
INVENTORY SITE: A physical site where you have storage locations (bins, warehouses) that you store seed in. Storage locations are then assigned to inventory sites.
Example: You may have an inventory site where the majority of your bins are called "Main Yard", then when you define each bin that you have you'll assign them to the Main Yard site.INVENTORY LOT: A logical grouping of seed that was harvested from the same field in the same year and is covered under the same crop certificate. Each inventory lot has a lot number to identify it. Inventory lots can have inventory in multiple locations and formats (bulk, totes, bags, bag pallets).
INVOICE: A PDF summary of all the products and services delivered to your buyer. Seedtrakr's invoices itemize products/services, quantities and prices and shows the buyer a total price owing to you for those products and services.
INVOICE COMMENTS: A set of predetermined comments that will appear on all of the invoices that you generate in Seedtrakr. This can be configured in the company settings. Additional comments can be added to invoices at the time the invoice is generated.
INVOICING COMPANY: The company name, logo and address for a company who you want to appear on your invoices. By default your Seedtrakr company's name and address information will be used on your invoices, however in the enterprise tier you can manage a list of invoicing companies if you want to invoice as a different company.
LAB SAMPLES: The results of seed testing that has been returned to you by a seed testing lab. Seedtrakr currently supports full lab integration with 20/20 Seed Labs where any lab samples that are completed automatically populate into your Seedtrakr account and link to matching inventory lots. An integration with SGS is also available where lab samples can be imported into your Seedtrakr account through a spreadsheet downloaded from your SGS account.
LOGOUT TIMER: A configurable setting in your Company Settings that specifies how many minutes your user account can be inactive before it is automatically logged out. By default this is set to 240 minutes (4 hours) of inactivity before you will automatically be logged out of Seedtrakr.
LOT SHARE REQUEST: A request from one company using Seedtrakr to another, offering to share visibility on an inventory lot. Once accepted, the receiving company will have visibility on the shared lot in the sender's account according to the sharing settings set up by the sender. (Note: The sender and receiver must be network partners in order to send a lot share request).
LOT PROCESSING: The process of recording seed cleaning in Seedtrakr. A lot processing record allows you to record all of your incoming dirty scale tickets, outgoing clean scale tickets, screenings scale tickets and upon completion, automatically calculates your fan loss and generates a report summarizing and totaling up all clean, dirty and screenings quantities.
MOBILE APP: The companion app for Seedtrakr, available in both the Apple AppStore and Google PlayStore that allows you to access your data on the go. The mobile app contains a subset of the web app's features.
MOVEMENTS:
MYSEED: A free mobile companion app to Seedtrakr, where Seedtrakr users can list their seed availability for potential customers to see and request quotes for. MySeed also helps manage licensed variety reporting and view/manage inventory at partner processor locations and send requests to partner processors.
NET ESTIMATED HARVEST:
NETWORK COMPANIES: A list of seedtakr users who have turned on networking features.
NETWORK/SEEDTRAKR NETWORK: A Seedtrakr feature that allows distributors and growers to easily collaborate with one another on the app.
NETWORK PARTNER: A compnay that you are collaborating with on the Seedtrakr Network. To establish partnership with other companies using Seedtrakr, you must send them a "Partner Request" and they accept it OR they send you a partner request and you accept it.
ON-HAND: Represents the available physical inventory, typically for a specific retail product, treatment, product, or inventory lot. The on-hand amount always displays the combined total of purchased, unclean (if applicable), and clean quantities.
ON-HOLD: A specific status applied to an inventory lot or a work order. In both cases, the entry will be highlighted in red:
Inventory Lot on Hold: The system restricts any outward movement of the seed. You will not be able to add pick-ups or shipments for this lot until the hold is released.
Work Order on Hold: Indicates the assignee cannot currently proceed with the task. You can check the work order comments for specific details regarding the delay.
OPEN WORK ORDER: A work order that has been created but has not yet been completed.
OPERATOR: An individual or entity—specifically an approved conditioner or the seed grower—responsible for preparing seed of pedigreed status (cleaning, treating, sorting, packaging) and verifying its traceability. Operators are managed within Company Settings and can be assigned to Seed Declaration reports in Seedtrakr. If left blank, the system will use your default operator name.
OUT-OF-SPEC: A status applied to an inventory lot if its germination rate falls below the minimum percentage required for that variety; a minimum germination percentage is entered on the variety. When a lot becomes out-of-spec, it will be highlighted in brown within the system.
OUTSTANDING BOOKINGS/RETAIL PRODUCTS/SERVICES: Displays all bookings, products, and services that have not yet been invoiced.
OVERVIEW (WIDGET): A dashboard widget in Seedtrakr that displays your top 7 available products along with their current available quantities.
PACKAGED SEED: Packaged seed as referred to in the legend for creating custom work order id refers to the work order type “Seed Packaging” which is a work order time that outlines the packaging from bulk inventory in totes, bag pallets, or bags with the additional specification of packaging materials and treatments to use on the packaged inventory.
PACKAGING MATERIAL / PACKAGING MATERIAL TYPE: Packaging material is a category of retail product. Packaging material options include totes, qbit, bags, pallets, and other. Packaging material can be used and specified on seed packaging work orders.
PACKAGING REQUEST: A request from one company using Seedtrakr to another, asking for seed to be packaged in a specific format.
Example: A distributor has inventory at a grower site and the grower shares that lot with them so they have visibility on it. The distributor then sends the grower a packaging request asking the grower to package a specific quantity of seed in a specific format (totes, bags, etc..)PACKAGING TYPE: Packaging types are the types of inventoriable packaged inventory that can be added within seedtrakr; these include totes, bags, and bag pallets.
PALLETIZED / PALLETS: In seedtrakr we have the option to create “Bags” and “Bag Pallets” with inventory. They are both added with the same action and are used interchangeably in seedtrakr. What separates the two is the option to have them palletized or not. A bag pallet in seedtrakr is a pallet of bags and can be added to shipments and pickups as a whole pallet, while a collection of bags without a pallet can be added to a shipment or pickup in individual bags.
PARENT SEED LOT (SEED CROP RECORD): Parent seed lot represents the lot where the inventory for the seed crop record is coming from. A drop down of lots in seedtrakr will be shown. This is not required but will allow you to deduct inventory for the seed crop record if a parent seed lot is chosen.
PARTNER CUSTOMER: A partner customer is a seedtrakr network partner, often a partner grower, processor, or retailer.
PARTNER REQUEST: Partner requests are where any received or sent partner requests will show from other seedtrakr users on the network.
PARTNER ROLES: Partner roles are roles on a customer available exclusively to companies on the distributor tier. The roles options are partner grower, partner processor, and partner retailer. The roles play an important role when determining what a myseed partner can report back to the distributor. A partner grower can report seeded acres and harvested amount, a partner processor can report lot processing quantities, and a partner retailer can report sales.
PAYMENT ALLOCATION: Payment allocation gives the details of how the invoice amount has been allocated across invoices. If a payment has been added at the booking level, it will only apply to invoices from that booking. If an invoice has been added at the customer level, the payment will be allocated to all invoices starting with the oldest outstanding invoice.
PAYMENT TERMS: Payment terms can be set in several places in seedtrakr. First, you can set payment terms on the company setting which will apply to all invoices. If you want to set up payment terms per customer, you can also do that when adding a new customer or editing an existing one. If no payment terms are set on the company setting or on a customer, the default payment term is “N/A”.
PAYMENTS: Payments can be added to a booking or customer account once there is an owed amount.
PEDIGREE: Pedigree is set on a product in seedtrakr and is a vital part of what separates a product and a variety in seedtrakr. The options for pedigree in seedtrakr are PreBreeder, Breeder, Select, Foundation, Registered, Certified, Common, and Commercial.
PENDING MOVEMENT: A pending movement is a movement that is in the queue to happen but has not happened yet. The pending movement will complete once a work order has been approved and the movement passes other seedtrakr logic (ex: cannot transfer between dirty and clean inventory).
PICK-UP: The record of what a customer actually receives against a booking when they visit your site. Pickups track scale tickets, specific totes/bags/pallets, retail inventory, or services delivered.
Note: Often called a shipment in the seed industry. Warning: "Shipment" means something entirely different in Seedtrakr. Check the glossary or Shipments article for details.PICKUP RECEIPT: A pickup receipt is a pdf that can be downloaded after a pickup is posted and it outlines the details of what was picked up and includes the scale tickets.
PICKUP SEED (SCALE TICKET TYPE): A pick up seed type represents an outbound movement of seed from your yard that has an associated booking in the system.
PICKUP STATUS: Pickups have several statuses with different meanings, and determine what you are able to do with a pickup.
Work in Progress: A work-in-progress pick-up can have scale tickets, totes, bags, bag pallets, retail products, or services added to the pickup. It will also inherit any new product line, retail product line, and service line items added on a booking (no other pickup status will have new products added to it). This is the status all pickups start with. It is the only pickup status that can be manually changed to cancelled (must have no picked-up amount on the pickup to cancel).
Posted: A work-in-progress pickup can be manually changed to posted, meaning no more can be added to the pickup (with the exception of retail product/bag product/inventory to commercial returns). A posted pickup can be invoiced individually, or if a whole booking is invoiced, all posted pickups will be included on the invoice.
Cancelled: Cancelled pickups happen if a work-in-progress ticket is manually cancelled or if a pickup created from a network shipment request (distributor only) is reopened or cancelled.
Invoiced: Once a posted pickup is invoiced, the pickup status will change to invoiced.
PRE PAYMENT: A pre-payment can be added to a booking before an invoice is created. It is taken off the final invoice and cannot be added after an invoice has been issued.
PRE-PAYMENT DEADLINE: A pre-payment deadline can be set on a booking, and this determines when the last day the pre-payment discount will be applied.
PROCESSING REQUEST: A request from one company using Seedtrakr to another, asking for seed to be cleaned.
Example: A distributor has inventory at a grower site and the grower shares that lot with them so they have visibility on it. The distributor then sends the grower a processing request asking them to clean a specific quantity of that seed.PRODUCT: A product in Seedtrakr is what you're actually going to book and sell to your customers. A product consists of a variety, a pedigree and a price.
Example: A product could be called "AAC Brandon Certified #1", if you had multiple pedigrees of that product you also might have another product called "AAC Brandon Registered #1".PRODUCT LINE ITEM: A product line item is a product that has been added to a booking. Product line items have a price and show on invoices and booking confirmations. Product line items are also used on pickups to determine which product has been picked up.
PRODUCT MASTER: The product master menu is the menu where most of the initial data entry happens. In product master is where the list of crop types, varieties, products, retail products, services, and blend spec are added and viewed. For external sales users, this is where they can view products they are able to see and see their available to sell quantities, as well as if the company setting “Show lot info to external sales” is turned on.
PRODUCTION: Production is one of the main menus in seedtrakr and is where data is entered for things like lot processing, lot blending, blend batches, shipment order (contract production), receiving order, and work orders. This is the menu for your daily production/operations.
PURCHASE ORDER / PURCHASED INVENTORY: A purchased quantity can be added to an inventory lot, along with a vendor and purchase price. Then the quantity of purchased inventory can be viewed at the lot and product level. When receiving inventory it can be received against a purchase. Purchases can also be added to retail products.
QUICK ADD BUTTONS: The term used to describe an extra add button for a seedtrakr item outside their usual screens, allowing users to continue with their workflow without having to stop and jump to another screen.
QUICK BOOKING: A feature on customer details allowing a user to add a new booking and a product line item with a single click.
QUICKBOOKS INTEGRATION: A intergration which allows syncing seedtrakr customer, products, services, retail products, and invoices to QuickBooks Canada Online.
QUICKBOOKS EXPORTS: Excel exports that can be generated for seedtrakr customers and invoices and used to upload data to QuickBooks Canada and US Online.
RECEIVING ORDER: A shipment of seed from another network company on seedtrakr, these can be accepted or declined.
REQUEST: Requests allow collaboration between different companies using Seedtrakr to happen online. Requests can be sent from one company to another to ask for things like partnering on the network, seed processing, seed packaging, seed shipping & more.
RETAIL PRODUCT: Non-seed products that you inventory and sell. Retail products are inventoried at the product level (not storage location specific, like seed is).
Example: Examples of retail products include inoculants, tote bags, pallets, etc..RETURN: A return of bag seed, retail product, or bulk inventory to the commercial pedigree, which can be added to pickups.
SEED SUPPLIER: The distributor/breeder of a specific seed variety.
IMPORTANT NOTE: A seed supplier in Seedtrakr is not the one you bought or received the seed from.SEED VARIETY: The name of a seed variety that you grow and/or sell and will need to manage in your Seedtrakr account. A seed variety in Seedtrakr consists of a crop type, a seed supplier and a variety name.
SERVICES: Services your company offers and may book, including custom planting, custom seed cleaning, custom seeding, custom treating, equipment rental, field delivery, flat rate trucking, freight, germination test, licensed variety royalty, retail sale, and seed handling.
SHIPMENT REQUEST: A request from one company using Seedtrakr to another, asking for a specific quantity of seed to be shipped to a specific location.
Example: A distributor has inventory at a grower site, and the grower shares that lot with them so they have visibility on it. The distributor then sends the grower a shipment request, asking them to ship 100 bushels of seed to a specific customer.SRP: The standard retail price can be calculated using seedtrakr's dynamic pricing, and can be overridden on a product, retail product, or service line item on a booking.
TREATMENT: A liquid treatment applied to seed. Seed treatment inventory can be managed in Seedtrakr and added to bookings through treatment services.
NOTE: Treatments must be linked to a custom treating service in order to be added to a booking.USAGE:
USER PROFILE: Each user that logs into Seedtrakr has a "user profile". This consists of your email and password. User profiles are also used for change logging which means any changes a user makes in Seedtrakr is linked to their user profile and will appear under Seedtrakr's change log.
USER ROLE: A user role determines which level of access a user profile has in Seedtrakr. The user roles in Seedtrakr are as follows:
Company Admin: Has full access to everything in their company's Seedtrakr account.
Internal Sales: Have full access to the sales module and limited access to inventory.
Yard Manager: Full access to inventory with limited access to the product master and sales modules.
Yard Staff: Limited acess to the inventory and sales modules.
External Sales: Limited access to the sales module to be able to create bookings.
