ACTIVE: Records in Seedtrakr that are currently in use or are available for use. Nothing is ever "deleted" in Seedtrakr, when a record is no longer needed it will be set to inactive but can be brought back to active status if needed.
ACTIVE PICKUPS: A page in Seedtrakr where you can go and see all pickups that are currently have the "In Progress" or "Posted" status.
ADJUSTMENT: A type of inventory movement that is done outside of common inventory movements like receiving, transferring, pickups, shipments. Adjustments primarily are used for correcting inventory errors/discrepancies and should not be used as a primary method of moving inventory.
BLENDING: There are two different types of blending in Seedtrakr, Lot Blending and Batch Blending. Lot blending enables you to take multiple lots of the same variety and blend/stack them together in a new blended lot with the lowest pedigree of all the lots that were blended. Batch blending enables you to blend different products to create a new product using blend specs (ingredients list) and blend batches (where the actual blending happens).
BLEND BATCH: A record in Seedtrakr that enables you to use blend specs to blend inventory between products, varieties and crop types to create a new product. A blend batch utilizes a blend spec to know what ingredients and quantities are required and then records how much was actually used and went into the new lot as the blended product.
BLEND SPEC: A set of ingredients and quantities that outline everything that goes into creating a blend batch. The total of all the ingredients in a blend spec must equal the total batch size for a blend spec to be flagged as "ready for blending", which means it can be used on a blend batch.
BOOKING: A booking is how seed, services and retail products are reserved for customers. When items are added to bookings, the available quantity of the product is reduced by the booked amount to maintain accurate inventory availability. A booking is required for sales to be recorded and invoiced in Seedtrakr.
CALENDAR VIEW: A overview of day-to-day tasks occurring at your company. Events are automatically added to the calendar for upcoming pickups, lot processing, shipment orders, expiring quotes, CRM follow-ups and work orders. The calendar view can be shown in a daily, weekly or monthly view and clicking on events in the calendar give you more detail on that event as well as the option to jump to it at it's location within Seedtrakr.
CHANGE LOG: A tool in Seedtrakr that shows the entire history of a record beginning at the time it was created. Change logs allow you to view what changed with a record, who changed it and when for full traceability of all your data in Seedtrakr.
COGS (Cost of goods sold): The total cost of a product (not necessarily the sell price). The cost of goods sold factors in the purchase price, grower premiums, royalties and cleaning fees for the product. These values can only be recorded on products in the enterprise and distributor subscription tiers.
COMPANY SETTINGS: The page where users with the "Company Admin" user role can go to set up and modify settings specific to your company and how you use Seedtrakr.
CONTRACT CUSTOMER: A genetics company / seed supplier that you hold a contract with to grow seed for. They are set up in Seedtrakr as customers, with the "Genetics Company" role enabled on them.
CONTRACT GROWER: A seed grower that you have contracted to grow seed for you. They are set up in your Seedtrakr as a customer, with the "Is Grower" role enabled on them. Contract growers can be set on inventory lots to show that
CONVERSION CALCULATOR: A built in calculator available in Seedtrakr that enables you to convert products between different units of measure (Lbs, Kgs, Tonnes, Tons (US Tons), Bushels & Units). The calculator can also factor in product pricing and calculate pricing for the converted units of measure.
CONVERT TO COMMERCIAL: An inventory function in Seedtrakr that allows you to convert a storage location containing pedigreed seed to commercial seed. The entire storage location is moved from the pedigreed lot to an existing commercial inventory lot of the same crop type. The inventory amount will be removed from the pedigreed lot's on hand and available quanity and added to the commercial lot.
CRM (Customer Relationship Management): Seedtrakr's CRM system provides a full suite of contact and customer engagement (interaction) tracking features to maintain an accurate history of all interactions with your customers, across your team. CRM features include contacts, engagements, engagement follow ups and customer tags.
CROP TYPE: Crop kind in Seedtrakr (ex. Wheat, Soybeans). Crop types are vital for inventory management in Seedtrakr as they contain a lbs/bushel value that lets the system accurately convert inventory between multiple units of measure. The ability to inventory product in "Units" is also specific to certain crop types (beans, soybeans and hybrid rye), Seedtrakr knows how to calculate units based on the selected crop type.
CUSTOMER: A person/company that you sell seed, retail products or services to. Customers must be entered into Seedtrakr before bookings can be entered. Customers are also used to represent companies/people that you partner with.
CUSTOMER TAGS: Tags that can be created and assigned to one or more customers. (Ex. Large Volume Customer, Contract grower, etc..). When customers have tags assigned, you can filter your list of customers by their assigned tags. Customer tags can also be used to assign external sales users to customer accounts.
DASHBOARD: The landing page in Seedtrakr that you are first shown when you log in. This page contains various widgets that can be added/removed/rearranged on the page. Some of the widgets included provide information on current weather at your location, release notes from the latest Seedtrakr update, an overview of your product availability, a mini calendar view & more.
DEMOTED LOT: A demoted lot in Seedtrakr is a lot that is attached to a higher pedigree lot (Parent Lot) of the same variety. The parent lot will always have a higher pedigree than the demoted lot and only the parent lot will have any physical inventory. When demoting a lot in Seedtrakr, all inventory in that lot will be available to be sold at both the lower (demoted) pedigree and the original (parent) pedigree, this provides the flexibility to sell at either pedigree without having to demote specific quantities multiple times to fulfill bookings.
DYNAMIC PRICING: An enterprise tier feature that enables your product SRPs to be automatically calculated and updated based on your cost of goods sold values that are entered on the product. Cost of goods sold values include costs like purchase price, grower premiums, royalties, cleaning fees, margins and commission. These values can also be bulk updated on products using the Detailed Product Pricing Export and the Import Detailed Pricing tool.
DYNAMIC WAREHOUSE: A warehouse in Seedtrakr that allows multiple products/lots to be stored in it at once. Dynamic warehouses are set up as Inventory Sites with the "Is Dynamic Warehouse" setting enabled.
NOTE: Warehouses that are set up as storage locations with the type set to "Warehouse" only support one product/lot in it at once. If you require the ability to store multiple totes/bags/bag pallets in the same warehouse at once, a dynamic warehouse would be advised.ENGAGEMENT: Engagements (or Customer Engagements) are interactions that you've had with your customers. This can include site visits, phone calls, emails and other methods of communication. Engagements can be tracked in Seedtrakr to maintain a full history of interactions with the customer and required follow ups can be added to them to manage when you need to follow up with the customer.
ENGAGEMENT FOLLOW UP: An optional, specific date set on an engagement that is when you will need to follow up with the customer regarding that engagement.
EXTERNAL SALES: The external sales feature in Seedrakr allows sales people from outside of your company to log into your Seedtrakr account (with restricted access) and create bookings for you. This is commonly utilized by companies who have people doing sales for them who are not part of their internal team.
FILE ATTACHMENTS: Any records in Seedtrakr that have a paperclip icon beside them support file attachments. If you have any files that you'd like to keep with a record in Seedtrakr you can attach them to the corresponding record and they'll stay with that record and be easily accessible in Seedtrakr.
FILTER: Most pages in Seedtrakr have filters to help you narrow down what data you're seeing on the page. Filters are hidden by default and can be opened by clicking the Filter button in the top right corner of the page. Several fields will appear that you can use to filter the displayed date to help find the data that you're looking for.
FINAL PRODUCT: A setting on a product that signafies that it will be sold in this form and will not be used on a processing record (cleaned), added to a blend spec, converted to commercial or planted (on a seed crop record). This is typically only used for cover crops that are created from blends.
HELD LOT: Putting an inventory lot on hold prevents any seed from that lot from being added to pickups and shipments. Inventory in a lot that is on hold can be moved internally, it just cannot leave the site/facility it's currently at until the hold is released.
INVENTORY SITE: A physical site where you have storage locations (bins, warehouses) that you store seed in. Storage locations are then assigned to inventory sites.
Example: You may have an inventory site where the majority of your bins are called "Main Yard", then when you define each bin that you have you'll assign them to the Main Yard site.INVENTORY LOT:
INVOICE: A PDF summary of all the products and services delivered to your buyer. Seedtrakr's invoices itemize products/services, quantities and prices and shows the buyer a total price owing to you for those products and services.
LAB SAMPLES: The results of seed testing that has been returned to you by a seed testing lab. Seedtrakr currently supports full lab integration with 20/20 Seed Labs where any lab samples that are completed automatically populate into your Seedtrakr account and link to matching inventory lots. An integration with SGS is also available where lab samples can be imported into your Seedtrakr account through a spreadsheet downloaded from your SGS account.
LOT SHARE REQUEST: A request from one company using Seedtrakr to another, offering to share visibility on an inventory lot. Once accepted, the receiving company will have visibility on the shared lot in the sender's account according to the sharing settings set up by the sender. (Note: The sender and receiver must be network partners in order to send a lot share request).
LOT PROCESSING: The process of recording seed cleaning in Seedtrakr. A lot processing record allows you to record all of your incoming dirty scale tickets, outgoing clean scale tickets, screenings scale tickets and upon completion, automatically calculates your fan loss and generates a report summarizing and totaling up all clean, dirty and screenings quantities.
MOBILE APP: The companion app for Seedtrakr, available in both the Apple AppStore and Google PlayStore that allows you to access your data on the go. The mobile app contains a subset of the web app's features
NETWORK/SEEDTRAKR NETWORK: A Seedtrakr feature that allows distributors and growers to easily collaborate with one another on the app.
NETWORK PARTNER: A compnay that you are collaborating with on the Seedtrakr Network. To establish partnership with other companies using Seedtrakr, you must send them a "Partner Request" and they accept it OR they send you a partner request and you accept it.
ON-HAND: Represents the available physical inventory, typically for a specific retail product, treatment, product, or inventory lot. The on-hand amount always displays the combined total of purchased, unclean (if applicable), and clean quantities.
ON-HOLD: A specific status applied to an inventory lot or a work order. In both cases, the entry will be highlighted in red:
Inventory Lot on Hold: The system restricts any outward movement of the seed. You will not be able to add pick-ups or shipments for this lot until the hold is released.
Work Order on Hold: Indicates the assignee cannot currently proceed with the task. You can check the work order comments for specific details regarding the delay.
OPEN WORK ORDER: A work order that has been created but has not yet been completed.
OPERATOR: An individual or entity—specifically an approved conditioner or the seed grower—responsible for preparing seed of pedigreed status (cleaning, treating, sorting, packaging) and verifying its traceability. Operators are managed within Company Settings and can be assigned to Seed Declaration reports in Seedtrakr. If left blank, the system will use your default operator name.
OUT-OF-SPEC: A status applied to an inventory lot if its germination rate falls below the minimum percentage required for that variety; a minimum germination percentage is entered on the variety. When a lot becomes out-of-spec, it will be highlighted in brown within the system.
OUTSTANDING BOOKINGS/RETAIL PRODUCTS/SERVICES: Displays all bookings, products, and services that have not yet been invoiced.
OVERVIEW (WIDGET): A dashboard widget in Seedtrakr that displays your top 7 available products along with their current available quantities.
PACKAGING REQUEST: A request from one company using Seedtrakr to another, asking for seed to be packaged in a specific format.
Example: A distributor has inventory at a grower site and the grower shares that lot with them so they have visibility on it. The distributor then sends the grower a packaging request asking the grower to package a specific quantity of seed in a specific format (totes, bags, etc..)PROCESSING REQUEST: A request from one company using Seedtrakr to another, asking for seed to be cleaned.
Example: A distributor has inventory at a grower site and the grower shares that lot with them so they have visibility on it. The distributor then sends the grower a processing request asking them to clean a specific quantity of that seed.PRODUCT: A product in Seedtrakr is what you're actually going to book and sell to your customers. A product consists of a variety, a pedigree and a price.
Example: A product could be called "AAC Brandon Certified #1", if you had multiple pedigrees of that product you also might have another product called "AAC Brandon Registered #1"REQUEST: Requests allow collaboration between different companies using Seedtrakr to happen online. Requests can be sent from one company to another to ask for things like partnering on the network, seed processing, seed packaging, seed shipping & more.
RETAIL PRODUCT: Non seed products that you inventory and sell. Retail products are inventoried at the product level (not storage location specific like seed is).
Example: Examples of retail products include inoculants, tote bags, pallets, etc..SEED SUPPLIER: The distributor/breeder of a specific seed variety.
IMPORTANT NOTE: A seed supplier in Seedtrakr is not who you bought or received the seed from.SEED VARIETY: The name of a seed variety that you grow and/or sell and will need to manage in your Seedtrakr account. A seed variety in Seedtrakr consists of a crop type, a seed supplier and a variety name.
SHIPMENT REQUEST: A request from one company using Seedtrakr to another, asking for a specific quantity of seed to be shipped to a specific location.
Example: A distributor has inventory at a grower site and the grower shares that lot with them so they have visibility on it. The distributor then sends the grower a shipment request, asking them to ship 100 bushels of seed to a specific customer.TREATMENT: A liquid treatment applied to seed. Seed treatment inventory can be managed in Seedtrakr and added to bookings through treatment services.
NOTE: Treatments must be linked to a custom treating service in order to be added to a booking.USER PROFILE: Each user that logs into Seedtrakr has a "user profile". This consists of your email and password. User profiles are also used for change logging which means any changes a user makes in Seedtrakr is linked to their user profile and will appear under Seedtrakr's change log.
USER ROLE: A user role determines which level of access a user profile has in Seedtrakr. The user roles in Seedtrakr are as follows:
Company Admin: Has full access to everything in their company's Seedtrakr account.
Internal Sales: Have full access to the sales module and limited access to inventory.
Yard Manager: Full access to inventory with limited access to the product master and sales modules.
Yard Staff: Limited acess to the inventory and sales modules.
External Sales: Limited access to the sales module to be able to create bookings.
