To access the INVENTORY LOTS screen: Go to the INVENTORY menu → INVENTORY LOTS screen
Click Add Inventory Lot.
The Inventory Lot screen will appear where you can enter the details about the new inventory lot.
Fields appearing in Pink are Mandatory, and must be entered.
Crop Year: Enter the crop year.
Product: Select a product from the list of available products. If you need to add a new product, use the Quick Add button to add it.
Sequence #: Enter your crop inspection sequence number.
No Crop Certificate: Check this option IF you do not yet know your crop certificate number. You can always add it later.
Crop Cert #: Enter the crop certificate number.
Lot #: Enter the inventory lot number
Royalty: Enter the royalty amount for the inventory in the lot.
Contact Grower: Enter the grower name (if applicable).
Third Party Lot: Check this option to add a third party inventory lot and select a customer that to which the inventory belongs.
Contract Customer: If a contract customer is specified here this lot will become a production contract lot. Find more information about contract production Contract Production.
Accounting Code: Enter your accounting code or select one from the drop down menu. The drop down menu is populated by codes that are used on your other inventory lots. The full list of accounting codes can be found in the company settings.
Accounting Inventory Value $: Enter the accounting inventory value amount.
Use Lot Unit Price?: Check this checkbox to set a different SRP for this inventory lot. All inventory sold from this lot will now use the lot SRP instead of the product level SRP.
Use Override Bushel Weight (lbs)?: Check this checkbox to set a different lbs/bushel value for this lot. All inventory received in this lot will use the lot lbs/bushel for any conversions instead of the crop type lbs/bushel.
Active: This field will default to active. This is represented with checkmark.
Comments: Add comments for the inventory lot. Any comments can be added here and stay with the inventory lot.
To complete the inventory lot creation, click Save.
This inventory lot will now be available for selection in the inventory lots list.
When creating hybrid rye inventory lots you will have additional fields to fill out.
The viable unit weight field is required and must be entered to save the inventory lot.
Estimated Unit Weight: Check this box if the unit weight entered on the lot is estimated.
Allow Pickup with Estimated Viable Weight: Check this box if you want to be able to add inventory from this lot to pickups when the unit weight is estimated.
The viable unit weight can also be calculated for the inventory lot by checking the Calculate Viable Unit Weight checkbox.
Thousand Kernel Weight: Enter the tkw of the lot
Germination Percentage: Enter the germination for the inventory lot.
Once both of these values have been entered, they will calculate the viable unit weight of the inventory lot. Both of these values will also update on the report of analysis.
