Customer Setup For Quickbooks (Online) Integration

To access the QUICKBOOKS INTEGRATION settings:  Go to the ADMIN menu → COMPANY SETTINGS screen → QUICKBOOKS INTEGRATION tab

Fetching QuickBooks Customers

In order to link existing Seedtrakr and existing QuickBooks customers together, you must first fetch your customer list from QuickBooks. 


NOTE:  This does not create the QuickBooks customers in Seedtrakr, it populates a list of QuickBooks customers under the QuickBooks integration tab in the company settings. These are then used to choose from when choosing which QuickBooks customer to link a Seedtrakr customer to.

On the Quickbooks Integration tab in the company settings, click the QuickBooks Customers tab.

Click the Fetch QuickBooks Customers button.

A dialog will appear, showing all customers found in QuickBooks that were not already in the list in Seedtrakr as well as any customers that have been updated in QuickBooks since the last time they were fetched from QuickBooks.


Your QuickBooks customers will now appear in a list under the Customers tab. Here you can see the following information about them:

QuickBooks ID: This is the ID of the customer in QuickBooks. Clicking on this will automatically take you to that customer's page in QuickBooks (if you are logged into quickbooks).

Name: The customer's name as configured in QuickBooks.

Seedtrakr Customer Name: The name of the customer account in Seedtrakr that the QuickBooks customer is linked to.

Billing Address: The customer's address as configured in QuickBooks.

Active: This checkbox will show if the customer is active or not in QuickBooks.


NOTE:  By default inactive customers will not appear in this list, To find them, click the Filter button and then uncheck the Is Active checkbox that appears. Then it will display all your inactive customers in Quickbooks.

Actions: Clicking the button under the actions column will open the change log for that customer. Here you can see all changes made to that customer.

Linking Seedtrakr Customers to QuickBooks Customers


(If you already have a customer set up in both Seedtrakr and QuickBooks)

PRE-REQUISITE:  Before you can link Seedtrakr Customers to QuickBooks Customers, you must have fetched your QuickBooks Customers into Seedtrakr already. (Above Step)

Linking Seedtrakr customer to QuickBooks Customers is required to sync invoices for customers to QuickBooks.

Go to the CUSTOMER DETAILS page for the Seedtrakr customer that you want to link to a Quickbooks customer.

Open the More Actions drop down and click on the Link to QuickBooks Customer button.

A window will appear where you can choose the QuickBooks customer that you want to link the Seedtrakr customer to. Choose the customer from the drop down list and then click Save.

After saving, you will receive a message in the bottom right corner of the screen if the customer was successfully linked.

Return to the QuickBooks Customers tab (under the QuickBooks Integration) tab in the company settings. 

Here you will now see that the customer you linked now shows that it's linked to a Seedtrakr customer.

You can click on the Seedtrakr Customer name and be taken directly to their account details page in Seedtrakr.

Syncing New Customers to QuickBooks


(If you already have a customer set up in Seedtrakr but not in QuickBooks. This creates the customer in QuickBooks and links it to the customer in Seedtrakr)

PRE-REQUISITE:  Before you can sync new customers to QuickBooks, your Seedtrakr account must already be linked to QuickBooks.

On the CUSTOMER DETAILS page for the customer that you want to sync to QuickBooks (as a new customer).

Open the More Actions drop down list and click on the Sync New to QuickBooks button.


Once the customer has successfully synced, you will receive a message in the bottom right corner to indicate this.

Return to the QuickBooks Customers tab (under the QuickBooks Integration) tab in the company settings. 

Here you will now see that the new customer has been created in QuickBooks and linked to the customer you created it from in Seedtrakr.

You can click on the Seedtrakr Customer name and be taken directly to their account details page in Seedtrakr.

Updating Customers In QuickBooks From Seedtrakr


(If you make a change to a customer in Seedtrakr and want to copy the changes over to QuickBooks)

PRE-REQUISITE:  Before you can update products in QuickBooks from in Seedtrakr, you must already have them linked. 

If you make a change to a customer in Seedtrakr (like the name, address, etc..) and want to sync the changes over to QuickBooks, go to the details page for the customer in Seedtrakr, and click on the Update in QuickBooks button (under more options) beside it.

Once the customer has been updated in QuickBooks, you will receive a message that it has been updated successfully.

When you look at the customer in QuickBooks, the updated details will be there (name, address, etc..)

Unlinking Seedtrakr and QuickBooks Customers


If you want to unlink a Seedtrakr customer from QuickBooks, click the Unlink Quickbooks from Customer button.

Once completed, a message will appear in the bottom right corner of the page to say that the customer was unlinked.
