Quickbooks Exports (Beta)

If Quickbooks Integration is enabled on your account you can export, invoices, customers & products/services from Seedtrakr and import them into Quickbooks.

Note: Only Quickbooks Online is compatible with this feature.

Customers

Click "Report", on the Customers screen and select "Customer Details (Quickbooks)".


This will export your customer list to an excel file that can be imported into quickbooks.

On your quickbooks account, navigate to the Customers screen (Sales Customers).

Beside "New Customer", click the down arrow beside it and select "Import Customers".

Click "Browse", select the customer export file from your computer.

Once the file is uploaded click "Next" at the bottom of the screen.

Ensure the data mappings are correct. (You should not see any X's beside any of the fields).

Review the list of customers to be imported. At this point you can make any edits that may be required.


Once you're ready to import, click "Import" at the bottom of your screen.


The imported customers will then appear on your customers screen in quickbooks.

Invoices

Payment deadlines are required to import invoices into quickbooks, if not configured before exporting them you'll need to manually add them in the CSV file before the import to Quickbooks can be successfully completed.

Note: We strongly recommend ensuring you have your payment terms fully configured in Seedtrakr before exporting your invoices. If you have customers whose payment terms are set to "NA" or your company default payment terms are "NA" their invoices will export without a payment deadline.

Click "Download" on the Invoices screen and select either of the following options, depending which invoices you want to export:

  • Export all invoices (Quickbooks)

  • Export invoices by date (Quickbooks)


This will export your invoices to a CSV file.

On your quickbooks account, navigate to the Invoices screen. (Sales Invoices)

Beside the "Create Invoice" button, click the down arrow beside it, select "Import Invoices".

Select "Browse" and choose the CSV file that was just downloaded on your computer.

The following options can also be selected if necessary:

  1. Add new contacts that don't already exist in quickbooks.

  2. Add new products/services that don't already exist in quickbooks.

Once the file has been selected and the necessary options have been set, click Next.

The following 2 options need to be set to tell Quickbooks how to import your invoices:

  1. Set the date format to "YYYY-M-D".

  2. Set the item amount to "Exclusive of tax".

Click Next when completed.

Map the tax codes from the CSV file to your Quickbooks tax codes.

Seedtrakr uses the following two tax codes:

  1. Exempt: All products will use this one as well as services and retail products that do not have GST configured on them.

  2. GST: All services & retail products that are GST eligible use this one.

Select the corresponding tax code you have set up in your quickbooks account, click Next.

If everything is good to go, you'll receive a summary of everything that will be imported.

Click Start import to import the invoices.


Once it's completed, click OK to return to the invoices screen. The imported invoices will now appear there.

Products / Services / Retail Products

Products, Services & Retail Products can be exported from any of the following screens (Each one downloads the same file):

  • Products Screen

  • Retail Products Screen

  • Services Screen

Click "Products & Services (Quickbooks)" to download the report.

This will export your products, services & retail products to an Excel file.

On your quickbooks account, navigate to the Products & Services screen (Sales Products & Services).

Beside the "New" button, click the down arrow beside it and select "Import"..

Click "Browse", select the products & services export file from your computer. Once the file is uploaded click "Next" at the bottom of the screen.

Ensure the fields from the excel file correctly map to the quickbooks field. If there are issues they'll need to be manually mapped using the drop down menu before continuing.

Click Next when completed.

A list of all the products, services & retail products to be imported will appear. Any changes or edits can be added to them at this point.


Once completed, click Import to finish importing.


A message will appear indicating how many products & services were imported. At this point click the X button to return to the products & services screen.

The imported items will now appear in the list.
