SocrateCloud v.14.12 provides customers with the possibility of activating a mini e-commerce B2B (business to business) website. The WebStore module is a high quality presence for any organization. Information is taken directly from the SocrateCloud application so that there is no need for additional integration or synchronization.
To benefit from this functionality it is necessary to activate the SocrateCloud WebStore component at Tenant level. For more details contact the BIT Software sales department.
The WebStore module offers the beneficiary's customers the ability to access the SocrateCloud system and do the following:
view the product catalogue, prices and product availability;
add orders;
add locations;
add tickets;
view documents.
Starting with the next version the following actions will be available:
view other info regarding the customer - supplier relationship:
common projects;
subjects of interest.
customer asset operations;
advanced user management.
To access the WebStore you need to enter the in your browser the address described below:
<<beneficiary>>.socratecloud.eu - where "beneficiary" represents the purchased domain name.
To be able to use the WebStore, a customer must be defined in SocrateCloud as a business partner and have a user assigned. To log in a customer must know the username and password for it's user assigned in SocrateCloud:
Enter the username (email address) and password of the SocrateCloud user in the respective fields, located in the upper right corner of the window.
Click Log In to access the WebStore.
If the user used to log in is associated with more business partners (customers), the business partner for which WebStore operations are made will have to be selected. This can be done from the BP: drop down menu, located on the upper left corner of the screen, under the Home menu.
A new user can be registered directly from the Web Store:
Press the Register button located in the upper left corner of the Web Store home page to access the registration page. If the user is a contact for a business partner clear the I am an individual checkbox in order to be able to enter business partner information.
Enter the required information and then press the Save button located in the upper right corner of the page. A confirmation email will be sent to the email address provided. Access the link provided in the email to finish the registration process.
Customers have the possibility to browse products on the WebStore using the product catalogue. Pictures and specifications are available for each product and may be viewed by clicking on the product in the catalogue.
It is possible to add search filters to the product catalogue using product categories and product details, such as attributes. Also it is possible to search for a product by name.
Click on Category to filter the product catalogue by category, subcategory, family;
Click on Sort By to filter the product catalogue by product details;
To search for a product, enter it's name in the search field located on top of the window.
Product availability (available warehouse stock) can be viewed, depending on the customer's price list. The following options are available:
All - all products are shows;
Not in stock - only products with 0 stock are shown;
In stock - only products with available stock are shown.
The WebStore module offers customers the possibility to add products to a shopping basket while browsing the product catalogue.
Click on a product in the catalogue to view the product's details;
Enter the product quantity in the respective field on the right side;
Click on the Add to basket button to add the product to the shopping basket.
Through the Quick Buy functionality you can add products directly from the product catalogue without having to open the product details window:
The Quick Buy button will appear when hovering the mouse cursor over the product n the product catalogue;
The desired quantity can be entered using the + și - buttons located to the right of the Quick Buy button;
Click on the Quick Buy button to add the product to the shopping basket.
Products can be removed from the shopping basket before confirming the order:
Click on the Cart button located on the upper right corner of the window;
Click on Remove next to a product to remove it from the shopping basket ;
Click on the Check Out button to confirm the order.
The total costs and applicable taxes will the be displayed for the order:
Additional information (Organization, Delivery and Invoice Address, Payment Method) can be viewed / selected on the right side menu;
Click on the Submit Order button to generate an order within SocrateCloud for the products selected.
Customers have the possibility to view documents through the WebStore. Document lists can be accessed through the Home menu located in the uper left corner of the page.
The following document types can be viewed:
Orders
To view a list of orders, select from the menu Orders. The list is organized in columns containing order information (order no, status, address, payment term, payment method, sales rep, total price). Click on an order in the list to display the order lines (product name, price and quantity).
Shipments
To view a list of shipments select from the meu Shipments. The list is organized in columns containing shipment information (order, date, status). Click on a shipment in the list to display the shipment lines (product name and quantity). To export the shipment document, as a PDF file, using the default print format, press View Document.
Invoices
To view a list of invoices select from the menu Invoices. The list is organized in columns containing invoice information (date, total value). Click on an invoice in the list to display the invoice lines (product name, price and quantity). To export the invoice document, as a PDF file, using the default print format, press the PDF button in the View Document column.
Payments
To view a list of payments select from the menu Payments. The list is organized in columns containing payment information (date, payment value, bank account).
Customers have the possibility to add / remove / edit their locations through the WebStore. Select Locations from the Home to view a list of locations. The following actions are available:
click on Edit to modify an existing location;
click on Remove to delete an address;
click on + Add Address and fill in the corresponding fields (address, phone number, etc.) to add a new location.
Customers have the possibility to view and add tickets through the WebStore. Select Tickets from the Home menu to view a list of tickets. The following options are available:
click on Edit to modify a ticket;
click on + Create New Ticket and fill in the corresponding fields to add a new ticket .
