In SocrateCloud, commissions are calculated using the values and quantities from receipts, invoices or sales orders, assigned to a sales representative. Based on the calculated amounts, invoices can be issued to sales representatives.
The Commission window located in the Quote-to-Invoice -> Sales Setup menu, is used to define and maintain the rules used to calculate sales commissions. The following fields are available:
Business Partner/Sales Rep - business partner to which the commision is paid;
Currency - currency that will be used on the commission invoice;
Charge - charge that will be used on the commission invoice, determines the account used when posting the commission's. Details in Expenses;
Calculation Basis - the documents used to determine the base amounts and quantities used when calculating the commission;
Frequency Type - determines the period for which the commision is calculated: Weekly, Monthly, Yearly, Quarterly;
List Details - determines whether the details will be printed on commision reports;
Copy Lines button - press to copy the rules from a previously defined commission;
Status Section:
Generate Commission - press to calculate the commission using the rules defined in the Commission Line tab;
Date Last Run - displays the last time when the Generate Commission process was run;
In the Commission Line tab the rules used to generate commissions are defined. The following fields are available:
Reference Section:
Org, BP Group, Product Category etc. - selection filters for the documents used to determine the base amount and quantity;
Commission only specified Order - if checked, only documents with this sales representative will be used;
The calculation will use the base quantities and amounts which represent the sum of quantities and of amounts from the documents used and the values entered in the Quantities and Amounts sections:
Commission Amount = (Base Qty - Subtract Qty) * Multiplicator Qty + (Base Amt - Subtract Amt.) * Multiplicator Amt;
Positive Only - negative commission amounts will be ignored;
Used in DW - indicates that this record will be transferred to the BI (Business Intelligence) database ;
After entering at least one record in the Commission Line tab, return to the Commission window to generate commission amounts according to the rules defined.
Press the Generate Commission Button and for every record in the Commission Lines tab a commision amount will be calculated, using the following rules:
Commission Amount = (Base Qty - Subtract Qty) * Multiplicator Qty + (Base Amt - Subtract Amt.) * Multiplicator Amt;
Subtract Qty, Multiplicator Qty, Subtract Amt, Multiplicator Amt - respective values set in the Commission Lines tabs;
Base Qty - the sum of quantities from the documents used;
Base Amt - the sum of amounts from the documents used;
Documents Used - completed documents of the type selected in the Calculation Basis filed from the Commission window, and respecting the selection filters selected in the Commission Lines tab with their document date within the Commissioning Period;
Commissioning Period:
From = Start Date - parameter selected when running the Generate Commission process;
To = Start Date + Interval selected in the Frequency Type field, Commission window
The Commission Run window, located in the Quote-to-Invoice -> Sales Setup menu, is used to view and review the results obtained using the Generate Commission process and generate commission invoices based on those results. The following fields are available:
Description, Start Date - the starting commissioning period and the currency used;
Total General - sum of all the commission amounts calculated for each record in the Commission Lines tab from the Commission windows, using the Generate Commission process;
The Commission Amount tab is used to review the commission amounts calculated:
Commission Line - record from the Commission Lines tab used to generate this commission amount;
Converted Amount, Actual Quantity - Base Qty and Base Amt used in this calculation;
Commission Amount - the calculated commission amount;
The Commission Detail subtab is used to review the documents used to determine the base quantities and amounts;
Once all the amounts and details are reviewed you can either edit the commission lines (using the Commission window, Commission Lines tab) and recalculate the commission amounts (using the Generate Commission process) or, if the resulted amounts are correct, in the Commission Run window press the Create Invoice button to generate a commission invoice for the sales representative. A message indicating the invoice number will appear after running the process.
The Commission Run Detail report displays a structured list of all the commission amounts calculated and the transactions used to determine the base values.
