10.12. Customer Bonus Systems

Starting v14.06 SocrateCloud allows it's users to define customer bonus systems and automatically calculate customer bonuses based on sales forecasts.

Defining Forecast Bonuses Types

The Forecast Bonuses Type window, located in the Quote-to-Invoice -> Sales Setup menu, is used to define the types of bonuses offered by an organization (value, quantitative, qualitative). The following fields are available:

  • Bonus Type - there are 3 available options:

    • Quantitative - the bonus is given when quantity sales forecasts are reached;

    • Value - the bonus is given when amount sales forecasts are reached;

    • Qualitative - the bonus is given only if approved by the sales department;

Defining Forecast Bonuses Formulas

The Forecast Bonuses Formulas window, located in the Quote-to-Invoice -> Sales Setup menu, is used to define the formulas used to calculate the bonus value, according to the organization's customer bonus algorithm. The following fields are available:

  • Sequence - determines the order in which the bonuses will be calculated (important when defining linked bonuses);

  • Family Type, Family, Product Category, Subcategory, Product Period - selection filters for products and period, used to determine the associated sales forecast and the actual sales. Details in Sales Forecasts -> Product and Period;

  • Bonus Type - select Forecast Bonus Type, described above;

  • Formula Type - determines how the base value for actual sales is calculated:

    • List Worth - total Invoiced Qty*List Price for the products determined by the selection filters above, for which a sales forecast exists;

    • Net Worth - total net amount invoiced for the products determined by the selection filters above, for which a sales forecast exists;

    • Net Worth (Changed Sign) - same value as Net Worth but with a negative sign;

    • Net Worth / Volume - total volume invoiced for the products determined by the selection filters above, for which a sales forecast exists;

  • Percentage - the percent of the base value offered if the sales forecast is is reached;

  • Valid from - Valid to - the interval for which the actual amounts and quantities are determined;

When calculating a bonus, if the base value needs to be affected by a previously entered bonus, the Details tab can be used to add previously defined formulas which will be subtracted from the current formula:

Starting with v14.11, for a formula, you can define specific bonus percentages for customers using the BP Percentages tab. The percentage defined here will be used instead of the percentage defined in the Forecast Bonuses Formulas window:

The Copy Forecast Bonuses Formulas process, located in the Quote-to-Invoice -> Sales Setup menu, is used to generate formulas for following years based on existing formulas:

  • Date - define an interval which will contain the existing formulas;

  • Calendar, Year - select the calendar and year for which new formulas will be generated;

The process will generate, based on the existing formulas, identical formulas for the selected year and calendar.

Calculate Bonuses

The Calculated Forecast Bonuses window, located in the Quote-to-Invoice -> Sales Setup menu, is used to calculate forecast bonuses based on the formulas and sales forecasts defined. The following fields are available:

  • A record will be added in the Calculate Bonuses window for each forecast period;

  • Transaction Date - date when the calculation takes place (usually the last day from the respective period);

  • Calculate Bonuses button - starts the process used to calculate bonuses based on formulas:

    • Business Partner - select to calculate the bonus for this specific business partner instead of all business partners;

    • Forecast Bonus Formula - select to calculate the bonus using a specific formula. If not all the available formulas will be used;

    • Pressing Start will create records in the Details tab, as described below:

      • details will be generated only for formulas with a period containing the Transaction Date;

      • details will be generated only for the business partners which have sales forecasts and invoices in the formula period;

The records in the Details tab contain information about customer bonuses and can be updated by running the Calculate Bonuses process again.
