In SocrateCloud, project issues for consumption represent documents that are used to keep records of project expenses. The windows and processes used for recording project expenses are located in Project Management -> Issue to Project. For a project you can issue the following types of expenses:
Materials
Manual Labor
Resources
Starting with v15.07, all project issuing, regardless of source, will use all the references (accounting dimensions) from the associated project or project phase (from or for which they are generated).
Starting with v16.03, when posting issue to project documents, the Element 1 and Element 2 dimensions will be completed with the corresponding project phase and sub phase.
The following processes can be used to register material (stockable products) issuing:
The Issue to Project - Project Line process is used to register material issues for projects with line level "I Project", based on project lines entered as estimated work quotations. Before running the process you can specify the following parameters:
Project Project Detail, Project, Attribute Set Instance - selection filters for the project lines based on which material issue documents will be generated;
Locator - warehouse locator for the issued product;
Movement Quantity - product quantity issued for consumption;
this field should remain empty if the issued quantity is equal to the quantity on the project line,
if the quantity entered here is greater than the quantity on the project line, the process will not run and will return an error message;
Movement Date - the product issue date (by default, the current date);
Description - description that will appear on the generated project issue document;
Document Action - determines the project issue document status:
<none> - the document status will be "Drafted";
Complete - the document status will be "Completed" and the document will automatically be processed;
v15.12 - Admit exceeding qty planned - check to issue a product quantity that exceeds the planned qty.
Press Start to generate material issue documents, according to the selected parameters. The Log section will display information about the generated documents.
The Issue to Project - New Line process is used to register material issues for projects, regardless of line level. The process can be used to register a material issue, even if the corresponding project line has not been entered. Before running the process you can specify the following parameters:
Project, Phase, Subphase - depending on the project line level, select the project, phase and/or subphase for which the material is issued;
Activity - accounting dimension for the generated project issue document and project line;
Locator - warehouse locator for the issued product;
Product, Attribute Set Instance, Quantity - the issued product and related information;
Movement Date - the product issue date (by default, the current date);
Description - description that will appear on the generated project issue document;
Document Action - determines the project issue document status:
<none> - the document status will be "Drafted";
Complete - the document status will be "Completed" and the document will automatically be processed;
Press Start to generate material issue documents, according to the selected parameters. The Log section will display information about the generated documents.
The Issue to Project - Receipt process to register a material issues for projects based on a material receipt form a vendor. Before running the process you can specify the following parameters:
Project - the project for which the material is issued;
Receipt - receipt based on which the material issue will be generated;
Movement Date - the product issue date (by default, the current date);
Description - description that will appear on the generated project issue document;
Document Action - determines the project issue document status:
<none> - the document status will be "Drafted";
Complete - the document status will be "Completed" and the document will automatically be processed;
Create Project Line - if not found, the process will generate the associated project line for the material issue;
Press Start to generate material issue documents, according to the selected parameters. The Log section will display information about the generated documents.
The Issue to project - Hours is used to issue manual labor for a project (expenses associated to the employees working on a project). After entering the time sheets and validating/approving them, you can register the effective hours issued per project. Before running the process you can specify the following parameters:
Date - date used for the generated project issue docuemnt (by default, the current date);
Product - product used to register the project issue (generic product used to register manual labor);
Project - the project for which the manual labor is issued. Only Work Order (job) or Asset projects can be used;
Time Type - selection filter for the type of hours for which the project issue will document will be generated;
Description - description that will appear on the generated project issue document;
Document Action - determines the project issue document status:
<none> - the document status will be "Drafted";
Complete - the document status will be "Completed" and the document will automatically be processed;
Project Line level Validation - check to verify the project line level before generating the project issue (applicable when the line level for the project gets changed after entering the time sheets);

to generate material issue documents, according to the selected parameters. The Log section will display information about the generated documents.
The Issue to Project - Resources process can bu used to register issued resources (expenses associated with the equipment used). After entering resource time sheet and validating/approving them (details in Resources), you can also register the effective resources consumption per project. Before running the process you can specify the following parameters:
Project - the project for which the resource is issued. Only Work Order (job) or Asset projects can be used;
Period - the period for which the expenses related to resources employed for the project are generated;
Movement Date - date used for the generated project issue docuemnt (by default, the current date);
Description - description that will appear on the generated project issue document;
Document Action - determines the project issue document status:
<none> - the document status will be "Drafted";
Complete - the document status will be "Completed" and the document will automatically be processed;
Project Line level Validation - check to verify the project line level before generating the project issue (applicable when the line level for the project gets changed after entering the time sheets);
Resource Report Trx Date
Press the Start
button to generate the consumptions. After the process has been run, a new window will be displayed containing information regarding the generated consumptions.
Formula used for the distribution of the costs derived from the time sheets:
Labour = Quantity * Sum (Hours Qty (1,2,3) * Product Price (List, Standard, Limit));
Km = Sum (Km (1,2,3)) * Price per Km from the definition of the mean of conveyance.
The Issue to Project - Project Line window is used to manage issue to projects records. It is specifically useful when having to issue multiple materials for a single project.
For a selected project in the Issues tab you can manage the issue to project documents. The following fields are available:
Document No, Line No, Description
Phase, Subphase to, Project line - associated project line;
Product, Attribute Set instance - product used to register the project issue;
Movement Date - date used for the generated project issue docuemnt (by default, the current date);
Locator - warehouse locator for the issued product;
Quantity, UM, Movement Quantity - issued produc quantity in the selected unit of measure and respectively, the base unit of measure;
Receipt Line, Expense Line, Time Sheet (system maintained) - the fields indicate project issue type and display type related information;
Reference section:
Activity, Activity to - the issued time sheet hours activity and respectively, the project line activity;
Trx organization - accounting dimension used for analysis;
Status section:
Record Processed - indicates that the issue to project document has been "Completed";
Document Status - indicates the current document status;
Document Action Button :
"Complete" -> Document Status: "Completed" - generates all the document's effects within the system;
"Void" -> Document Status: "Voided" - cancels all the document's effects and prevents the document from being processed;
"Close" -> Document Status: "Closed" - permanently closes the document. No other document action can be applied;
The Line tab displays the project line associated to the issue to project document.
The Project Issue window, located in the Project Management menu, can also be used to view and edit existing issue to project documents. Unlike the Issue to Project - Project Line window, the Project issue window cannot be used to add new records.
The Project (Lines/Issues) Details window, located in the Project management menu can be used to manage issue to project documents and allows you to view the time sheet records that were issued.
The Project Issue Report can be used to view, depending on the selected parameters, a list of what was issued to projects, phases or subphases.
The Project Lines not Issued displays all te project lines for which the committed quantity is not equal to the issued quantty, and displays the corresponding products (items, hours, resources) not fully issued.
