This window offers the possibility to import transactions from WMS (warehouse management systems), which represent the support used for invoicing warehouse services.
This is useful when the organization rents one or more warehouses to it's business partners, along with the necessary logistics support. The warehouses are managed through WMS, which send information detailing the business partners' operations, on a regular basis. These operations are the basis for an invoicing process, which is run in SocrateCloud.
Importing WMS operation information can be done manually, through direct import, or automatically, through web services (API). Imported data can be found in the Import WMS window. The window is available only if the WMS component has been activated.
Imported data:
transaction date
product code (service used for invoicing)
business partner code (the customer)
activity code (optional)
quantity
For the manual process the imported data can be verified, and edited if necessary, before generating invoice data.
When done automatically, the system generates the invoice data, with a frequency indicated by a scheduler. We recommend scheduling the Import WMS transactions process daily, after the WMS data has been imported.
The imported data is saved as project phase details:
for every customer, a job type project is defined, active throughout the contract period (for the warehouse activities);
every project is detailed in phases, each phase corresponding with the period defined by the Invoice Schedule;
The transaction import process generates details at project phase level, corresponding with the transaction date and the product quantity.
